GROUP “TEAM” CONTRACT - NURS 2020H

Team Procedures
1. Day, time, and place for regular team meetings:
a. Thursdays and Fridays at the Peterborough County-City Health Unit from
9-10 am will be our set group meeting time to set a daily agenda, which
everyone must keep clear on their calendar.
2. Preferred method of communication (e.g., e-mail, cell phone, wired phone,
Blackboard Discussion Board, face-to-face, in a certain class) in order to inform each
other of team meetings, announcement, updates, reminders, problems:
a. E-mail and cell phone will be our primary methods of communication in
order to inform each other of team meetings, announcement, updates,
reminders, and problems.
3. Decision-making policy (by consensus? by majority vote?):
a. As a team we will be using consensus as a group decision-making process.
The inputs and ideas of all team members will be collected and
synthesized to arrive at a final decision acceptable to all.
4. Method for setting and following meeting agendas (Who will set each agenda?
When? How will team members be notified/reminded? Who will be responsible for
the team following the agenda during a team meeting? What will be done to keep
the team on track during a meeting?)
a. Team members will mutually collaborate with one another to set
objectives, the agenda and time allocation for each topic agenda on agreed
upon day and time. It is expected that all team members will be punctual,
starting the day at 8:30 am and will be there and ready. Team members
will be reminded of upcoming meeting either through e-mail or by cell
phone.
b. The following ground rules are established to keep the team on track
during a meeting:
√ Mutual Courtesy, respect and attentiveness
√ Tolerance for diversity (By encouraging diversity of opinions in all topics)
√ Openness to all perspectives (be open to new approaches and listen to new ideas)
√ Balanced participation and opportunity to speak (Give everyone the opportunity
for equal participation).
√ Clear communication (Be clear and to the point; active listening; use of visual
means such as drawings, charts and tables to facilitate discussion)
√ Teamwork
√ Promptness and attendance
√ Rotate taking of minutes and time keeping
√ Responsibility for assignments and between-meeting work
√ Everyone is responsible for the mission of the group and the process of the
meeting
√ Conflict management and decision-making (Avoid placing blame when things go
wrong. Instead, we will discuss the process and explore how it can be improved).
5. Method of record keeping (Who will be responsible for recording & disseminating
minutes? How & when will the minutes be disseminated? Where will all agendas &
minutes be kept?):
a. Team members will take turns to manage the times of the meeting by
calling out the time remaining on each agenda item and calls for end of
discussion or re-allocation when time runs out for an agenda item. All
agendas and minutes for each meeting will be recorded and filed.
Team Expectations
Work Quality
1. Project standards (What is a realistic level of quality for team presentations,
collaborative writing, individual research, preparation of drafts, peer reviews, etc.?):
Team Presentation:
As a team when presenting members should be able to anticipate the likely questions and
decide in advance which team member will respond to each question. Everybody has to
be alert and ready to offer answers to questions the presenter is unable to tackle.
Everybody on the team has to make it his or her business to totally understand what is
being presented. Carry documentation and relevant support reports to the presentation.
Preparation of written report:
It is important that all team members contribute to the writing of the team report. A report
written collaboratively is effective when it becomes meaningful to the organization,
provides cogent information for official decision-making process, and accurately reflects
the outcomes of the project. The team report should accurately reflect the consensus
views of the team and should convey the rationale for each aspect of the team’s member
recommendation.
2. Strategies to fulfill these standards:

