Panel Member:  Steve Elsner, Chief Operating Officer Wooden & McLaughlin, LLP   After practicing law for five years, Steve decided to go back to obtain his MBA from the Kelley School of Business and pursue a career in legal administration.  He’s been the Chief Operating Officer at Wooden & McLaughlin LLP for over five years and has close to 20 years total experience as a law firm administrator. He co-authored an article entitled  Staying Connected: Essential Communication Tools, Law Technology Product News  and is a former ICLEF speaker on law firm marketing.  He co-chaired St. Maria Goretti’s annual 2005  fundraiser, raising record profits for the event.  Steve is a  former soccer, basketball and softball coach for Carmel  Dads' Club and former math and reading tutor for sixth  grade students at an inner-city school.  While practicing  law in Seymour, Indiana, he was the president of Rotary  Chapter and board member of Jackson County Hospital  Foundation. Steve is a member of the Association of Legal  Administrators, American Bar Association, the Legal  Marketing Association, Society for Human Resource  Management, World Future Association, and Indiana  University Alumni Association.  He and his wife Mary have  two grown daughters and reside in Carmel, Indiana.
Panel Member:  Joannie Saba, Administrator Cantrell, Strenski, & Mehringer, LLP   Ms. Saba  is a legal administrator with over 25 years of law firm management experience.  She currently is the Administrator for the newly-formed Indianapolis law firm Cantrell, Strenski & Mehringer, LLP.  After being instrumental in launching the new firm earlier this year, Ms. Saba manages the day-to-day operations including financial management, systems technology and web site management, facilities management and supervision of support personnel including salary and employee  benefit plan administration.
Panel Member:  Jerrold Abramowitz, Office Administrator Cohen & Malad, LLP   Jerrold Abramowitz is an office administrator for Cohen & Malad, LLP in Indianapolis where he specializes in the areas of finance, human resources, law practice and practice group management.  He is admitted to the state courts of Ohio and Oklahoma.  Since 1986, he has been the office administrator in private law firms.  His responsibilities have included controller and human resources management, strategic planning, practice and risk management, firm insurance coverage's, and benefits including pension plans.  Mr. Abramowitz has spoken and written on law firm management for various professional groups.  He earned his B.A. degree from the University of Connecticut, his M.S.J.A. degree from the University of Denver and his J.D. degree from the University of Toledo.  Mr. Abramowitz is a member of the American Bar Association (Law Practice Management Section) and the Association of Legal Administrators.
Panel Member:  Joseph Revell, Legal Administrator Campbell Kyle Proffitt, LLP   Revell  joined the firm shortly following his retirement from the US  Army in 1992 where he served for 21 years in various command and staff positions from platoon to field army level.  An Illinois native, Joe obtained a B.S. degree from the University of Illinois in 1971, and commissioned a 2nd Lieutenant in the Field Artillery.  In 1977, he obtained a M.S. degree from Central Missouri State University while stationed at Ft Leonard Wood, Missouri. Joe is responsible for all accounting, human resources, information technology, records management, risk management and facilities  management for the firm’s offices in Carmel and Noblesville.  He is a member of the Association of Legal Administrators, Carmel Post 7719, Veterans of Foreign Wars,  Lowell Beaver Post  470, the American Legion, Tolono Masonic Lodge 391 AF&AM, Valley of Indianapolis Ancient and Accepted Scottish Rite, Director, Alpha Kappa Lambda Educational Foundation and past- Director, Fishers Chamber of Commerce. Financial Management REPORTING INTERNAL CONTROLS REGULARLY COMMUNICATE deposits to operating account to partners or management or finance committee  ASSIGN one person to print checks for accounts payable, a second person to approve and sign (administrator or CFO), and a third to stuff and mail to vendors
Facilities Management ASSET MANAGEMENT DISASTER RECOVERY TRACK asset inventory by utilizing accounting software; could provide a single database  for inventory rather than a stand-alone  program or a spreadsheet DEVELOP a disaster recovery plan, even if something simple; DEFINE chain of command; KEEP everyone informed
Facilities Management READ your lease and know how expense reconciliations (CAM) are calculated;  ASK for annual audit of expenses if they  appear out of line; RUN the numbers yourself; ENSURE calculations don’t include capital expenses – only operating expenses CHECK cleaning and take care of issues with the Property Management promptly; DON’T NEGLECT the little things  CONSIDER using building maintenance for small inside construction projects such as cabinets, filing, shelving, etc.; sometimes they can be more reasonable than hiring outside vendor LEASE  MANAGEMENT MAINTENANCE
Technology, Networks, & System  Management HELP DESK TRAINING FOR SMALLER FIRMS, outsource daily “ help desk” issues. There are local companies who offer services to remotely access and troubleshoot workstation issues & to also monitor online back-up. ENSURE that your employees are kept up-to-date on the latest technology trends – many sites offer free tutorials and training on their products, such as: Microsoft.com Peachtree.com HAVE REGULAR lunch-and-learn sessions for Word & other software programs.
Technology, Networks, & System  Management NETWORK DO NOT forego preventative measure to avoid expenditures.  The expense is nothing compared to the stress you will go through if your data is irretrievable because you saved money by  not  providing a sound backup system – not to mention the expense of hiring an “emergency” IT person to try & resolve the problem or the “emergency” overtime you will have to pay staff to recreate the data. MAKE SURE your files are being backed up at least daily & have the back-up process checked.  Consider online back-up of your systems to an offsite location.  Having someone take home the back-up tape every night can expose you to liability if the tape gets lost.
Records Management DATA  MANAGEMENT DOCUMENT  MANAGEMENT BE A VISIONARY.  Determine how you want to use your documents & electronic data now & how you want to use your documents & electronic data after matters are closed.  Start with a retention policy that follows Federal, State & Local laws regarding records. CREATE a consistent filing system & make sure everyone follows it – i.e., all items must be properly organized & LABELED.
Records Management RECORDS MANAGEMENT SANITY TIP NEVER SEND a file off-site without first purging its contents & having a good system to identify how to find that file at your storage location. WHEN CLOSING files, break the file down by removing copies, drafts, 3-ring binders, all large clip, etc. & send  only  the finished file for storage.  This practice aids in utilization of space & in cost reductions for storage & retrieval.  Also, an effective & utilized destruction plan is extremely necessary – not only to be in compliance, but to free up valuable space for closed file storage. DO YOUR BEST, THIS IS A NO-WIN SITUATION.
Leadership and Strategic Planning INTEGRITY STRATEGIC PLANNING ALWAYS let “the best interest of the firm” guide your decision-making process. IF YOU DON’T have a strategic plan,  do one .  It’s not so much the plan that’s important, it’s the process you will go through to develop the plan that is critical. PRESENT “WHAT-IF” scenarios & ask attorneys to comment.
Leadership and Strategic Planning LEADERSHIP KNOWLEDGE MANAGEMENT PROVIDE resources for firm administrative leaders; have regularly scheduled meetings; discuss deadlines. LEAD BY EXAMPLE. BE SURE to handle problems/issues as they arise.  This will help keep your sanity in the long haul & create a halt to a potential snowball effect. KEEP UP TO DATE about all the changes impacting the practice of law – rate pressures, unbundling of services, increased usage of self-help resources, etc.
Marketing Management FOCUS IMAGE KNOWLEDGE MANAGEMENT FOCUS on your target market.  Always make sure all communications include your logo. KEEP your website looking “fresh” – Review & ensure it’s user friendly – easy to navigate; Update “news” section regularly. MAKE SURE your client intake form indicates how the matter came to you – through a client referral, from a web search, etc.
Marketing Management STRATEGIC PLANNING RECOGNIZE the difference between marketing & business development, cold calls & networking.  Hire a consultant to provide attorneys with business development knowledge to allay their fears of being a “salesmen”.  Listen to your marketing consultants.  You are the expert in law… they are the experts in marketing.
E-Mail Management STRATEGIC PLANNING USE OUTLOOK to it’s fullest extent.  Helpful tips taken from “QuietSpacing™”   by Paul Burton.   Make 4 Folders (Pending, Reading, Awaiting Response, & Action Items).  New emails fall into one of these categories or are deleted.  Set up Administrative Folders (Billing, Collections, Office Space, Employees, Associates, Partners, Finance Committee, Marketing Committee, etc.) Use follow up flags on incoming and outgoing (your copy of email that requires response) and drag to ‘Awaiting Response’, etc.
E-Mail Management STRATEGIC PLANNING CHANGE OUTLOOK default reminder from 15 minutes to 1 day notices – this will allow you to prepare for the next day. TO MANAGE email, reduce stress and maximize focus, turn off all notifications & alerts, audible & visual, except the little envelope in the Task Tray. SUBJECT LINES are important!  For instance, the emails regarding firms 401k starts out with “401k” (i.e. 401k Annual Report, etc).  In this way, emails can be grouped together & can be easily moved to rightful email folders.  The same should be done for cases.

