1) Documents handling
item Usual case CitecDot Solution
1 Distribution of Documents is often
carried out by Email or via FTP servers
Documents are hosted and shared in CitecDot with no
need to send them by Email. All history and all
versions of documents from all vendors are under the
same roof.
2 Status of documents is managed
manually or with Excel tables
Status of documents is managed automatically with
integrated workflows (e.g. delivery status, approved
for construction status, rejected,…)
3 Finding latest version of a document is a
challenge
Latest version of any document is available at finger
tip either from computer, smartphone or tablet
4 Document transmittals and
acknowledgement of receipts is manual
CitecDot produces document transmittals and
distributes them automatically
5 Browsing in the documents history is not
a piece of cake
CitecDot keeps track of each and every event in the
documents life cycle. Everything is available with no
need to search for it.
6 Marking and identification of documents
is floating
CitecDot stamps every document with a 2D barcode +
useful info
©Copyright2015CitecOyAb
2) 2D barcode marking system
item Usual case CitecDot Solution
1 Drawings and documents are generally tracked
with an ID code and a revision and checking
what is the latest version is not simple
CitecDot stamps every document with a 2D
barcode providing immediate access to
CitecDot database with a smartphone to check
what is the latest version and even download it
2 Labeling goods and parts is most of the time
depending on vendors’ way of working and
tools.
CitecDot provides a harmonized labeling system
with all needed consumables. All labels are
managed at project level, not vendor level
3 Non conformities are managed manually, using
templates to fill-in.
Non-conformities can be entered on the go
from a mobile device after scanning any label
or from CitecDot application.
4 Progress status of documents and
manufactured pieces of equipment is usually
based on manual reports which are often not
accurate (deviations close to deadlines are
frequent)
CitecDot tracks progress status in real time
based on 2D barcodes. Progress per status,
curves per lot, vendor, factory etc are available
at any time to project stakeholders
5 Packing lists and shipments are using vendors’
tools. Tracking of deliveries is a challenge and
risks of human errors is high
CitecDot takes care of preparing shipments and
packing lists automatically using the 2D
barcode technology. Human errors are reduced
close to zero

PROCUREMENT
S
3) Procurements tracking
item Usual case CitecDot Solution
1 Tracking procurements is very often using ERP
tools. Automatic warnings are not systematic
when a lot is not ordered on time
CitecDot correlates the projects Work
Breakdown Structure (WBS) with the project
planning and raises automatic warnings and
reminders in case lots are not ordered on time.
2 ERP systems are most of the time tracking lots
at general level and can hardly check deliveries
down to bolts and nuts. Bad surprises are
discovered on site, when it’s too late to correct
the situation
CitecDot checks deliveries with a very simple
principle: comparison of packing lists with
material lists. Any deviation raises an automatic
warning at early stage allowing to correct the
situation before it’s too late
3 Labeling goods and parts is most of the time
depending on vendors’ way of working and
tools. This causes a high risk of problem to
identify deliverables on site.
CitecDot provides a harmonized labeling system
based on 2D-barcode technology with all
needed consumables. All labels are managed at
project level, not vendor level

4.1) Manufacturing
item Usual case CitecDot Solution
1 Labeling goods and parts is most of the time
depending on vendors’ way of working and
tools. This causes a high risk of problems to
identify deliverables on site.
CitecDot provides a harmonized labeling system
based on 2D-barcode technology with all needed
consumables. All labels are managed at project
level, not vendor level
2 Work progress in factories is based on
estimates made by the vendors and bad
surprises happen regularly close to the
deadlines.
CitecDot tracks in real time each and every piece of
equipment and material at all stages based on 2D
Barcode technology (e.g. start of manufacturing,
ready for inspection, painting completed, ready for
dispatch,…)
3 Work progress from the different vendors is
disconnected from one each other. It’s
difficult to see what is the situation with all
vendors
CitecDot aggregates all inputs from all vendors in
real time and makes them available to the project
stakeholders for analysis purpose (trend curves,
bargraphs, metrics,...)