As team members when presenting should
√ Explain clearly the contents of the presentation
√ Be confident
√ Convince the audience
√ Clarify doubts and concerns
√ Use proper presentation aid
√ Be aware of each partner’s role and designate topics to present
It is very important that team members are aware of disagreements and should be
supportive of one another and present as a team.
Strategies to fulfill standards of written report:
All team members should
√ Understand the nature of the team report, its different sections, its audiences, and
its purposes
√ Provide substantive, useful information for the report
√ Complete assigned portions by the deadlines
√ Read the draft report with care for spell and grammatical errors, and provide the
clinical preceptor at the placement with edits and corrections
√ Designate subtopics between team members that they are responsible for
Team Participation
1. Strategies to ensure cooperation and equal distribution of tasks:
a. Create a list of tasks to be completed under the program plan; estimate
time requirements per each task and divide up according to equal work
distribution.
2. Strategies for encouraging/including ideas from all team members (team
maintenance):
a. All decisions will be mutually made by discussion among team members
and in consultation with the clinical preceptor. Record all input during
brainstorming sessions. Discuss pros and cons to each idea and decide
together which are best for the team.
3. Strategies for keeping on task (task maintenance):
a. Create individual daily goals that must be met to keep on track; prioritize
key tasks; work in a quiet environment and minimize distractions.
4. Preferences for leadership (informal, formal, individual, shared):
a. Shared by all team members.
Personal Accountability
1. Expected individual attendance, punctuality, and participation at all team meetings:
a. All members of the team should be punctual and should give team
members 24 hours notice prior to missing a meeting. Active participation
is expected.
2. Expected level of responsibility for fulfilling team assignments, timelines, and
deadlines:
a. The tasks that group members agreed to undertake should be completed to
the agreed deadline. If it looks as though there will be a problem meeting a
deadline, the person concerned should seek help from other members of
the team in time to avoid a delay.
3. Expected level of communication with other team members:
√ The team members will actively seek a consensus of opinion based on the
opinions of every member.
√ Each member of the team will take turns listening as well as talking, and active
listening will be a strategy for all group discussions.
√ Sexist and racist remarks are not acceptable.
√ Aggressive and dominating behaviour is not acceptable.
4. Expected level of commitment to team decisions and tasks.
a. All members of the team should turn up to all meetings unless it has been
agreed beforehand or unless there are unavoidable events such as illness.
b. All members of the team will remain in the meeting until (a) all tasks for
that meeting are completed, or (b) there is unanimous adjournment.
c. All members of the team agreed to do work that they are qualified and
capable of doing.
d. Be honest and realistic in planning and reporting project scope, schedule,
staffing and cost.
e. Focus on what is best for the project as a whole.
f. Promptly notify agency and preceptor of any change that could affect
them.
Consequences for Failing to Follow Procedures and Fulfill Expectations
1. Describe, as a group, you would handle infractions of any of the obligations of this
team contract:
a. First; approach the team member about the issue and discuss what they are
lacking in and why this has occurred to avoid making judgments before
gathering all the facts. Second; make a plan to improve that works for both
parties involved (for example, flexible deadlines in case of illness, etc.)
2. Describe what your team will do if the infractions continue:
a. Discuss the issue again with the team member, then bring the issue to the
preceptor, and finally if necessary to the faculty advisor.

  • 1. GROUP “TEAM” CONTRACT - NURS 2020H Clinical Instructor: Zahra Ismail Team Members: 1) Christine Burnett #0436351 2) Tanif Howlader #0222714 Team Procedures 1. Day, time, and place for regular team meetings: a. Thursdays and Fridays at the Peterborough County-City Health Unit from 9-10 am will be our set group meeting time to set a daily agenda, which everyone must keep clear on their calendar. 2. Preferred method of communication (e.g., e-mail, cell phone, wired phone, Blackboard Discussion Board, face-to-face, in a certain class) in order to inform each other of team meetings, announcement, updates, reminders, problems: a. E-mail and cell phone will be our primary methods of communication in order to inform each other of team meetings, announcement, updates, reminders, and problems. 3. Decision-making policy (by consensus? by majority vote?): a. As a team we will be using consensus as a group decision-making process. The inputs and ideas of all team members will be collected and synthesized to arrive at a final decision acceptable to all. 4. Method for setting and following meeting agendas (Who will set each agenda? When? How will team members be notified/reminded? Who will be responsible for the team following the agenda during a team meeting? What will be done to keep the team on track during a meeting?) a. Team members will mutually collaborate with one another to set objectives, the agenda and time allocation for each topic agenda on agreed upon day and time. It is expected that all team members will be punctual, starting the day at 8:30 am and will be there and ready. Team members will be reminded of upcoming meeting either through e-mail or by cell phone. b. The following ground rules are established to keep the team on track during a meeting: √ Mutual Courtesy, respect and attentiveness √ Tolerance for diversity (By encouraging diversity of opinions in all topics) √ Openness to all perspectives (be open to new approaches and listen to new ideas) √ Balanced participation and opportunity to speak (Give everyone the opportunity for equal participation). √ Clear communication (Be clear and to the point; active listening; use of visual means such as drawings, charts and tables to facilitate discussion) √ Teamwork √ Promptness and attendance

