2. Overview
❖ The purpose of this project was to identify and propose solutions for any
problems encountered maintaining an effective e-presence for a business
operating in two different states.
❖ Successful e-leaders must become more comfortable with developing,
managing, and maintaining relationships without having direct personal
control and oversight (Phillips & Gully, 2014)
3. The Current Situation
❖ The company currently utilizes
a communication system that
uses E-mail for 68.3% of its
communication, telephone for
26.6%, and Dropbox for 5.1%.
❖ There are also 4 scheduled face
to face trips schedule per year
❖ According to employees, there
is at least one communication
error occurring per week
Sales
Email
Telephone
Dropbox
4. Key Success Factors
❖ It is crucial the company uses an appropriate balance of both E-mail and
telephone, and filesharing to effectively communicate
➢ Email alone is not effective in fully replacing face to face contact
(Moore, 2008)
➢ * Other methods such as video conference, and messenger service
were suggested but declined
❖ Randomize the dates of face to face visits
5. Analysis of Alternatives
❖ A better balance of telephone and email to communicate from a 60-30
split to a 50-40 split to bring down level of communication errors.
➢ Using telephone and E-mail together will enable more effective
communication as opposed to being used separately (Integrating
Email, 2007)
❖ Incorporating more filesharing alternatives such as Google Drive or
DropBox will allow for better job organization and enable better
communication
6. Strategic Options
❖ Begin using Google Drive as opposed to Outlook to organize job
documents
❖ Incorporate more usage of telephones (calls & text messages) to clarify
information communicated through Email
❖ Randomize face to face visits, and visit when conflict arises
➢ Electronic means are not effective in being the only tool to resolve
conflict (Moore, 2008)
7. Benefits of Strategic Options
❖ Upping the usage of telephone will allow the better understanding of
information communicated in real time
❖ Using Google Drive will allow the better organization and efficiency of
storing job related documents
❖ Using Blackblaze will backup essential information, and will allow
business to continue in the event of loss of documents or computer
crash.
8. Risks of Strategic Option
❖ Acclimation to new services such as Google Drive and Carbonite may
negatively impact performance over the short term
❖ Will the costs of adding a service such as Blackblaze outweigh the
benefits
❖ Will individuals on the other ends of the communication be willing to
alter their methods as well
9. Final Recommendation
❖ I recommend that the company do the following:
➢ Utilize telephone more, in addition to Email
➢ Use Google Drive for job organization
➢ Use Blackblaze to backup all information
