Overview
For over the last fifty years, a leading Australian cleaning services provider has offered excellent and
tailored cleaning solutions across a number of industries, including retail, commercial cleaning, industrial
and educational sectors. Their many services across Australia include hygiene services, periodic and
specialist cleaning, specialist floorcare solutions, 24/7 emergency response, grounds maintenance and
facility support services.
The challenge
The challenges this cleaning services provider was facing included:
• area managers across Australia needed to be able to order hygiene and cleaning products as
needed by their areas and sites, and
• the products available to area managers needed to be selected by a centralized management
team at head office in collaboration with area managers.
The outcomes the client was looking for included:
• Deploy a seamless and efficient online ordering system for all area managers
• Implement an approved stocklist process by management
• Only make approved stocklists available for ordering by area managers
• Control order quantities against monthly budgets through an online order approval system
• Produce appropriate MSDS's available for all products
• Receive fast delivery of orders
• Access support and customer service when require.
Our solution
We worked closely with this client to create a bespoke digital solution which would enable to the
outcomes they were looking for.
We developed a unique function on our website which provided the management team at head
office to identify the products to be on their approved stocklist across their national footprint.
Our system reacts and only makes approved products available to area managers for ordering.
This has created significant advantages to the organisation through the incredible control over all of their
ordering. It has empowered them to be able to negotiate pricing structures for the company as a whole,
as well as mitigate any potential OH&S risks by not allowing potential hazardous products on site and all
products have appropriate MSDS available.
We simplified their ordering process by integrating the ability to order against individual monthly site
budgets with an order approval process.
By placing any orders which fell outside of budget into a review and approval process, the client gains full
control of their ordering, keeps stock levels at site manageable and helps reduce unnecessary spending
in order to maintain their costs.
It’s our ability to be flexible, our genuine desire to help improve processes and our commitment to
making our client’s life easier that underpins these solutions.
The outcome
We went beyond the client’s expectations and added more value in relation to the reconciliation of their
accounts.
We developed a unique solution for them which enabled customised reporting based on their monthly
expenditure, making it extremely efficient and easy to reconcile and sign off invoices for payment. The
report also allows for rechargeable items to be identified, making it easier to on-charge their clients what
is contracted, and reducing time spent each month on these accounting tasks for their staff.
Our promise of no backorders has greatly impacted this company’s ability to provide reliable service to
their clients. Working closely together, we supported the development of a list of guaranteed stock,
targeted towards their specific requirements, which in turn means that stock is held locally for their area
managers on a monthly basis. This reduces dispatch time of orders to site, and offers them peace of
mind and confidence knowing that we as their supplier have the ability to provide guaranteed service on
their behalf.
As a result, this national cleaning services provider not only achieved their objectives, but also gained a
significant advantage in their industry by working with us.
