3. Registration Process

The new joinee (employee) in an organization will be given Form No. 2 (Revised) (Nomination)
at time of joining the organization. The form is required for the enrolment of Provident Fund &
Nominee details.
Along with the Form No. 2 one more extra form is to be filled by the new joinee at the time of
joining the organization i.e., the Form No. 11 Declaration form (for previous UAN and PF details).

Transfer Process
Transfer process relates to the transfer of Provident fund and Pension from the previous company
to the present company. The transfer of PF and pension is applicable when the employee has
multiple UAN no.
5. The employee’s UAN portal should be updated with all the details mentioned below-
Name of the employee as per Aadhar card
Father’s/ Husband Name along with relation
Gender
Correct date of Birth
Correct Date of Joining
Correct Date of Leaving
KYC Details- Pan Card, Aadhar Card and Bank details
The employee has to raise the transfer request from the present company’s UAN portal on
www.epfindia.gov.in . The transfer request should be approved by the both the employers
(previous & present company) through digital signature.

Online Transfer Procedure
6. In case the employees UAN no. has not been generated or is generated
but wish to do offline transfer, he/ she needs to fill the Form 13
(Transfer ) and get it stamped and signed by both the employers
(previous & present) and submit it to the respective employer by whom
the employee wants it to be processed ahead. The offline transfer
process takes 35-40 working days.
Employee has to mention the Emp ID on the top of the form to which
company he/ she wishes to submit.

7. To know the PF and Pension balance the employee can now get benefit of
downloading the live member passbook using their UAN no.

8. Form
The above mentioned Joint declaration form which further to be followed and
filled by the employee in case if there is mismatch in the below criteria’s on the
UAN portal of the employee.

10. The working employee should fulfill the criteria mentioned in the attached chart.
The form to be filled is the same PF withdrawal (Non-Aadhar) form and should be filed
accordingly.
The employee needs to (√) the option of PF part Withdrawal in the form.
The point no. 10 should be filled by the employee which is mandatory.
The undertaking declaration is one extra form that is to be filed by the employee and is
mandatory in case of housing loan/ purchase of site/ flat or for construction/ Addition,
alteration in existing house/ repayment of housing loan.

1 Aadhar card copy
1 Cancelled cheque with name printed (if the name is not printed on the cheque kindly send
the cheque along with the bank statement copy or the passbook first page copy)
Additional documents as per the loan requirement (mentioned in the attached chart)

PF Withdrawal
PF withdrawal process will happen only after 60 days from the date of Last working day in
the organization. The PF withdrawal (Non-Aadhar) form attached should be duly filled by the
employee as per the specimen that will be provided at the time of filling the said form.
Please follow the below criteria while marking (√) in the form.
Service less than six months (Final PF Settlement)
Service more than six months (Final PF Settlement and Pension Withdrawal Benefits)

1 Pan card copy
1 Aadhar card copy
1 Cancelled cheque with name printed (if the name is not printed on the cheque kindly send
the cheque along with the bank statement copy or the passbook first page copy)

The form 15g should be filled by the employee in case of service less than 5 years and
contribution exceeding Rs. 50,000. For reference find the below chart.

23. In case if the employee completes 10 years’ service in same
organization and fulfills the EPS age criteria ie., 58 years of his/
her age then he/ she is applicable for Superannuation Pension.
The specimen form 10D is attached.

24. When the employee has his/ her old UAN no. of previous company and the
new UAN no. has been generated in the present company.
There are two suggestions for this-
Transfer PF amount from Old company to Present company (online/ offline)
PF withdrawal from Previous company