4 Vendor delays are often announced at the
last minute and this is subject to impact the
project
CitecDot raises automatic warnings at early stage
when a situation deviates from the plan (e.g. in
case production rate in tons per week is lower than
agreed / this gives the opportunity to correct the
trend before deadline)
5 Progress follow-up and quality inspections
are disconnected from the rest of the
processes and are most of the time carried
out manually
CitecDot provides an integrated follow-up feature
using a smartphone or a laser scanner to update
progress statuses and issue non-conformities on
the go including photos.
©Copyright2015CitecOyAb
4.2) Expediting
item Usual case CitecDot Solution
1 Harmonizing packing lists from vendors is not
easy:
Vendors are using most of the time their own
packaging management system. Usage of a
project specific template for packing lists is
leading to manual work and human errors
difficult to address at site
CitecDot produces automatically packing lists with a
smartphone or a tablet (also with a laser scanner for
massive delivery of goods). CitecDot solution saves
time to the vendors and cuts down the risk of errors
close to zero. All packing lists from all vendors are
available in CitecDot for review.
2 Some goods which have not passed
successfully the quality check can be
dispatched to construction site.
CitecDot workflows prevents any goods not
approved to be included in a packing list. CitecDot
knows the status of every part at packaging stage.
3 Vendors often use their own terminology in
packing lists and items are difficult to identify
on site versus design data.
CitecDot uses design metadata to produce packing
lists. The risk of misunderstanding is reduced to
zero. Packagers only have to select references by
scanning 2D barcode labels. There is no need to
write any reference manually.
4 Custom codes are added manually in the
packing lists with heavy risk of mistakes
Custom codes are processed in CitecDot from design
stage without risk of errors
5 Vendors change items in deliveries without
notice and this causes problems on site
CitecDot prevents vendors to change items agreed
at design stage. Changes must be approved first
©Copyright2015CitecOyAb
5) Inventory and Warehouse mgt
item Usual case CitecDot Solution
1 Inventory of deliverables on site is manual and
risks of human errors is high
CitecDot makes inventory easy with a
smartphone, a tablet or a laser scanner based on
2D barcodes
2 Storage is based on local procedures and limited
warehouse management possibilities leading to
waste of time on site (and sometimes requiring to
send once again the said goods “lost” in stock as a
matter of emergency
CitecDot locates each and every box, bundle,
pallet, container etc on a scaled map of the site
for easy and quick access in view of efficient
preparation of parts out of stock.
All parts are found in stock with CitecDot,
wherever they are on site.
3 Follow-up of the stock of parts only concerns the
goods arrived using packing list information. Site
people have no clue on the pending parts and can
hardly correlate the packing lists with the design
and with drawings
CitecDot provides a real-time picture of the stock
situation with clear information about part
statuses, location in stock, location in the design,
related documents, quantities, and much much
more
4 Return of experience is generally lost when site
people are demobilized. Experience gained is not
easy to take into consideration in next projects and
risks to encounter the same difficulties is high
CitecDot keeps track of every event and provides
a holistic vision of the project with easy
possibilities to dive into details and capitalize
experience for next projects. The project memory
is hosted in CitecDot and can be used for
continuous improvement process in projects,
even after site people have gone.
©Copyright2015CitecOyAb
6) On-site installation progress
item Usual case CitecDot Solution
1 Work progress is based on estimates
prepared by the site supervisors and/or
site managers. They include is in their
periodic reports. While preparing these
reports, site people cannot focus on
their core tasks.
CitecDot processes work progress based on status of
parts and work hours spent on site in every trade.
CitecDot updates bargraphs and curves per status in real
time.
2 Work progress is often based on Excel
files technology with a limited possibility
to dive into details.
CitecDot provides a clear picture from global perspective
donw to bolts and nuts in every trade, every lot, from
every vendor.
