The document provides an update on meeting effectiveness initiatives for May and June. It summarizes that the Net Promoter Score increased to 56 in May from meetings with 42 respondents so far that month. It also reviews the top concerns from prior surveys and plans to continue collecting scores while increasing coaching and feedback. Examples of effective practices, areas to improve, and a thank you are also included.
2. NPS Numbers
April NPS: 30
13 meetings, 48 respondents
May NPS: 56
so far, 14 meetings, 42 respondents
3. 4 Biggest Concerns
From initial survey. How are we doing?
(Of the meetings we observed)
43% Started on time
71% Pre-published an agenda
57% Action Items & Important Decisions Documented
86% Ended on time
4. Plans for May/June
Starting
- Emails up to 2/month relating to this initiative
- Offer More Coaching
- Started sending NPS score & written feedback weekly (Fridays) to the
facilitator where >3 respondents replied to the survey.
Stopping
- Meeting Observation - Difficult finding meetings that meet criteria.
- Good to note in an anon survey 100% of respondents answered
Yes to the question "Did you find the meeting feedback (both
positive & suggestions) helpful and expect the feedback to make
your meetings more effective in the future?"
Continuing
- Collecting NPS Scores for Random Meetings
- Posting NPS on screens around the office, though only going to post SCORE and
not graph
5. Bright Spots
The idea of the "Smallest Atomic Sized Meeting". This is a staff meeting that is
focused on action & each member participates. As special topics come up additional
team meetings are had. This keeps the staff mtg to ~30 minutes.
Staff meetings where everyone is engaged and involved.
Idea for Following-Up on Action Items: Send the Action Items in an email after the
meeting and request that as each item is completed a Reply to All is sent to the group
giving everyone an update on the status. This has increased both visibility and
accountability for some meetings.
Revisiting the overall status of a project (during a weekly project meeting) at the very end
of the meeting (It was first addressed near the beginning). It sounds like "This Friday I
will be reporting yellow. Any questions?" No surprises.
Newly added agenda items in a meeting (before the meeting started) go to the top of the
parking lot to be covered at the end of the meeting if time remains.
6. Things to Work on
Make sure and have a follow-up plan for the action
items.
Close with an Action Item review so everyone knows
exactly needs to be done.
- To help here you could simply ask for Action
Items and Important Decisions to be reviewed
at the end of the meeting.
Make sure someone is taking notes and capturing
Action Items & Important Decisions (at a minimum).
7. Thank You!
Thank You to all who have helped in this effort.
We have 1 more month to go (June) until we hold the
final retrospective and report these results.
