Collective intelligence fosters innovation and secures projects.
When designing products and services, making decision and animate meetings, corporate
leaders must inspire and engage their teams. Everyone knows about boring meetings,
especially when done with videoconference tools because people are remote.
Remote work is a reality for many organizations. People work in offices spread over the planet.
More and more, they work at home.
Usually, collective Intelligence tools are very manual and work fine when people are co-
located. People feel more committed when having a common work experience in a physical
place. The momentum that comes out of these serious games and visual management
workspace is lost when doing remotely.
Working with surface screens and laptops does not create the same experience as colocation.
We believe that augmented / mixed reality will solve this issue by recreating the same thrilling
moments of work, but remotely. UpRooM provides this capability.

5. Visual Management for better decision making
UpRooM creates a virtual environment for all stakeholders and members of a team to
constantly understand the situation of an initiative, a product design, a project.
Lack of communication is one major pitfalls in a team. Building an easy to share visual
environment dramatically changes the way an initiative can be a success. Decision-making
becomes collective, more secure. Ideas can more easily be expressed.
For instance, a project manager can organize his/her project status report using XR widgets
provided by UpRooM. Data is located in boards that can be hung on the walls of a room like
real ones. Any member can organize his/her visual environment according to the geography of
the place where he/she has the UpRooM meeting.
Different view modes can be combined in real time to deliver an experience that highlights
the key elements of a process, be it a digital solution implementation, an innovative product
design or a change management operation.
UpRooM can also be connected to agile project management solutions on the market, so that
it ca be seen as a new front-office device for these solutions.

Design Thinking & Design Sprints, Scrum, Lean start-up, SAFe... : all these frameworks are
concentrated on serious games and visual management.
Serious Games allow people to stay focused during creative meetings. They optimize idea
management and project performance for colocated people. UpRoom provides all of them.
UpRooM implements multi-participants serious games and a virtual project management
environment. It helps keeping the positive impact of collaborative moments.
UpRooM can also be used for regular meetings, shifting from “being physically present
but intellectually absent” to “being physically absent but intellectually committed”

7. Workspace sustainability and Idea saving
Working with Serious Games and Visual Management, people usually produce sticky notes
on different boards.
Boards and post-its must be cleaned once the meeting is over. Sometimes they fall and are
lost. The physical workplace must be released for new meetings. Data must be tracked into
reports.
All these repetitive practices are tedious and UpRooM does it for you :
• UpRoom keeps a trace of every idea of any team member. As soon as a post-it is
produced, the idea is stored into a blockchain to certify the author.
• Post-its can be produced in advance, before a meeting, using a mixed reality device or a
smartphone.
• A the end of any meeting, UpRoom produces a visual PDF report. These data will be
integrated into the visual management environment so that you will keep making
decisions with them. In future versions, this report will be generated in natural language.
• When the meeting is over, UpRoom remembers the place where the boards were hung
in the room. You can reactivate this space at any time in the same room or in another.

Intelligence and Idea Management.
UpRooM promotes Project Management standards and Agile principles
through a 3D Visual Management toolkit and Mixed reality. With
UpRooM, companies are able to manage their projects more efficiently.
This solution breaks the barriers of remote working. It can also be used to
train people on Project Management and simply renew the management
experience between managers and their teams.

11. What does UpRoom provide?
Tools can be sorted into 2 groups: Widgets and Serious Games.
 Widgets provide views over a project information and performance. The project
manager can use several widgets on a scene and organize them the way he/she
wants to create a visual project management environment that can be retrieved on
demand.
 Serious Games are gamification techniques dedicated to collaborative idea
management workshops. They are relatively short moments (60 to 120 minutes)
compliant with the current use of XR technologies. The manager can run one
Serious Game at a time so that everybody stays focused on the workshop.
At the end of a workshop, the content created is summarized through a widget which
becomes part of the project visual environment.

12. Product PACKAGES
UpRooM offers 4 different packages and two extensions (plug-ins) :
• People Management is a set of visual tools taken from HR frameworks such
as Management 3.0 or Host Leadership, dedicated to renew the practice of
Management.
• Change Management is used to drive cultural transformation projects that
includes communication, training and coaching. It relies on the Lean Change
Management framework.
• Innovation Management is dedicated to product design and idea
management processes, embedding, among others, the Lean Start-Up and
Design-Thinking frameworks. A Design Sprint extension is provided
separately.
• Project Management eases the Project Management practice. Techniques
are taken from the best standards in the market, including Agile and Scrum. A
Kanban extension is provided separately.

13. OBEYA
In addition to the 4 packages, UpRooM offers a display mode called “Obeya”.
Obeya means “large room” in Japanese and refers to the use of the four walls of a workspace for
visual management and collaborative project management.
Each wall is used to display panels, labelled as “PLAN”, “DO”, “CHECK” and “ACT”, that display
categories of information : vision, plans, actions to be taken, problems to solve.
The project status and performance is given through these 4 panels visually organized by the
manager to work with his/her team locally and remotely through the use of UpRooM.

14. Devices
UpRooM is developed for Extended Reality platforms composed of :
• Mixed Reality : The HoloLens, a mixed-reality computer, embedded in a headset that
is designed and built by Microsoft). This is the main use case, because you can play
with the topology of a physical room to hang virtual boards on the walls or place
virtual objects on a real table or a real chair.
UpRooM has been designed with Hololens 1.0. Hiololens version 2.0 must be shipped bby
Microsoft by the end of summer 2019. It will offer a better experience : lighter, more
autonomous, with a broader field of view.
Also, Kinect will be included in the proposed configuration to display avatars during virtual
meetings.
• Virtual Reality : Virtual reality headsets (using the Holographic Platform by Microsoft),
might provide an alternative version for distant workers working from home.
We have selected technologies such as Unity 3D, so that the application is accessible on several
platforms and will not be mono-headset.

15. UpRooM is also a platform for third-party provider and developers.
We open the development of new widgets and serious games to a community of developers
worldwide and leverage the capability of UpRooM to continuously provide new components
to its end users.
These new Boards and Serious Games will be integrated to the core features and interact with
them. The UpRooM ecosystem team is in charge of managing this community. Through our
R&D team, it will provide the requirements to comply with:
• The set of features provided by UpRooM internal core features,
• The UI layout.
New components provided by the community will be qualified and assessed by the UpRooM
R&D team, that will validate if a new Board or Serious Game is mature enough to be
integrated into one package.

16. Certification
Blockchain brings collective intelligence to the next level. By certifying all the data
throughout the history of a project, it ensures trust and consistency between partners
involved in a given set of projects.
It also allows the respect of project management processes on which partners agree.
Data can be shared to auditors in order to build statistics and understand the maturity
of project management. Partners receive utility tokens when sharing their data.
