The Health and Safety at Work Act requires us to provide information, instruction,
training and supervision to ensure, so far as is reasonably practicable, the health
and safety at work of employees.

This is expanded by the Management of Health and Safety at Work Regulations,
which identify situations where health and safety training is particularly important
i.e. when people start work, on exposure to new or increased risks and where
existing skills may have become rusty or need updating.

We need to induct people for plants, buildings or areas to …..
• Inform them about the local Hazards
• Tell them about the Controls and Precautions they must be aware of and
     comply with
• We must record who has been inducted and when, so that we can check all
our staff and contractors have been inducted, and to provide evidence of this if
     we need to

Several recent Audits carried out by the safety team have identified that our local
induction processes have gaps. Inspecting the plant signing in books identified who
was on plant, but checking our induction records failed to provide evidence that any
of the dozen selected individuals had been inducted.

This may be because ………

• The individual had not been inducted
• The individual had been inducted, but it was ?? Years since
• The individual was inducted, but we did not accurately record the induction
Our recently updated MP 1103 Control of Visitors identifies that ….

Site induction is provided to give people enough information to be able to travel safely across
site and get to their host or plant area destination.

Local induction is required before people can work on or move around safely in the local area.

The area manager must decide on the level of local induction needed, and a list of suggested
“contents” has been provided for consideration.

The manager can include the need for a validation sheet if they believe this will be of benefit.

A Powerpoint induction template is available from the Safety team.

All those who have been inducted need to be recorded. Records must be held in such a way as
to allow ease of access to the information for Audit purposes, and to identify those needing
refresher training.

 Refresher training is needed annually for area non-residents

 Refresher training is needed for everyone when significant changes happen to the local area

Safety Induction guidelines

Anyone entering one of our plants, buildings or areas needs to be inducted, unless
they are part of a hosted group.

Inductions need to be carried out as soon as they practically can – and new
people should not be left unsupervised until after they are inducted.

People forget, and things change – for these reasons people need periodic
refresher training, and inductions are no different – annual intervals are the
recommended frequency for non-residents.

There MUST be a robust induction recording process in place.

The recording process must be owned by the operating team.

The induction and records systems should be audited by the operating team
manager.