Orval P. Schierholz, Administrator of Courts Hamilton County Circuit and Superior Courts   Mr. Schierholz  is a graduate of the United States Military  Academy, West Point, NY (BS, Engineering), the University of  Chicago (MBA, Finance and Accounting), Salve Regina  University, Newport, RI (MA, international Relations), the Army  Command & General Staff College, the Army, Naval, and Air  War Colleges, the National Defense Institute, and the IU School  of Law – Indianapolis (JD).  Following graduation from West  Point, Mr. Schierholz was on active duty in the United States  Army for twenty-five years.  His military expertise was primarily  in the areas of administration, comptrollership, human  resources, management, and strategic planning.  Following his  retirement from the Army, he initially worked as a licensed  insurance agent and registered securities representative and  later as a CFO, COO, and CEO for several state-wide, not-for- profit organizations.  Mr. Schierholz is admitted to practice in  Indiana, the Northern and Southern Districts of Indiana, and the  United States Supreme Court.  He is a member of the Indiana  and Hamilton County Bar Associations and currently serves as  the Administrator of Courts for the Hamilton County Circuit and  Superior Courts.
Gary Weitzel, Legal Administrator Tabbert Hahn Earnest & Weddle, LLP   Gary Weitzel  is the firm administrator at Tabbert Hahn  Earnest & Weddle, LLP in Indianapolis.  Prior to joining  Tabbert Hahn, he served in administrative roles in other law  firms, private companies and county government. THINK of most things that you do as projects so you can estimate the time necessary to complete them; however, remember that constant switching from one project to another is just part of the job. LEARN how to use Outlook to its fullest ability to allow organization and efficiency, not chaos, to rule
HUMAN RESOURCE MANAGEMENT COMMON SENSE COMPLIANCE DEVELOPMENT DISCIPLINE TREAT people the way you want to be treated; be consistent. BE COMPLIANT with state/federal laws – being fair does not always mean being equal. HOLD lunch and learn sessions with court reporting agencies, Lexis, West; OFFER Word and Excel training sessions to staff. RECOGNIZE difference between accountability and being confrontational; DISCUSS in a claim, yet firm manner, with employee what he/she did wrong and why it was wrong and how to avoid making the same mistake.  Mistakes are usually repeated when no accountability; also lack of accountability shows no consequences for actions and can lead to lackadaisical attitudes.

