- FileNet Capture was built to work with the FileNet Content Manager or FileNet Image Services. It gave companies a way to do departmental scanning. Everything was located on the desktop and utilized the client architecture. Capture would bring in content from multiple locations, do recognition and OCR to do validation. it would allow for Key-from-image indexing. So here someone would have an image of a document on their machine and utilize a spilt screen to key in information. Capture can export to FileNet CM and Image Services but was not designed to be utilized with other repositories.Some of the additional functions are Full page OCR and you could save the document as a PDF. When scanning multiple documents you would need a barcode page to separate the documents and for document identification. The pricing for Capture was volume based. Dependent upon the type of scanner you have depends on the type of pricing you have. If you have high volume scanners then you are automatically assigned high volume pricing.
- Datacap was built not only to do scanning but more accurately to do Intelligent Capture. Datacap’s backbone is a three-tier Client Server Architecture that allows for scalability throughout the enterprise. Datacap has both a server based product as well as a web based product. The web based product allows an organization to scan, verify and administer from any location. This is especially important in today’s environment where so many individuals work in a remote site.
- Datacap was built so that you can auto classify a document and set up new doc types in process. It handles not only OCR but it also does ICR (handwriting), OMR (markup recognition) and barcode recognition. Datacap does Automated validations, so for instance if you are importing an invoice Datacap will automatically go out to an SAP or other ERP system and make sure that the business name, address and PO numbers are accurate. Datacap does math calculations so that it not only reconciles each line item but it then also calculates the lines and makes sure that the totals are correct.Datacap works with multiple ECM systems and also works with ERP systems like SAP, Asset Management systems like Maximo and many other repositories. This allows for not only a point solution within an organization but a true enterprise system that can be utilized across all businesses.
- The Datacap workflow process above shows that we can receive documents from a variety of sources, the rules engine is applied and the image is cleaned up, the document is classified, it locates specified fields such a company name, quantity, and totals. It then recognizes additional things like signatures, check boxes on forms or barcodes for the receiving of shipments. The business rules are applied and then the information is verified. If for some reason the information does not match up the document is then sent to a supervisor or individual that handles these exceptions. Once everything is approved the data is exported into the appropriate system like FileNet. The data or document can then be interpreted by the business.
- Datacap is a user based pricing model. This saves corporations money in that it is not volume based licensing or a per click model. As I have mentioned previously, distributed capture allows you to scan a document in one place and verify the information somewhere totally different. Automated Doc Classification allows you different ways to see what kind of document you are scanning. Datacap allows for job monitoring and where a document is within the process. It allows reporting for all scanners.
- Datacap allows for multiple recognition methods on the same document. This allows for greater accuracy in scanning and better recognition. The system allows for line item detail. It does math calculations, database look-ups and business rule enforcement. These are ways of assuring accuracy and double checking validations. The Datacap system allows you to export a document or data to virtually any system within your organization. Again Datacap is a true enterprise solution that can be used throughout an organization. There are no longer restrictions to the businesses that use the FileNet repository.
- Identifies document type by a combination of pattern matching, key word and rules-based data location – there is no template set-up required, Datacap Taskmaster learns new types of documents “on-the-fly”. Extracts machine printed data, handwriting, checkboxes on forms and bar code data with multiple recognition engines (OCR/ICR, OMR) which reduces manual data entry.
