Managing Children

1. Access the
Children module,
by clicking
Children.
Click Add New to
add a child.
Click on any row
to edit a child.
Click the tear
drop icon to
manage drop
dates for multiple
children.

2. The module consists of 5
pages (Core Info, Family,
Health, Education and
Subsidy).
To create or edit options
for Gender, Ethnicity,
Home Language and
Category, go to Settings
from the top menu and
Children Settings.

3. Under the Family page, you
can create families. Click
Select a Sibling to add siblings.
Any information entered on this
page, for ANY sibling, will save
for ALL siblings. For example,
if you have a family of three
siblings and you want to
change the parent’s email
address, go to ANY sibling and
change the address. It will
change for all siblings.

4. SofCare can remind you
of physicals and dentals
due. Go to Settings and
Children Settings and
Physicals/Dental due to
establish due dates (i.e.
yearly, every 3 months,
etc). Enter the date of
the next physical/ dental
due. When it’s
completed, click the
Completed box. SofCare
will automatically
advance to the next due
date based on the
schedule.

5. After selecting
Physicals/Dental due
from Settings->Children
Settings, you’ll see a
screen like this. Enter
the due date schedule.
For example, the first
physical is due when the
child is 6 months old and
the next when the child is
1 years old and the next
when the child is 2 years,
2 months old.

6. Subsidy information will depend on
your state/city fee subsidy program.
SofCare can automatically populate
reimbursement rates (Daily Rate).
Go to Settings from the top menu
and Fiscal Settings and Subsidy
Rates. See SofCare Help for your
particular program settings..

7. Go to Settings from
the top menu to
access Children
module Settings,
such as creating
options for child
ethnicities and child
categories. Fee
reports can be
generated based
on child categories.

8. You can get alerts
about physicals
and dentals due
and parent
recertifications.
Click here.

9. Select the type of
alert.
Click the pencil to
create the letter,
then select
children. Click the
PDF icon to view a
PDF or the email
icon to send the
letter by email.
