Wisconsin SharePoint User Group November 2021 Ignite News

Editor's Notes

  1. Delivering Viva Topics through Teams has been one of the most awaited capabilities since our launch earlier this year. In July, we released an update to enable you to pin your Topic Center as a left rail app in Microsoft Teams. In our next update, you’ll be able to add topics to your chats and link to topic cards from highlighted topics in Teams. This feature will start rolling out to our Early Adopter Program customers in early 2022 and will reach general availability by March 31, 2022. You can track this update on the Microsoft 365 public roadmap under item 72189   You’ll also soon be able to use Viva Topics inside Outlook. When you’re reading messages, you’ll see a simple indicator to show you all the topics referenced in an email. And when you’re composing email, you can use a hashtag to add a topic highlight or have Viva Topics suggest topics based on the content you type. Outlook integration will preview for Outlook Web Access users by December 31, 2021, and you can track this update on the Microsoft 365 public roadmap under item 88693. We’ll also integrate Topics into people profile cards, Yammer, and Microsoft Search in Bing – all coming to preview by year end.
  2. Earlier this year we delivered the ability to edit pages and news directly in Teams, soon you will be able to create them as well without leaving the Teams app. At the core of pages is the authoring experience, and we want to make it intuitive and simple to use. We’re integrating with Editor for grammar and spelling suggestions. We’re surfacing more commands in our canvas toolbars, and support for inline images so you can have text alongside images. We also want to make it easier to design beautiful pages so we’re providing section templates that serve as a great starting point for building out your pages and news posts.
  3. One of the best things about SharePoint and Teams is how separately they provide world class collaboration, and when you combine them together that boundary disappears. With our newest Microsoft 365 connected templates, we are bringing both into one seamless creation flow – no matter where you start from. When we create this team using the template, the project management channels and apps, and the connected SharePoint template gets applied automatically. Critically, the pages, lists, and power platform integrations are pinned right here in Teams, and best of all these pages and lists are fully editable right in Teams.
  4. For SharePoint on-premises customers, you can now migrate SharePoint workflows directly to Power Automate. You can select workflow migration option and run the migration task by following the wizard. All it takes is to simply provide the source site and then enter the destination. After the migration is completed, the flow owner can sign into Power Automate, navigate to the right solution, and validate the migrated flows.
  5. Syntex models create structured metadata from unstructured content to add tags and policy labels to your files. Many times, though, you may need to rebuild common document types – nondisclosure agreements, contracts, purchase orders, and more – where the basics stay the same from one doc to the next. Perhaps only the company name or address change.   Content assembly delivers intelligent document templates for Microsoft 365. Launching soon, you’ll be able to build new content from your existing data sources, leveraging our AI models to turn existing documents into automatic templates, to create contracts, invoices, statement of works and more. Content assembly will roll out in December 2021
  6. Adding rich metadata is powerful - but how do you use the metadata to get back to your content? You can use advanced Keyword Query Language (KQL) but that’s not always an easy process.   With advanced metadata search, Syntex users can select an icon in the search box that unlocks a metadata-based search form in Syntex & SharePoint document libraries. Initially the form shows five fields – keyword, people, name, type, and modified. This enhancement is rolling out now  And soon, you’ll be able to filter by custom content types – e.g., not “Document” or “Folder.”  Content type filtering will start rolling out by the end of November 2021.

  8. Soon, you’ll be able to work with list data in a board– an oft requested Lists view. This view is ideal when you want to track items as they move forward in a process or workflow. Moving items through stages is as easy as dragging and dropping. It’s easy to configure which columns from your list are displayed in the cards and in what order. The board view is just a one way of visualizing and working with the same list data. In any list, I can switch to the Grid view to see all the data in a table. I can point, click, and drag to update the status of many items at once.
  9. Lookup columns allow you to connect a list to a column from another list you have on your site. Once connected, you can easily “lookup” other information and include this in your new list. This makes it easy to maintain team-level, centralized lists that contain information you use repeatedly.
  10. Now you'll be able to view and start creating lists as an action from within the SharePoint app bar. This means, no matter where you are in SharePoint you can jump right into the list viewing or creation process - and stay in the flow of work.
