  4. Mike - Introduction – What is Public Engagement? What is Public Engagement? … I would consider it a way of bringing citizens, businesses and government together to solve problems that affect people’s lives. Its also been said to be a very inclusive problem-solving approach to deal with complex public problems. A partnership can be formed where people work together to achieve a common goal. Ali – talk to the Agenda points and what we are covering today and how it will all be brought full circle with a demonstration

Ali’s Slide: Meeting Attendance Having meeting information published on your website so it is easy to find, such as dates, times, location (in person or online access) Meeting Contribution Providing a central and simple way for members of the public to have their voice heard. Clear instructions and access to submit a delegation request for those that want to speak and present at a council/board meeting Community Interaction Providing a central location and system for constituents to get involved. For example, public comments provide a simple way for members of the public to have their voice heard. These comments will make their way directly to council and not just posted to the web/social media site. Creating excitement around your committees and boards. Provides opportunity for citizens to volunteer their time and expertise by serving on various boards and committees. Giving citizens the opportunities to get involved and help shape their local community, with an easy to access central location to learn, apply and ultimately serve on boards and committees.

Mike’s Slide Increased Transparency Keeping your constituents up to date with a central location with easy access for all agendas, minutes and meeting livestreams or recordings For committees and boards, presenting term length, number of terms and members Increased Levels of Political Efficacy (enacting change as a citizen, shaping the community) By way of committees and/or boards, allows for input and recommendations on matters that affect the community about various subjects through discussion, presentations, and recommendations. As well as provides a unique chance to volunteer valued skills and shared sense of community. Reduced levels of voter apathy: More engaged citizen base leads to higher voter turn out during elections. Informed and educated constituents: Constituents are more aware of local issues that are affecting their community and will be more involved and motivated in helping find solutions.

Make participation simple Accessible central location to view agendas, minutes, link to livestream Make attendance easy Offering remote/hybrid meeting options Ensure meetings are accessible For members of the public that may have mobility issues, should have an opportunity to join remotely and for those hearing impaired, provide Closed Captioning on your live and archive meeting recordings.

More engaged community at meetings? More members of public attending in-person/hybrid/remote meetings? Create digital opportunities for engagement Establish streamlined processes and systems Centralized location for all website-based public interactions (public comments, delegation requests, board/committee applications) to be pulled into one system for administration ease

For those individuals who might have mobility issues should be able to join remotely and for those individuals who are hearing impaired, provide Closed Captioning on your live and archived meeting recordings Record and share meetings Access to past meetings/archived meetings is essential to keeping your public informed Closed captioning: Greater access to meetings and livestreamed archives, not just for folks who may have accessibility issues but also for folks who might want to view this in an area they can’t play out loud Demo – June 15th meeting with video – on Anytown