CitecDot provides a 3D animation of the project
highlighting the status of every component with different
colors (BIM)
3 Work progress is based on information
and files stored locally on site, which is
exposing the project to loss of data and
difficult recovery
All project information, including work progress inputs,
are hosted in CitecDot with a high security infrastructure
including backup and restoration procedures
4 Return of experience is not easy to
collect with multiple parties involved and
extensive interdependencies
Return of experience is stored in CitecDot along with the
project and all events are available for analysis.
CitecDot also provides a 3D animation showing the
evolution of the project along the time with easy
evidence of bottlenecks and hold points giving a return
of experience to a new level

O&M 7) Operation & Maintenance
item Usual case CitecDot Solution
1 O&M tasks are in many cases only based on
manuals and templates to fill-in
CitecDot uses the same technology as for project
execution to manage O&M tasks. CitecDot connects
documents with design data, operation inputs, 3D
models and stock handling all together with automatic
warnings and integrated tasks management. CitecDot
provides stats and graphics helping to keep the
production facilities to the best possible efficiency and
availability levels.
CitecDot provides an all-in-one solution for O&M needs
2 O&M people have not always the possibility
to anticipate the needs of spare parts in
advance. Risks to miss the needed spare
parts on time is high. This leads to high risks
of loss of production
CitecDot manages procurement constraints and other
parameters in order to ensure that the needed spare
parts are always available for planned maintenance
actions.
3 Ordering spare parts is often a manual
process and risks are same as item 2
CitecDot can re-order automatically the missing parts
after approval of the power plant manager. Reminders
and warnings are parts of the tools included in CitecDot
to prevent any missing important spare parts
4 History of operations and tasks with analysis
of KPI’s is not easy to analyze
CitecDot provides automatic reports with graphics and
emphasizes positive and weak points at a glance

8) Mgt of RFI’s, design changes and claims
item Usual case CitecDot Solution
1 Requests for information are usually processed
manually using a template and sent by Email.
Risk of missing information is high and
consequences for the project may lead to delays
CitecDot provides a RFI management feature
including a project specific workflow to track the
RFI’s from creation to closure with all steps in
between and automatic reminders in case
recipients miss an action. Exchange and status of
information is always under control.
2 Design changes are managed manually and
distributed by Email. Interdependencies are very
difficult to manage properly and risks of
deviations are high (e.g. delays and costs)
CitecDot streamlines the design changes process
and interact in real time with all concerned. For
example, one item subject to design change can
immediately and automatically be set on hold in the
concerned factory to avoid unnecessary work until
revision of the design is completed.
3 Claims and quality issues are often difficult to
manage in an efficient and safe way
Every inspector can create a non-conformity on the
go in CitecDot e.g. with his smartphone and attach
a picture. Reports, Emails and other documents are
connected to the non-conformities.
In case of a claim, your lawyer has all information
and records at his finger tip, with no need to dive in
multiple Email boxes.
All useful records and statuses are categorized and
available under the same roof.
©Copyright2015CitecOyAb
9) Tracking and reporting
item Usual case CitecDot Solution
1 Progress reports are most of the time
produced manually
CitecDot generates reports automatically at preset
intervals, with content according to your needs
2 Reports are distributed manually by Email CitecDot distributes reports by Email automatically
to the agreed recipients at regular intervals
3 Progress figures are provided by the
supervisors. The site Manager and Project
Director can hardly know what is the situation
between reports
All project Stakeholders have access in real time to
all project metrics, bargraphs and trend curves.
They are aware of any deviation in real time
thanks to automatic notifications. They can
address any issue at early stage, before it’s too
late.
4 Progress and statuses are managed at lot level CitecDot provides progress and status information
from general level down to bolts and nuts level, in
all lots and all trades
©Copyright2015CitecOyAb
10) Automatic Warnings & Reminders
item Usual case CitecDot Solution
1 Hardware problems (e.g. reference or quantity)
are generally identified on site and it’s too late
to correct the situation
CitecDot checks all deliverables versus design and
ensures that deviations are identified before
dispatch, allowing corrections without impact on
the projects
2 Delays are identified too late:
e.g. too slow progress either at engineering or
manufacturing stages are generally identified
close to the deadline and might impact your
projects
CitecDot measures the production rates and
estimates the completion dates versus project
milestones. In case of risk of delay, CitecDot raises
automatically a warnings allowing to correct any
deviating trend at early stage.
