Event Report Contents
An Event Funding Pre-requisite is that the Event Organiser is required to prepare an Event
Report upon the conclusion of the event and forward this report to the Maroochy Tourism
Industry Advisory Board (MTIAB) within 28 days of the event’s conclusion.

MTIAB requests that the Event Organiser prepares an event report using the contents
headings listed below to format the report. This will allow the Events Sub Committee of
MTIAB to assess each report in relation to the contents and ensures that the relevant
information required to evaluate an event is received.

Contents:
1. Event Details
      • Venue
      • Dates
      • Timetable

2. Maroochy Tourism Industry Advisory Board’s contribution to the event.

3. Executive Summary
   •      Overview of the event

4. Spectators
   • numbers
   • demographics (intrastate, interstate, overseas)


5. Participants
   • numbers
   • demographics (intrastate, interstate, overseas)


8. Visitors (from outside the Maroochy Shire)
   • numbers
   • demographics (intrastate, interstate, overseas)

6. Economic Impact

   The economic impact upon the Maroochy Shire economy generated by an event is important for
   future funding considerations by MTIAB. It is therefore important that Event Organisers
   endeavour to capture as much data as possible by surveying participants and visitors to the event.
   For participants, this information may be captured either at registration, during the event or by
   way of a mail survey after the event. For visitors, this information is best sourced during the event.

   Please supply the following information and provide details how this information was derived and
   the figures calculated.
A. Accommodation / Nights

           1. Participants (from outside the Maroochy Shire)
   •                  number of participant nights in the Maroochy Shire
   •                  type of accommodation used. (eg. Unit, motel, caravan park, private)
   •                  estimated value of participant nights

           2. Visitors (from outside the Maroochy Shire)
   •                   number of visitor nights in the Maroochy Shire
   •                   type of accommodation used. (eg.Unit, motel, caravan park, private)
   •                   estimated value of visitor nights

   B. Expenditure

           1.       Participants (from outside the Maroochy Shire)
                        •       expenditure by participants based on a $ spend per participant per
                        day.

           2.       Visitors (from outside the Maroochy Shire)
                        •      expenditure by visitors based on a $ spend per participant per day
                    (Expenditure items to include transport, food & entertainment)

   C. Local Business (from within the Maroochy Shire)

           1. Number of local businesses used to supply goods & services to the event.

           2. Summary of goods & services (including value) that was sourced from local businesses.

7. Marketing & Promotion
     •Direct Mail & Distribution (Entry forms, Promotional brochures & posters)
     •Newsletters
     •Event Website
     •Media & Television (Advertising)
     •Specific Promotions

8. Media Coverage (Editorial)

   List the media outlets that provided coverage of the event. The media outlets to be categorised as –
   Major Newspapers, Regional Newspapers, Magazines, Television & Radio. Please attach samples.

9. Acknowledgement of the support of the Maroochy Tourism Industry Advisory Board (MTIAB) &
   the Maroochy Shire Council (MSC)

   List the areas where the logos were included and acknowledgement of support appeared.
   Pleased attached samples / copies.

10. Forward Planning

   Comments in relation to the future growth potential of the event.