Instead, we will discuss the process and explore how it can be improved). 5. Method of record keeping (Who will be responsible for recording & disseminating minutes? How & when will the minutes be disseminated? Where will all agendas & minutes be kept?): a. Team members will take turns to manage the times of the meeting by calling out the time remaining on each agenda item and calls for end of discussion or re-allocation when time runs out for an agenda item. All agendas and minutes for each meeting will be recorded and filed. Team Expectations Work Quality 1. Project standards (What is a realistic level of quality for team presentations, collaborative writing, individual research, preparation of drafts, peer reviews, etc.?): Team Presentation: As a team when presenting members should be able to anticipate the likely questions and decide in advance which team member will respond to each question. Everybody has to be alert and ready to offer answers to questions the presenter is unable to tackle. Everybody on the team has to make it his or her business to totally understand what is being presented. Carry documentation and relevant support reports to the presentation. Preparation of written report: It is important that all team members contribute to the writing of the team report. A report written collaboratively is effective when it becomes meaningful to the organization, provides cogent information for official decision-making process, and accurately reflects the outcomes of the project. The team report should accurately reflect the consensus views of the team and should convey the rationale for each aspect of the team’s member recommendation. 2. Strategies to fulfill standards of written report: All team members should √ Understand the nature of the team report, its different sections, its audiences, and its purposes √ Provide substantive, useful information for the report √ Complete assigned portions by the deadlines √ Read the draft report with care for spell and grammatical errors, and provide the clinical preceptor at the placement with edits and corrections √ Designate subtopics between team members that they are responsible for Team Participation 1. Strategies to ensure cooperation and equal distribution of tasks: a. Create a list of tasks to be completed under the program plan; estimate time requirements per each task and divide up according to equal work distribution. 2. Strategies for encouraging/including ideas from all team members (team maintenance): a. All decisions will be mutually made by discussion among team members and in consultation with the clinical preceptor. Record all input during brainstorming sessions. Discuss pros and cons to each idea and decide together which are best for the team. 3. Strategies for keeping on task (task maintenance): a. Create individual daily goals that must be met to keep on track; prioritize key tasks; work in a quiet environment and minimize distractions. 4. Preferences for leadership (informal, formal, individual, shared): a. Shared by all team members. Personal Accountability 1. Expected individual attendance, punctuality, and participation at all team meetings: a. All members of the team should be punctual and should give team members 24 hours notice prior to missing a meeting. Active participation is expected. 2. Expected level of responsibility for fulfilling team assignments, timelines, and deadlines: a. The tasks that group members agreed to undertake should be completed to the agreed deadline. If it looks as though there will be a problem meeting a deadline, the person concerned should seek help from other members of the team in time to avoid a delay.

Expected level of communication with other team members: √ The team members will actively seek a consensus of opinion based on the opinions of every member. √ Each member of the team will take turns listening as well as talking, and active listening will be a strategy for all group discussions. √ Sexist and racist remarks are not acceptable. √ Aggressive and dominating behaviour is not acceptable. 4. Expected level of commitment to team decisions and tasks. a. All members of the team should turn up to all meetings unless it has been agreed beforehand or unless there are unavoidable events such as illness. b. All members of the team will remain in the meeting until (a) all tasks for that meeting are completed, or (b) there is unanimous adjournment. c. All members of the team agreed to do work that they are qualified and capable of doing. d. Be honest and realistic in planning and reporting project scope, schedule, staffing and cost. e. Focus on what is best for the project as a whole. f. Promptly notify agency and preceptor of any change that could affect them. Consequences for Failing to Follow Procedures and Fulfill Expectations 1. Describe, as a group, you would handle infractions of any of the obligations of this team contract: a. First; approach the team member about the issue and discuss what they are lacking in and why this has occurred to avoid making judgments before gathering all the facts. Second; make a plan to improve that works for both parties involved (for example, flexible deadlines in case of illness, etc.) 2. Describe what your team will do if the infractions continue: a.