3 When a non conformity is initiated, corrective
actions are most of the time handled by Email
and deadlines can easily be skipped with a
potential impact on the project
CitecDot manages corrective actions in relation to
warnings. When corrective actions are not met in
due date, CitecDot sends a reminder to the
concerned persons. Corrective actions are
processed according to a mutually agreed workflow
integrated in CitecDot (issue, check, approve &
close)
©Copyright2015CitecOyAb
11) Mgt of tasks & corrective actions
item Usual case CitecDot Solution
1 Tasks and corrective actions are generally
managed in Outlook or in to-do lists.
Progress cannot be controlled efficiently by the
project stakeholders.
CitecDot users can allocate tasks to other team
members, set deadlines and follow-up their
progress until completion.
Tasks are managed at individual level and are
hosted under the same roof in CitecDot. Project
stakeholders can monitor the task activities from
top level down to every actor in the project,
wherever they are.
2 Corrective actions are processed very often in
emergency situations causing stress and
increasing the risk of accidents
Corrective actions are initiated at early stage
3 Return of experience relies on the memory of
people involved in projects. It’s not easy to take
benefit from it in other projects
CitecDot hosts all events happening in the projects
and provides analysis and easy return of experience
in multiple domains. CitecDot is an asset to develop
a continuous improvement process project after
project. All information of your projects is there
©Copyright2015CitecOyAb
12) Animation of statuses in 3D (BIM)
item Usual case CitecDot Solution
1 BIM solutions available on the market are not
mature and can hardly highlight statuses in an
efficient way
CitecDot animates statuses in 3D models with
different colors. Update of colors in the 3D models
is fully automated in CitecDot.
2 Most BIM solutions available on the market
require a massive amount of manual work to
update statuses in 3D models and this is not in
line with most project constraints.
CitecDot uses 2D barcode technology and
smartphones, tablets or laser scanners to update
statuses in real time in CitecDot database. No need
to enter any status manually in the system, just
“scan and click”
3 Existing BIM solutions are somehow isolated
from other processes
CitecDot animations in the 3D models are
connected to all processes, at every stage of the
project.
4 Parts or pieces of equipment subject to non
conformities, damage or even design changes
are not easy to locate in the 3D models
CitecDot highlights in the 3D models the parts
subject to non conformities, damage or design
change. There is no need to search for them, they
are just there.

CitecDot solution saves time to the vendors and cuts down the risk of errors close to zero. All packing lists from all vendors are available in CitecDot for review. 2 Some goods which have not passed successfully the quality check can be dispatched to construction site. CitecDot workflows prevents any goods not approved to be included in a packing list. CitecDot knows the status of every part at packaging stage. 3 Vendors often use their own terminology in packing lists and items are difficult to identify on site versus design data. CitecDot uses design metadata to produce packing lists. The risk of misunderstanding is reduced to zero. Packagers only have to select references by scanning 2D barcode labels. There is no need to write any reference manually. 4 Custom codes are added manually in the packing lists with heavy risk of mistakes Custom codes are processed in CitecDot from design stage without risk of errors 5 Vendors change items in deliveries without notice and this causes problems on site CitecDot prevents vendors to change items agreed at design stage. Changes must be approved first
  • 8. ©Copyright2015CitecOyAb 5) Inventory and Warehouse mgt item Usual case CitecDot Solution 1 Inventory of deliverables on site is manual and risks of human errors is high CitecDot makes inventory easy with a smartphone, a tablet or a laser scanner based on 2D barcodes 2 Storage is based on local procedures and limited warehouse management possibilities leading to waste of time on site (and sometimes requiring to send once again the said goods “lost” in stock as a matter of emergency CitecDot locates each and every box, bundle, pallet, container etc on a scaled map of the site for easy and quick access in view of efficient preparation of parts out of stock. All parts are found in stock with CitecDot, wherever they are on site. 3 Follow-up of the stock of parts only concerns the goods arrived using packing list information. Site people have no clue on the pending parts and can hardly correlate the packing lists with the design and with drawings CitecDot provides a real-time picture of the stock situation with clear information about part statuses, location in stock, location in the design, related documents, quantities, and much much more 4 Return of experience is generally lost when site people are demobilized. Experience gained is not easy to take into consideration in next projects and risks to encounter the same difficulties is high CitecDot keeps track of every event and provides a holistic vision of the project with easy possibilities to dive into details and capitalize experience for next projects. The project memory is hosted in CitecDot and can be used for continuous improvement process in projects, even after site people have gone.
