- 5. What Is GTD?
The guiding principle behind GTD is that when things are stored in your head, they get lost.
Sometimes you misprioritize them, sometimes you remember them incorrectly, and sometimes you
just totally forget them. Have you ever had the experience where you remembered that you were
supposed to do something yesterday, and you totally forgot about it until today? That's the kind of
experience that GTD tries to get rid of. It does this by creating a system in which you don't have to
remember anything—it's all put down on paper (or, in our case, in Microsoft OneNote). Not only does
the system encourage you to create hard copies of all of the thoughts that you want to remember, but
it also puts an organizational schema in place so that you always know exactly where to look for
things.

- 6. What Is OneNote?
The appeal of using a system like this for Getting Things Done is obvious—you'll create folders that
represent the different "buckets" of items, and notes that represent items; you can link things to
create projects, keep track of checklists, and store a lot of material for future reference so you don't
lose it. When David Allen created GTD, the reference filing system consisted of dozens or hundreds of
slips of paper, including handwritten notes, brochures, pamphlets, handouts, and other assorted
items. Because of the potential for a huge mess, it was a good idea to clean this out every once in a
while; but with OneNote, you don't have to clean out your filing system. You can keep things in your
reference files as long as you want, and you'll always be able to find them easily by running a quick
search. And if a search doesn't turn them up, you can quickly scan through your notes to see if you
can find it. Imagine trying to do that with a huge file full of paper!

The top panel of the window, called the "ribbon," contains all of the things that you're used to seeing
there—formatting options, settings, and menus. Below this is a bar that you'll become very familiar
with as you use OneNote (we'll be discussing that bar in just a moment). And below that, near the
bottom of the screen, is the editing window, where you'll work with your notes. It's a good idea to
spend some time poking around the different options and settings and discover some of the
functionality for yourself. I'll do my best to fill you in on everything that you'll need for normal use, but
you never know when you'll find something that will help you out a lot.

Once you have OneNote all set up and ready to go, you can start getting the GTD system in place. I'll
walk you through each step of the way, and the next few chapters will give you more advanced tips on
how to be successful in using it on a daily basis. There's a lot of information to absorb here, and you'll
have to establish some new habits, but stick with it and it'll all start coming together. You don't have
to be an overnight productivity all-star. Remember that making big changes is a long-term
commitment!
