4. Plan
• Yes, an online meeting needs to be planned.
• A meeting agenda detailing the points to be discussed during the meeting is
necessary to ensure everyone attending the meeting is ready with the
information needed.
• The meeting agenda needs to be shared with the audience well ahead of the
meeting time (at least two days before the meeting).
• A personal agenda needs to be written by the meeting leader with estimations of
the time needed for each point on the meeting agenda. This ensures all points
are covered in a timely manner.
• Two people must be assigned before the meeting to ensure the meeting is
successful, one to take meeting minutes (if a secretary is not attending) and one
to moderate the meeting.
• The leader of the meeting must ensure all attendees are comfortable with the
technology used to hold the meeting.
5. Audience
• The meeting leader needs to ensure all attendees in the meeting are
there for a purpose, i.e.; they need to add value to your meeting.
• If people will not add value to your meeting or are not in a position to
add value, don’t call them to the meeting. Send them an email with
the information they need to know after the meeting.
6. Purpose
• The meeting leader needs to clearly define the general purpose of
the meeting for example, to plan the marketing strategy for the next
5 years.
• The purpose of the meeting needs to be included on the meeting
agenda circulated to the audience.
• Start with an action word “to plan”. Include the general topic of the
meeting “marketing strategy” and set a time period “for the next 5