  11. We continue to make steady improvements to editors in the Grid view – one change I’m proudest of is our new rich text editor. It’s a snap to click in and quickly apply formatting to items that need it. If you make a mistake, edits are quickly reversible – I can use the undo/redo buttons or keyboard shortcuts to roll back any changes I don’t want to be final.
  12. Lists now support all the same link-sharing capabilities as files, so you can easily grab a link that works for anybody in the world, or just scoped to your organization. And all the goodness I showed earlier in the sharing dialog, like the ability to see who a list has been shared with, is here as well.
  13. We’re pleased to announce that the Microsoft Lists app is coming to Android devices early next year. Like Microsoft Lists for iOS, expect to access your favorite and recent lists, create a new list using a template - view, edit and organize list items at the tap of your finger. You, too, will be able to scan and upload documents as attachments to your items. Now, no matter what device you’ve got – iOS, MacOS, Windows, or Android, there’s a Lists app for you. If you’d like to join the external preview of this app later this year, stay tuned for updates. Sign up today for the Microsoft Lists for Android (Private Preview).
  14. Lists you work with now get automatically synchronized to your Windows device, if that device has the OneDrive sync app installed. This means numerous improvements to your everyday Lists experience. First, it means you can load the Lists app and view and edit list data when you’re offline. Second, loading and interacting with lists just got a whole lot faster, whether you’re online or offline. Finally, views inside synced lists never get throttled, regardless of the number of items in the view, or whether those columns get indexed.
  15. We’re pleased to announce new capabilities for custom list templates. As you design and define custom list templates, you can now program in Power Platform app experiences and Lists rules to be pre-created for use when a new list gets created. Note, you will continue to be able to manage which templates are available to which people, based on their job role - for both custom list templates and Microsoft-provided templates.
  17. Mesh for Microsoft Teams introduces a new generation of 2D and 3D meeting experiences with personalized avatars and immersive spaces to bridge the gap between physical and digital worlds. With personalized avatars, you can feel presence in meetings without turning on cameras. Users can make conversations interactive and express themselves using live reactions through avatars. Organizations now can use immersive spaces that resemble physical spaces, such as conference rooms, design centers and networking lounges to enhance camaraderie, spark creativity and foster water-cooler connections. Users can seamlessly leverage their existing documents, presentations, and content from Microsoft 365 and share and collaborate using this content spatially. Mesh enabled experiences in Teams provide users more flexibility and choice in how they connect, create, and collaborate. These experiences will be available in preview as part of Teams on PC, mobile and through mixed-reality headsets in the first half of 2022. Learn more here.
  18. Microsoft Teams offers secure solutions to collaborate with external parties, and with Teams Connect we are making it even easier to work with anyone outside your organization, while giving system admins a range of controls and tools to ensure security. Teams Connect will be in public preview in the first quarter of 2022. Shared channels are a scalable boundaryless experience, which can be shared with individuals and teams across multiple organizations. With the new enhancements coming to the private preview, you will be able to schedule a meeting, collaborate in real-time on apps, and share channels with up to 50 teams and as many organizations as you need. Available in public preview in the first quarter of 2022.
  19. Teams will enable you to chat with team members with a Teams personal account who are outside your organization. You can invite any Teams user to chat using a personal email address or phone number and remain within the security and compliance policies of your organization. Available by the end of 2021.
  20. Chat with self is a safe place for writing drafts, such as quick ideas and reminders on mobile – helping you stay organized and avoid sending incomplete messages accidentally.
  21. Delay delivery of messages enables you to select a specific time to send a message. Like delay delivery in outlook, you will be able to send out chat message in a time that is convenient to you, and the message will arrive to its destination at the time you scheduled.
  22. Stay on top of your information using the new search results UI in Teams. Filter results and toggle between tabs to find the information you need.
  23. Chat density feature lets you customize the number of chat messages you see on the screen with different settings. Compact setting lets you minimize the need to scroll up and down by fitting 50% more messages on the screen. Comfortable setting keeps the chat display as it is in Teams today.
  24. To help you express yourself more authentically, you can add reactions to messages from over 800 new 3D emojis, up from six currently available.
