WHAT IS LEAVE MANAGEMENT?
Leave management, often known as time-off management, is a collection of
procedures for managing employee leave requests, approvals, and tracking in
an organization.
It also entails connecting with key stakeholders to ensure that the absence of
that individual has the least possible impact on your company's operations.
On the surface, leave management appears straightforward: an employee
works for a set period of time and is then entitled to paid time off. When you
factor in other considerations like sick leave, managing numerous employees'
leave requests at the same time, and keeping track of leave balances, it's
evident how difficult this process is for HR, especially when managing time off
manually.
While every employee is entitled to rest and rejuvenation time, it can be
inconvenient. Even worse is the common blunder that results in two essential
employees leaving at the same time.
1. Keeping track of leave balance is difficult:
Most employees make educated guesses about their vacation days, resulting in erroneous
assumptions that can have major consequences. Employees may believe they have a few
days of vacation left and make arrangements, not realizing that their vacation days have
been used up. While the employee is to blame, the HR department can also be held
accountable for failing to communicate used vacation days.
2. Internal processes stalled:
The majority of leave requests are sent via mail to managers and supervisors. It's
tough to undertake a thorough check-in in larger organizations to verify that leave
days do not conflict with planned organizational or departmental activities and
initiatives. Team leaders may even design new projects around an employee's
schedule to leave, thinking that the person would be available to participate as a
key component of the project.
When activities are delayed or external contractors are brought in at a higher cost
to take on initiatives, it can be detrimental to the organization. On the other hand,
routinely rejecting last-minute leave requests or hastily retrieving employees from
their time off might lead to employee dissatisfaction.
3. Favoritism and bias:
This can be subtle or overt and occurs when certain team members are allowed
additional leave days due to nepotism, while other team members may have
difficulty getting their leave approved. Workers who are critical to the
organization's performance have their leave requests denied in some situations
because the team cannot handle their extended absence.
Unfortunately, when leave management methods are manual, all of these
difficulties are more likely to occur, as it can be difficult to keep track of time
frames and projects in progress when an employee requests time off.
Even the most fastidious excel or Google sheets can't ensure completely error-
free leave management. This is when automation enters the picture.
