In the enterprise we know that data can be in many places.There are Local Documents and Email, which are usually scattered on the information workers’ computerThere is data on remote pcs and servers (network shares) which people sometimes have as mapped drives on their pcYou also have Department and Team sites where you store information and have collaboration tools available to make your document sharing experience richer.There is also the Corporate Index which hold things like your enterprise portal, give you the ability to search for people’s expertise, and other informationLastly there is the internet, which is where people usually go to look for information that is outside of their organization
Some of the tasks that information workers do on a regular basis are browsing for content, organizing it and trying to find it.Sometimes this can be a difficult task. Searching for information is not a stand alone task. It is usually part of some other task or goal (eg. Analysing sales numbers, contribute to a report for senior management, etc). When the information worker looks for data, they usually target a known and limited and familiar set of sources. We see that this conflicts with the trend that we just discussed about how information is stored in multiple locations on their pc and in remote repositories like network shares or Microsoft Office SharePoint sites. With information stored all over, trying to find it, organize it and see it all in one simple view can be difficult. IDC has done some research and have found that roughly 8.8 hours a week is spent searching for information which has a costs of $14,209 per person per year. Reducing the time spent on searching could increase productivity and cut costs.What we are hearing from Information Workers’ is that the solution they require is an intuitive, reliable way to organize, browse and search for data because ultimately the goal for the information worker is not finding the content, it is using the content.
When information workers looks for data they usually do it in in one of two waysThey browse though their folders trying to find the document that they are looking for orThey execute a search and the machine would crawl though their files or the search index to find the files that match the search criteria submitted. If they did not find what they were looking for then they might search other locations, like their intranet portal. They take the same search criteria that they used before and re-enter it into that repositories search page which may have a different search experience.
There have been some changes to features that you already know like Windows Explorer and Windows Search in Windows 7 to help information workers quickly view, organize and find their information. The help you even more, we have also created some new features like Libraries, Federated Search and Enterprise Search Scopes. Lets talk about these in greater detail.
One of the main ways that people interact with their files is through Windows Explorer. In Windows 7 there have been some changes to Windows Explorer to help you interact with your files. One of the changes made to Windows Explorer is that it is much cleaner. A good example of this, are the changes we made to the navigation pane which is on the left side of the explorer window. We have make it more intuitive and less cluttered to help you easily access your favorite locations, libraries and navigate to the content you are looking for.We also wanted to make things simpler in Windows Explorer. For example, it is now easier to create a new folder and enable the preview pane. These tasks are surfaced as buttons in the Explorer window and you no longer need to right click or go into another menu to do these tasks. Additionally when you execute a search in Windows 7, the results can be displayed in a new “Content” view within Explorer. The Content view makes it more obvious to you why the particular items were returned from the index.Windows Explorer is also seamlessly integrated with the Libraries and the other search features like Federated Search in Windows 7

Many information workers have files stored in multiple locations on their computers and as you have more locations that the files are stored in, the harder it is to manage and organize them. Many times people will have multiple copies of a file on their computer because the don’t remember where the file was located so they download another copy of it or even recreate the file from scratch.Using the metadata stored in files, the new Libraries feature in Windows 7enable users to instantly organize files that are located across a numberof different locations like file folders on a hard drive and file shares indexed on remote computers.When opening a library, the user gets an aggregated view of the data, in all locations that constitute the library. There are four defaultlibraries created by Windows 7, Documents, Pictures, Music, and Videos. By default each library has two folders that it aggregates. The Documents library aggregates your “My Documents” folder and the “Public Documents” folder. Each of libraries have preset file arrangement views that are specific to the type of metadata that is usually stored in these files. For example you can arrange the files in the Documents library by author to help you see content created by a specific person. Folders can be easily added or removed from a library.New libraries can also be created by the user to help them organize their data.Libraries are based on the familiar “My Documents” experience users already know so using them should be easy for many people. Users can save files to libraries just like their “My” folders. Folders aggregated by Libraries are also automatically added to the Windows Search index to make finding the content within them easier.
You can also add folders to Libraries that Windows Search 4.0 has indexed on remote computers. This would be great for the file shares that you have setup on other windows servers. You are not limited to the libraries that are created for you, you can create new librariesManaging them is also easy, you can add locations, change the default save location when you drag a file into a library and even rename themThere is also an option to restore the default libraries and their settingsSince libraries are not locations on the computer, just aggregated views of data, they can be easily deployed. A library is an xml file with the extension .library-ms that is stored in the users profile. You can create and deploy these files in many ways like login script, add it to the default users profile in your image or use group policy preferences to copy the file to the us.

