Tile Mentorship Program Setup
1. Setup:
- Timeline For Mentorship (1 month setup; 3 months mentoring)
- Meeting: Tile Mentorship Overview during an all hands (5 min - overview of the
Tile Mentoring program for our new employees, highlight the upcoming schedule)
- Email: After all hands, send out survey for signing up for mentoring (deadline 2
weeks out)
- Email: Reminder email on the day before mentoring survey is due
- Matchmaking: Spend 1 week compiling results of mentoring survey and create all
the mentoring pairs.
- Email: Email each pair a welcome to mentoring email stating who the pairs are
- Meeting : Tile Mentoring Kickoff and Training (schedule 1-2 sessions that cover
training for the mentors and mentees) (schedule after matchmaking)
- Email: First followup -- reminder email 2 weeks after mentoring started asking if
they’ve set up their first meeting and with a reminder link to the Mentorship
Agreement Guide and how to set smart goals
- Email: 1 month after starting -- follow up checking in on mentoring and how it is
going. Provide suggestions for topics or ideas for discussions, and ensuring
progress on goals.
- Email Survey: 1.5 months after starting mentoring -- Mid-cycle checkin survey
- Email Survey reminder: 1 week after sending survey
- Email: 2.5 months after starting: Reminder that mentoring is wrapping up in a
few more weeks. Make sure you are wrapping up goals and next steps and take
the time to celebrate.
- Celebration/Happy Hour: At the end of mentoring, schedule a happy hour to
celebrate the mentoring relationships and learnings
- Email Survey: Post-mentorship survey following up on how mentoring went and
what we can improve
- Email Survey reminder: 1 week after sending survey
Group Mentoring:
In parallel to running the 1:1 mentoring pairs, we want to do group mentoring sessions (which
require some planning which is why they haven’t been happening as regularly as possible)
At least once a quarter, if not 2x a quarter, it would be great to do a group mentoring session.
Prep for Group Mentoring:
- About a month out:
- Pick topic for group mentoring, schedule date, and email 5-10 people as possible
leads for the mentoring session
- 2 weeks out:
- Confirm leads for mentoring session
- Mention mentoring session coming up at All Hands
- Week of:
- Put up signs mentioning group mentoring session
