Topics of Discussion About the FPWR How we raise money Choosing CiviCRM How use manage donors and fundraisers Making it work
Founded in 2003 Mission to improve the lives of those impacted by Prader-Willi syndrome through the advancement of research Funded over $1.3m in research projects About the FPWR
FPWR Fundraising History 2004 10-20 donors with large contributions Basic website, no online marketing No donor management system 2005 Installed new website w/ CiviCRM (Aug) Recruited fundraisers across USA 2006 CiviCRM 1.3, CiviContribute (Jan) 4 new fundraisers (3 handled online) Donor management processes started 2007-2010 CiviCRM 1.7, CiviEvent, 2.2 PCPs Focus on restructuring, grass-roots fundraising Emphasis on social networks, a little from many
Evolution of our Fundraising CATCHING BIG FISH Large contributions Focus on corporations Galas, Tournaments EXPANDING THE NET More events Manage them online Get Families to Fundraise MASS MARKET Online fundraising pages All online or through social Anyone can fundraise
Choosing CiviCRM Flexible and pliable We were small and new at this, we wanted to be able to have our systems adapt Customizable if we need it to be Supported 3-4 significant releases per year Incredibly responsive development and user community Features Has the basic features we need, can allow us to manage donors & fundraising Cost We would rather spend our $$ on customizations, not license fees
What do we use in CiviCRM? CiviContribute & PCPs This is the heart of our need. Being able to accept donations online Individual fundraising pages CiviEvent Now only use it for conferences and other paid-events Donor Database We manage all of our donor contacts in here and their donation history Accounting is handled in QuickBooks (donor records remain here) CiviMail We do mass mailings to our constituents using CiviSMTP service
Extending CiviCRM PCPs FPWR Campaign System New interface for CiviCRM/Drupal Attached to main www.fpwr.org site Uses CiviCRM APIs to create personal campaign pages, process contributions Adds in Social extensions Couldn ’ t be done if we had used commercial software!
Making Donor Management Work Establish a good set of processes around data and donations Understand how your donor data is created, managed and used With bad processes, technology can actually worsen your data problem How do you collect data? Who/what has the ability to edit it? Where is it stored? How do you maintain your data (online profiles?, calling campaigns? etc.) Remember - garbage in/garbage out (start with a good set of accurate data) Set your organization ’ s requirements for a donor management system Need it hosted and accessible from multiple locations? (e.g. SaaS/web-based) Licensing costs? Total cost of ownership (TCO)? Flexibility to meet your businesses ’ objectives and needs and structure? Know how you are going to use it, only implement what you need
What do you need to use CiviCRM? Prepare your Server Web-site running Drupal or Joomla CMS Prepare your data Export your data and clean it up prior to importing it Prepare your data import file Technical resource to do the installation Install the software and integrate/configure it in the server Install and configure the database Train your folks Train your team on CiviCRM (managing data and donors) Train your administrators on how to manage CiviCRM
What does CiviCRM cost? It depends…. Size of your data Complexity of your organization Your specific needs (e.g. how much needs to be customized?) At a minimum, you will need Administrative resources to maintain your data (if you already have a system, these people can likely learn CiviCRM) Technical admin resources to manage CiviCRM Deduplication Data import/exports Event, profiles, custom data configuration Other configuration You may need development resources to Customize CiviCRM Develop custom reports
Choosing partner(s) Where do you need help? Design, Configure and Customize Data Migration Hosting Ongoing support and maintenance (upgrades!) Partner selection is critical Experience w/ open source + specific platform(s) Experience w/ organizations and implementations like yours (features, scale, user profile …) Best practices approach to customization