CREATE end-of-month financial packet that contains all monthly financial documents KEEP electronic copies of trust deposits in organized fashion for quick retrieval
FACILITIES MANAGEMENT INVENTORY LEASE MANAGEMENT DEVELOP budget for office supplies and office equipment and postage.  TRACK annual costs.  ANALYZE whether better to purchase or lease equipment.  BE HESITANT to get the “latest and greatest” – do you want to work through the kinks?  CONSIDER outsourcing labor for outgoing mail, large copy jobs, large imaging jobs and office supply purchasing. Many office supply companies will monitor your supply level and restock as necessary.  DOUBLE CHECK contracts to ensure you have the flexibility to change them if your business changes. MAKE the building manager your best friend if you are leasing space.

ENSURE that your employees are kept up-to-date on the latest technology trends – many sites offer free tutorials and training on their products, such as: Microsoft.com Peachtree.com HAVE REGULAR lunch-and-learn sessions for Word & other software programs.

    Technology, Networks, &System Management NETWORK DO NOT forego preventative measure to avoid expenditures. The expense is nothing compared to the stress you will go through if your data is irretrievable because you saved money by not providing a sound backup system – not to mention the expense of hiring an “emergency” IT person to try & resolve the problem or the “emergency” overtime you will have to pay staff to recreate the data. MAKE SURE your files are being backed up at least daily & have the back-up process checked. Consider online back-up of your systems to an offsite location. Having someone take home the back-up tape every night can expose you to liability if the tape gets lost.

    Records Management DATA MANAGEMENT DOCUMENT MANAGEMENT BE A VISIONARY. Determine how you want to use your documents & electronic data now & how you want to use your documents & electronic data after matters are closed. Start with a retention policy that follows Federal, State & Local laws regarding records. CREATE a consistent filing system & make sure everyone follows it – i.e., all items must be properly organized & LABELED.

Make 4 Folders (Pending, Reading, Awaiting Response, & Action Items). New emails fall into one of these categories or are deleted. Set up Administrative Folders (Billing, Collections, Office Space, Employees, Associates, Partners, Finance Committee, Marketing Committee, etc.) Use follow up flags on incoming and outgoing (your copy of email that requires response) and drag to ‘Awaiting Response’, etc.

    E-Mail Management STRATEGICPLANNING CHANGE OUTLOOK default reminder from 15 minutes to 1 day notices – this will allow you to prepare for the next day. TO MANAGE email, reduce stress and maximize focus, turn off all notifications & alerts, audible & visual, except the little envelope in the Task Tray. SUBJECT LINES are important! For instance, the emails regarding firms 401k starts out with “401k” (i.e. 401k Annual Report, etc). In this way, emails can be grouped together & can be easily moved to rightful email folders. The same should be done for cases.
