Job Function:
The PA will be an ambitious, self-motivated, organised and commercially minded person. With a high level of interpersonal skills, they will take responsibility for assisting the Director in leading on and managing a variety of consultancy projects relating to Place Management, Place Marketing and Placemaking. The PA will be for the first point of contact for the Director and will also assist in the running of the Company. This will include staff management, company administration, client liaison, business development, background research, meeting set up and management. Assistance in organising domestic arrangements will also be expected but is not significant.
Job Duties and Responsibilities
1. Assist in the running of the Company. This will include staff management, office management, company administration, client liaison and business development.
2. Assist in development of new business through a variety of channels including researching procurement sites, marketing activities, online activity, client meetings, attendance at workshops, seminars, conferences and through business contacts.
3. Assist in the writing of proposals for company tenders which will include research, presentations and pitching to potential clients.
4. Assist in the management of Direct, the company contracts and commitments which will include creating location work programmes, attending client and site meetings, preparing presentations, provision of advice and direction and general client relationship management.
5. Liaise with all staff, partners, contractors and relevant agencies to ensure smooth running and delivery of company contracts and commitments.
2. 6. Assist in development, roll-out and maintenance of company systems such as the internal Information Management System, Client Databases, E-Bulletins, Social Media and the like.
7. Act as a point of contact for the company.
8. Organisation of all aspects of company meetings, workshops, seminars, talks and events.
9. Carrying out background research and analysis on behalf of the Director to assist with business developments, publications, and presentations.
10. To carry out regular review and updates of all company information and publications, both written and online.
11. Be prepared to travel extensively through the UK (overnight stays estimated to be 2 nights a week) and occasionally abroad to Europe and USA.
12. Attendance at industry conferences, relevant workshops, events and seminars as determined by the Director.
13. Ensure the proper and effective operation and development of the company in line with its objectives.
14. Be a confidence user of Microsoft Office (Word, Excel, Access and Powerpoint).
15. To comply with Health and Safety policies, organisation statements and procedures. Report any incidents/accidents/hazards and take a pro-active approach to health and safety matters in order to protect both yourself and others.
16. Carry out any other reasonable activities as required by the Director.
17. All of the above activities will be carried out solely, by assisting the Director or as part of a project team consisting of both company staff and external partners and associates.
18. Assistance with domestic arrangements will also be required but will not be significant.