  • 9. ©Copyright2015CitecOyAb 6) On-site installation progress item Usual case CitecDot Solution 1 Work progress is based on estimates prepared by the site supervisors and/or site managers. They include is in their periodic reports. While preparing these reports, site people cannot focus on their core tasks. CitecDot processes work progress based on status of parts and work hours spent on site in every trade. CitecDot updates bargraphs and curves per status in real time. 2 Work progress is often based on Excel files technology with a limited possibility to dive into details. CitecDot provides a clear picture from global perspective donw to bolts and nuts in every trade, every lot, from every vendor. CitecDot provides a 3D animation of the project highlighting the status of every component with different colors (BIM) 3 Work progress is based on information and files stored locally on site, which is exposing the project to loss of data and difficult recovery All project information, including work progress inputs, are hosted in CitecDot with a high security infrastructure including backup and restoration procedures 4 Return of experience is not easy to collect with multiple parties involved and extensive interdependencies Return of experience is stored in CitecDot along with the project and all events are available for analysis. CitecDot also provides a 3D animation showing the evolution of the project along the time with easy evidence of bottlenecks and hold points giving a return of experience to a new level
  • 10. ©Copyright2015CitecOyAb O&M 7) Operation & Maintenance item Usual case CitecDot Solution 1 O&M tasks are in many cases only based on manuals and templates to fill-in CitecDot uses the same technology as for project execution to manage O&M tasks. CitecDot connects documents with design data, operation inputs, 3D models and stock handling all together with automatic warnings and integrated tasks management. CitecDot provides stats and graphics helping to keep the production facilities to the best possible efficiency and availability levels. CitecDot provides an all-in-one solution for O&M needs 2 O&M people have not always the possibility to anticipate the needs of spare parts in advance. Risks to miss the needed spare parts on time is high. This leads to high risks of loss of production CitecDot manages procurement constraints and other parameters in order to ensure that the needed spare parts are always available for planned maintenance actions. 3 Ordering spare parts is often a manual process and risks are same as item 2 CitecDot can re-order automatically the missing parts after approval of the power plant manager. Reminders and warnings are parts of the tools included in CitecDot to prevent any missing important spare parts 4 History of operations and tasks with analysis of KPI’s is not easy to analyze CitecDot provides automatic reports with graphics and emphasizes positive and weak points at a glance
  • 11. ©Copyright2015CitecOyAb 8) Mgt of RFI’s, design changes and claims item Usual case CitecDot Solution 1 Requests for information are usually processed manually using a template and sent by Email. Risk of missing information is high and consequences for the project may lead to delays CitecDot provides a RFI management feature including a project specific workflow to track the RFI’s from creation to closure with all steps in between and automatic reminders in case recipients miss an action. Exchange and status of information is always under control. 2 Design changes are managed manually and distributed by Email. Interdependencies are very difficult to manage properly and risks of deviations are high (e.g. delays and costs) CitecDot streamlines the design changes process and interact in real time with all concerned. For example, one item subject to design change can immediately and automatically be set on hold in the concerned factory to avoid unnecessary work until revision of the design is completed. 3 Claims and quality issues are often difficult to manage in an efficient and safe way Every inspector can create a non-conformity on the go in CitecDot e.g. with his smartphone and attach a picture. Reports, Emails and other documents are connected to the non-conformities. In case of a claim, your lawyer has all information and records at his finger tip, with no need to dive in multiple Email boxes. All useful records and statuses are categorized and available under the same roof.