Windows 7 has also introduced some changes in searching for information. First we took a look at how people could easily access the search features of their computer. One of the locations that is usually visible is the start menu and it is a logical place for us to integrate search because people already use it to look for applications they want to run. If you used the search features in Windows Vista, you have already experienced the search box integration that we made in the start menu. Here you were able to search for programs, files, and control panel settings. In Windows 7 we have made improvements to how the start menu displays your search results and we make it easier to find what you are looking for. If you been using Windows Desktop Search on Windows XP you will notice that the deskbar you used to enter you search string is not available in Windows 7. The search box in the start menu is the natural evolution of this feature.The search box is also integrated into Windows Explorer. If you look at the upper right side of an explorer window you will see a search box that you can use to enter a search string. This will begin searching for content that is stored in the folder and subfolders that your explorer window is currently showing you.There is also a new search builder built into the search box in Windows Explorer. The search builder helps you refine you search using some of the properties and metadata associated with the content in your search results. For example, if you are in your documents library, can filter you content by file type, date modified, or metadata tags associated with the documents in your search results list.We also improved making it more obvious why the content in your search results were returned. One of the simple ways we did this, is that we added hit highlighting to the results so you could see where the query term appears. There is also the new “content” view that I mentioned earlier. This is the default view that the search results are retuned in. The content view shows you the name of the file, it’s location, some of the metadata associated with it, and a snippet from the file where your query term was found. The content view uses the hit highlighting to make it easier for you to understand why that file was returned in the results. We also wanted to make it easy to rescope your search. This is important since there are times where your search does not find what you re looking for and you want to send the exact same query to another location.There was also some effort put into making Windows Search less resource intensive, more reliable and stable

What we usually hear from enterprises is that there are some issues when trying to search across multiple remote data storesEach data store has a different search UI and it means that our users have to learn how use that UI and how to get the most out of it.There are usually a lot of different data stores in the organization (SharePoint, SAP, PeopleSoft, SQL Databases, etc) and users don’t always know which ones exist or what is the authoritative sourceTrying to write a tool and deploying client side application/code is hard for developers and IT Pro’s. You have to maintain the app (update for new data sources, changes to data sources, etc)Integrating remote search with existing workflows and apps is not easy. You want a seamless experience in the applications that you use.
Federated Search in Windows 7 could be your answerIt is easy to enable. All of the “plumbing” is in the OS. The only thing you need to create is a simple XML connector to tell the operating system where the remote repoistory is and what format the receive the results in. It is also standards based so many repositories can use Federated Search in Windows 7 today.The information worker can easly use Federated Search from the start menu, favories in the explorer window’s navigation pane, though the search again links at the bottom of their search results and the common file dialog box (the box that appears in many applications when you want to save a file or insert a picture in a document)It is also intereted with your applications and workflows. You can preview files from remote repositiories in explorer using the preview pane, you have access to metadata associated with files, and you can even drag and drop files from the federated search result window to your desktop.From a workflow standpoint, think about this example. Lets say that you are building a PowerPoint presentation and you want to insert a picture that is stored on a Microsoft Office SharePoint Server 2007 site. In PowerPoint, when you insert the picture you are shown the common file dialog box, which is the window that allows you to browse to the location of the picture you want to insert. With Windows 7 though we can use federated search within the common file dialog box to query SharePoint for the picture we are looking for and not leave the PowerPoint application.
There are three steps you have to do to enable federated search in your environement.You need to enable federated serach on the remote repository. The repoitory needs to support the OpenSearch 1.1 standard and send the results of query via RSS or ATOM to the Windows 7 machineCreate the Open Search Descrption File which is a small XML blob with the extention of .osdxDeploy the connector. You can use various pull methods by having the user run the .osdx file from a network share or from the website. When they run the .osdx file it will create the windows search connection file (.searchconnector-ms file) and a link to it in their profile. You can also push the windows search connection file to the user by baking it into the image, deploying via login script, group policy preference, your software distribtion tool, etc
Federated Search works fairly simply.One you enable the server, create the osdx file and deploy it to the machine, the user executes a search which takes their search string and injects it into the url that you provided in the osdx file. The server takes that url and then sends back an RSS or ATOM feed which is interpertied by Windows 7 and displayed by default in the new content view in Windows ExplorerThe opensearch protocol is what makes all of this possible. OpenSearch was designed by Amazon and their A9 search project. Many products suppportopensearch or can be modifiied to support it. Sharepoint 2007 supports it out of the box today. Federated Search is also intergated with Widnows authentication so if your remote repository uses NTLM, Basic over HTTPS or Kerberos, the user will not have to reenter their credentails and will only see results for which they have access to.
The last feature I wanted to discuss was Enterprise Search Scopes. . This allows IT Professionals to surface the most accurate and authoritative data sources that information workers should leverage when searching for data in the organization. Information Workers get the option of recoping their search to these locations quickly without having to renter their search string.IT Professionals use group policy to setup the enterprise search scopes which appear in the search results displayed in start menu and at the bottom of their search results in Windows Explorer. Enterprise Search Scopes are only available in Windows 7 Enterprise and Ultimate.
