a placement fee by the hotels that does not inflate or impact your
rates at all.

4. Hotel Searches
We learn about your meeting, research rates, concessions, menu pricing, tax information,
transportation costs and more from ALL hotels, conference centers or convention facilities
in the cities you are considering - anywhere in the world. We provide an Availability Report
to you with 48-72 hours. Saving you hours/days searching the internet, calling hotels,
compiling data and answering hotel follow up calls. Your contact information remains
confidential.
Rate & Concession Negotiations
As you narrow the hotel options, HPN begins to negotiate further on our client’s behalf for
lower rates and additional concessions. Combining our volume buying power and extensive
hotel experience, results in lower rates and more concessions, upgrades and waived costs
than individuals can acquire on their own.
Site Inspections
HPN will arrange all aspects of your site visit: transportation, meeting times, meals, and
overnight accommodations. We provide a detailed itinerary outlining your entire trip. We
will ensure that the hotels have a complete understanding of all of your meeting needs, so
that your time is productive while touring their facility. If appropriate, your HPN Associate
will accompany you on the trip to assist you.