  • 12. ©Copyright2015CitecOyAb 9) Tracking and reporting item Usual case CitecDot Solution 1 Progress reports are most of the time produced manually CitecDot generates reports automatically at preset intervals, with content according to your needs 2 Reports are distributed manually by Email CitecDot distributes reports by Email automatically to the agreed recipients at regular intervals 3 Progress figures are provided by the supervisors. The site Manager and Project Director can hardly know what is the situation between reports All project Stakeholders have access in real time to all project metrics, bargraphs and trend curves. They are aware of any deviation in real time thanks to automatic notifications. They can address any issue at early stage, before it’s too late. 4 Progress and statuses are managed at lot level CitecDot provides progress and status information from general level down to bolts and nuts level, in all lots and all trades
  • 13. ©Copyright2015CitecOyAb 10) Automatic Warnings & Reminders item Usual case CitecDot Solution 1 Hardware problems (e.g. reference or quantity) are generally identified on site and it’s too late to correct the situation CitecDot checks all deliverables versus design and ensures that deviations are identified before dispatch, allowing corrections without impact on the projects 2 Delays are identified too late: e.g. too slow progress either at engineering or manufacturing stages are generally identified close to the deadline and might impact your projects CitecDot measures the production rates and estimates the completion dates versus project milestones. In case of risk of delay, CitecDot raises automatically a warnings allowing to correct any deviating trend at early stage. 3 When a non conformity is initiated, corrective actions are most of the time handled by Email and deadlines can easily be skipped with a potential impact on the project CitecDot manages corrective actions in relation to warnings. When corrective actions are not met in due date, CitecDot sends a reminder to the concerned persons. Corrective actions are processed according to a mutually agreed workflow integrated in CitecDot (issue, check, approve & close)
  • 14. ©Copyright2015CitecOyAb 11) Mgt of tasks & corrective actions item Usual case CitecDot Solution 1 Tasks and corrective actions are generally managed in Outlook or in to-do lists. Progress cannot be controlled efficiently by the project stakeholders. CitecDot users can allocate tasks to other team members, set deadlines and follow-up their progress until completion. Tasks are managed at individual level and are hosted under the same roof in CitecDot. Project stakeholders can monitor the task activities from top level down to every actor in the project, wherever they are. 2 Corrective actions are processed very often in emergency situations causing stress and increasing the risk of accidents Corrective actions are initiated at early stage 3 Return of experience relies on the memory of people involved in projects. It’s not easy to take benefit from it in other projects CitecDot hosts all events happening in the projects and provides analysis and easy return of experience in multiple domains. CitecDot is an asset to develop a continuous improvement process project after project. All information of your projects is there
  • 15. ©Copyright2015CitecOyAb 12) Animation of statuses in 3D (BIM) item Usual case CitecDot Solution 1 BIM solutions available on the market are not mature and can hardly highlight statuses in an efficient way CitecDot animates statuses in 3D models with different colors. Update of colors in the 3D models is fully automated in CitecDot. 2 Most BIM solutions available on the market require a massive amount of manual work to update statuses in 3D models and this is not in line with most project constraints. CitecDot uses 2D barcode technology and smartphones, tablets or laser scanners to update statuses in real time in CitecDot database. No need to enter any status manually in the system, just “scan and click” 3 Existing BIM solutions are somehow isolated from other processes CitecDot animations in the 3D models are connected to all processes, at every stage of the project. 4 Parts or pieces of equipment subject to non conformities, damage or even design changes are not easy to locate in the 3D models CitecDot highlights in the 3D models the parts subject to non conformities, damage or design change. There is no need to search for them, they are just there.
