1. VIRTUAL MEETING: QUICK USER’S GUIDE
REQUIREMENTS: To participate at a Web videoconference with
Virtual Meeting it is necessary to have an Internet connection
(ADSL), a browser with plug-in Adobe Flash Player® 8 and active
Javascript, a webcam, headphones with microphone (the microphone
and webcam are necessary only for active participation in a
meeting).
TO PARTICIPATE AT A MEETING: To access the “virtual room” where the meeting will be
held, click on the link shown on the e-mail invitation forwarded by the room’s
administrator/speaker. The invitation states the necessary username and password to login
(entrance to room). Once inside the room it is possible to access the various functions placed at
disposal limited to those pre-established by the administrator/speaker. Any user once inside the
room, is automatically connected to reception of audio/video signals by the speaker without doing
anything. If one desires to interact with the speaker or with other connected users it is possible to
use the Chat instrument which allows sending of public messages (to all users) or private (only to
the chosen user). Each user, if so desired, can, on asking the speaker, actively participate at the
meeting (to show and be listened to by all) by clicking on the “Raise the hand” button; the speaker
will decide whether or not to activate the applicant. Once a user is active, besides showing and
being listened to by all those connected, he can also use the ‘blackboard’ and show his own
desktop (to execute this it is necessary to have previously downloaded and installed NitroCAM).
SETTINGS: Each user, autonomously, has the possibility to modify some settings of sizeable
importance such as quality of video signal (received and transmitted), volume, balancing and
method (mono or stereo) of the audio transmitted by the speaker, his own microphone’s volume
and activation of echo suppressor. Besides these, by clicking on the button “settings” it is possible
to choose the audio and video (microphone and webcam) acquisition equipment to be used. The
choice of acquisition equipment is only necessary should one decide to actively intervene at the
meeting.
EXCHANGE OF FILES: Each user can load and download platform files. To execute these
interventions just click on “File management”: inside a frame will be shown the list of files already
present and some buttons to each of which corresponds a precise intervention. To download a
file, choose from the list and click “Download”, after which choose the route on your PC on which
to save the file. There are two different means to load a file: the first, public, allows
downloading a file which will rendered available to all (anyone can download); the second allows
downloading the file in private form, or rather no other person can see it and consequently
download it. For some types of file it is possible to visualize a preview directly from inside the
platform: it is just sufficient to choose the file and click “Preview”. The files downloaded on
platform can be eliminated only by the administrator/speaker. The user can only cancel his own
files (those downloaded in private form). The speaker, in addition to these interventions, has the
faculty to enforce visualization of a file preview to all connected users.
TOOLS: The platform foresees various instruments such as calculators, personal memos, mail,
etc. These instruments can be used by any connected user without the need of any previous
setting by the administrator/speaker.