  25. We often work in distributed teams. To help you with scheduling messages, quickly check your colleague’s time zone, right from their contact card, enabling you to time your messages to get faster responses, while being considerate of your colleagues’ schedule.
  26. Help your team set expectations before the meeting kicks off by assigning roles from the scheduling form, allowing participants to feel prepared. Also, you can ensure that all voices are heard by seeing the order of raised hands in a meeting. It’s clear that multitasking is hard and, in turn, is creating meeting fatigue. Through mute notifications and pin or hide your own video features, Teams can better help you focus on your goals. As mobile device use is becoming more prevalent in meetings, Teams looks to ensure that everyone can participate on a level playing field. We're revamping the overflow menu to prioritize key actions like viewing chat. Also, we're adding a notification drawer for in-meeting system messages, so users can preview, collapse and clear all notifications with one tap.
  27. New webinar and broadcasting capabilities in Microsoft Teams make it easy to set up and deliver professional, engaging experiences to internal and external audiences. The new capabilities include: A virtual green room enables organizers and presenters to socialize, monitor chat and Q&A, manage attendee settings and share content before the event starts. This provides a private space, separate from attendees, to talk live and prep in the pre-live phase. While attendees wait, they are greeted with a welcome screen, and they can use chat to engage or pose questions with the Q&A experience. This feature will be available in preview in early 2022. Enable organizers and presenters to manage what attendees see, and easily minimize distractions and keep the audience engaged during an event. This ensures that attendees will only see shared content and participants that are brought on screen. This feature will be available in preview in early 2022. The co-organizer feature enables you to assign up to 10 co-organizers for webinars and meetings. The co-organizer will have the same capabilities and permissions as the organizer, enabling them to do multiple tasks such as manage meeting options, create polls, and control audio settings. To assign co-organizers, select meeting options, find ‘choose co-organizer’, and specify which participants from the meeting invite should be designated as a co-organizer. This feature will be available by the end of the year. The new Q&A experience enables more structure for both open and moderated meetings and webinars. Organizers and presenters can mark best answers, filter responses, moderate and dismiss questions, and pin posts such as a welcome message. To enable Q&A, simply add the app during the scheduling process, by selecting the ‘+’ to add a tab in the invite and adding Q&A. The Q&A experience for webinars and meetings will be available in public preview in November.
  28. 29.  Now, when someone shares a folder with you in OneDrive, Microsoft SharePoint, or Microsoft Teams, you can easily add a shortcut to that shared folder, either from Shared with me or your shared libraries, in your OneDrive to easily find it later. Added folders retain all the power of OneDrive, which means you can sync and access these folders from anywhere on any device; share and co-author files in added folder; and, stay up-to-date with @mentions, activity, and notifications. Added folders respect all existing policies, compliance, and security settings, too.
  30. We have heard your feedback and we are happy to release a bunch of new enhancements that will improve your photos experience on OneDrive. Soon, you will be able to leverage built-in photo editing capabilities in OneDrive to crop, adjust and add filters to your images. Crop will help you trim your photos manually or use preset aspect ratios. You can also rotate your photos left and right by 90 degrees or flip an image by 180 degrees for easy viewing. With Adjustments you can alter the light and color of your photos by calibrating brightness, exposure, contrast, highlights, shadows, and color saturation. Using creative Filters, you can refine the tone of your images or add special effects to transform your photos. When you make edits to photos on OneDrive, you’ll have the option to save the changes as a new image or overwrite the original image. And if you accidentally overwrite your original, you can use version history to recover it.
  31. This year we made it possible for you to install the OneDrive website as a progressive web app (PWA) directly on your computer. This enables you to open OneDrive in its own window or set it to launch automatically when you start your device, giving you secure access to your OneDrive files.
  32. To ensure that you have a consistent experience while working with files across OneDrive, SharePoint, and Teams, we’re enabling Add to OneDrive in Teams Channel files. Soon, you’ll be able to add your important shared folders to your OneDrive while collaborating on Teams.
