3. Processing an idea
Once the idea has been captured, each further processing step
occurs within the software. The supervisor or ideas manager (de-
pending on the ideas model used) is notified of the receipt of an
“idea” and initiates further processing. Expert opinions may be re-
quested, ideas rejected or submitted for further processing. Here,
supervisors may delegate their duties to other people (stand-in
feature). At each step, a software-based reminder
and escalation system ensures prompt processing.
Notifications
In principle, each member of staff is notified by email about current
tasks. If an idea is submitted, the next competent processor will
receive an email about this. Should, say, the supervisor have
received the email, they may access the software via the link
included in the email. At each step, the software-based reminder

Red light feature
The processing deadlines set by the ideas manager (suggestion
system manager) are monitored by the software. Various reminder
stages (escalations) can be installed. A reminder system then
takes over the automatic emailing of the reminders. The current
status of your reminders can be controlled from within the ideas
management software by means of the “Red Light” feature.
Expert opinions and comment
Experts can be actively integrated into the processing at
preferred points.This enables either simple informal expert
opinions (e.g. simple comments) or form-based expert opinions
involving actual recommendations to be reproduced. Here,
experts can be requested both in succession and in parallel.
The software also facilitates (among other things):
• delegation of expert opinions
• paper-based submission
• development of expert catalogs
• acquisition of existing expert opinions
• rejection of expert opinions
• request by telephone for expert opinions
Benefits and implementation
The calculation of benefits may (as an option) be performed
entirely from within the software. Here, various types of benefits
can be taken into account (including hybrid forms). Calculation
is made on the basis of stored forms (calculable) or, in the area
of non-calculable benefit, on the basis of stored matrices. Forms
such as “creative thinking rewards”, “participation rewards” or
“recognition rewards” can all be reproduced. Implementation of
an idea can be initiated from within the software. This can then
be confirmed or rejected by the submitter, with reasons given for
the rejection. Previous implementations are documented. Several
implementations may also be requested in parallel.
Reward system and settlement
Rewards due are calculated by the software. Aspects such as
proximity to task, level of idea development, share in the idea, etc.
can be factored in. If an appeal procedure is initiated, the software
will automatically determine the difference in the reward that is
due. Notifications are automatically generated for the
submitter and co-submitter. A rewards report indicates the
rewards that are due.

Transparency in the ideas process
To let you stay abreast of an idea’s current stage of processing
(status), information about the idea is provided via the “History”
tab. The processing remains traceable for the submitter at all
times over the entire workflow (TREVIOS ideas navigator).
The processing stages of an idea
The processing of an idea occurs in processing stages
(workflow status). The people involved are assigned tasks
within the process (e.g. as an expert or implementer). Parallel to
the idea being processed in the software, emails are forwarded to
the processors (supervisors, evaluators, implementers, etc.)
as additional information.
Knowledge database
Within the software there is a simple search feature available that
provides everything that can be expected of a web search feature.
It allows further search filters to be added to narrow the search
results. In addition, searches can be saved to keep you up to date
with specific issues.
