In this demonstration User Journey, Claire, a retail marketing trainee, schedules content on an Instoremedia Digital Signage network using Metadata Rules across thousands of screens.
Claire schedules Digital Content using Metadata Rules
1. A DEMONSTRATION JOURNEY
SHOWCASING USE OF INTEGRATED
DIGITAL SIGNAGE IN RETAIL
Z&Y is a FTSE 100 retailer with around 1000 outlets nationwide, and a
developing operation in non-UK territories.
Z&Y have embarked on a major upgrade of their in-store merchandising and
new channel marketing strategies.
They plan to maximise the use of new technologies such as Digital Signage, and
integrate them fully into a multi-channel digital estate which enhances their
image and grows their sales and market share.
These demonstration journeys, told from the perspective of both Z&Y personnel
and Z&Y customers, explain how Instoremedia helps them achieve this.

Claire is a graduate trainee who has recently joined Z&Y. She will be
working in New Channels marketing for 9 months, then moving into a
different role. While she is working in New Channels marketing, one of
her roles is to oversee scheduling on Z&Y’s digital screens over their
entire estate. Claire is not an IT specialist, and because her time in the
role will be short, she needs to use a system which is quick and easy
to master then maintain. This Demonstration Journey shows how
Instoremedia allows her to fulfil her role.
3. Claire has to deploy content
using the Instoremedia Digital
signage system across Z&Y’s
estate. This amounts to over a
thousand outlets in different
countries.
Content in different locations
is often specific to that
location, and played out at
specific times of the day.
Claire must also be able to
change content quickly in
response to business demands
anywhere in the estate
at any time.

4. Once content has been approved, it
is automatically made available to
Claire for scheduling in the
Instoremedia system.
Claire can preview the content prior
to scheduling it. The approval
process automatically makes files
available for play out between
defined promotional dates, but
Claire can easily edit these from
within the Instoremedia system if
she needs to.
This means she knows exactly what
she is scheduling, and can easily
make sure content will not play
after it has expired.

If Claire had to create and schedule Playlists
in every outlet, she would need to become
an expert in the Instoremedia system and
then spend all of her time scheduling
content to meet the varying demands of
the Z&Y estate.
Instead of scheduling Playlists, Claire
schedules content using Metadata rules.
Every time a shop or department gets
Instoremedia Digital Screens in the estate,
Richard, the Systems Expert, assigns it with
Metadata rules, or it inherits them from its
parent shop or department.
All Claire needs to do is tag the approved
content with Metadata keywords which
Richard has created separately. These
Metadata keywords are then checked
against the rules to determine when, where
and how often a piece of content should
play out.
Although Claire does not manually schedule
Playlists, if she requires content to play in a
specific order, she can still create Playlists
and tag them with metadata keywords.

6. Whenever new content needs to play in
the estate, Claire spends no more than
half an hour tagging it with keywords,
compared to hours she would spend
creating and scheduling Playlists.
She can edit file availability dates too,
which means she does not have to
worry about broadcasting out
of date content.
This also means that in an emergency,
Claire can remove content from all
screens immediately simply by making
it unavailable for play out.
Claire is really happy with this simple,
low maintenance system. She is able to
fulfil all the scheduling requirements of
the entire estate, and still have time to
learn all of the other aspects of New
Channels marketing she needs to
during her short placement.