  33. Teams meeting audio and video recordings are now all saved automatically to your OneDrive Recordings folder for personal meetings or SharePoint for channel meetings. We’re also making it easier for you to find and collaborate on your important meeting recordings. By the end of this year, video recordings will be embedded with transcripts and comments to help you jump to part of the conversation you are most interested in. Later next year, we’ll also be introducing a native Table of Contents so you can explore a recording based on any slides presented during a meeting with PowerPoint Live.
  34. We recently announced that OneDrive will be natively compiled for M1 and will be releasing a preview for the Insiders Ring in December. You can take full advantage of the performance improvements on M1 by early next year Known Folder Move (KFM) for all macOS users will be available early next year, giving them the ability to keep their Desktop, Documents, and Pictures folders protected by syncing them to the cloud with OneDrive. This means that people using OneDrive with macOS Monterey can continue using folders they’re familiar with to do their daily work and be assured that their data is backed up and secure. KFM will also enable macOS users to access their most important files across different devices and applications because their content is automatically synced to OneDrive with no disruption to productivity. IT admins can use the KFM reporting to view what errors have occurred, how many people have opted in to protect some or all folders, and how many devices have been updated with the latest OneDrive Sync client. This year we revamped the OneDrive sync experience in macOS Monterey and for macOS 12 based on Apple’s new File Provider platform to enhance user experience and familiarity. Now, the OneDrive folder will be visible under Locations in the Finder sidebar, providing easy and quick access to all your OneDrive files. We also worked with Apple to refresh the status icons in OneDrive running on macOS: Online only files that don’t take up space on your device are represented by a cloud icon  When you open an online-only file, it downloads to your device and displays the icon for a locally available file Locally downloaded files that require device space display the always available file icon Read more about Files On-Demand for macOS here. This updated experience is currently enabled in the Insiders Ring and would be generally available early next year.

  37. Today, we’re pleased to announce the new home site app for Teams, which brings your home site and the best of your intelligent intranet to Teams. The app gives users a gateway to your organization, starting with the app’s name and icon, which you can customize to reflect the identity of your organization or your intranet. The app’s multi-level navigation lets people find sites across the organization, including portals, teams, communities and applications. Sites built on modern SharePoint will render inside Teams itself. And the app makes it easy to share and discuss content from intranet sites in Teams channels and chat.
  38. Customers have also asked us to provide a global navigation experience that connects the workplace. The new SharePoint app bar brings a consistent navigation experience to every site on your intelligent intranet, featuring quick access to important sites across the organization, personally relevant sites, and the news feed. The customizable, global navigation in the app bar is shared with the home site app, giving employees that consistent navigation experience across Teams and the browser.
  39. Now you can use built-in templates to give any existing site an extreme makeover. Templates, like the leadership connection template, have been purpose-built to support specific scenarios. They integrate the superpowers of SharePoint and other Microsoft 365 experiences, and deliver a beautiful, out-of-box design that you can customize with no code to reflect your branding and your needs. Of course, templates are responsive and accessible, so your experiences can be inclusive of all users, across devices.
  40. We came up with a marriage of today’s progressive web apps and the intelligent sync and database technologies that we worked on in optimizing OneDrive. But brought to more data and app types.  From that effort came Project Nucleus, which you will see coming initially to Microsoft Lists.   Project Nucleus will power the next generation of our web apps and portals. It will use intelligent sync to a database to keep a cache on the client that our web apps use to deliver a leapfrog in performance.   Project Nucleus will allow you to accomplish common tasks, like column sorting and grouping, at blazing fast speeds on lists of any size regardless of your Internet connection speed.   All changes are synched with the local cache so Project Nucleus will enable you to work even when offline! All changes made are uploaded when you reconnect to Internet.
  42. Admins will soon be able to monitor sync adoption and health. With the sync admin reports, admins will have access to machine sync insights on a per user basis and can check sync status and sync app versions of individual devices. Admins can also monitor the success of Known Folder Move rollout and see the related progress for each device, like which devices are successfully opted into Known Folder Move, how many folders have moved, and more. Finally, they will be able to drill into sync errors and see the errors on each device, empowering them to proactively solve end user problems. As businesses moves more towards remote working scenario, this has become immensely important for sync admins. Sync admin reports will roll out to public preview later this year.
