SAM expiration date enhancement

Problem Statement
State the problem as concisely as possible. Consider what could be written on a post -it note.
The Brand team posts a considerable amount of content that has an expiration date. To date,
we have not had a way to systematically remove expired content, which has resulted in
contract violations, fines, etc. While Sprinklr does have an expiration date field, it does not:
1) Make this field mandatory
2) Deliver notifications based on the expiration date
3) Grant the user options to request extension on expired assets
4) Have a status for assets that are “Pending Extension”
Solution Statement
State the solution as concisely as possible.
Our suggested solves for the above problems involve creating client settings for assets that
configure the “Add Social Asset” window to cover the above needs.
Use Case:
Detailed description of the functionality required. Use screen shots wherever possible.
First of all we would like to add an Assets settings section to the Manage Clients menu. We feel
that this would need to be at the client rather than the Partner level since Store e.g. may not
need the same options/settings as e.g. Nike Running. Here’s roughly how it might look:
2. The following Assets settings and resultant action would need to be enabled:
Setting Enables
Expiration validation required (Y/N) Asks the user a mandatory question “Does
this asset expire” – with a required Yes/No
dropdown.
When the user selects Yes above, the
expiration date field should then be exposed.
Expiration notification settings:
1) How long before an asset expires
should notifications be sent (select
number of days or weeks)?
2) How should notifications be sent (use
current Sprinklr notifications or
email)?
NOTE: This should be in the form of a table
to enable multiple notifications. Something
like:
User Group (Find and Select)
Notification Type (Email, Sprinklr)
If email: enter email(s)
When: (Select: x number of
months/weeks/days)
Notifications need to be enabled referencing
the asset that is affected.
Extension settings:
1) When assets are set to expire, who do
you want to send an extension
request to (options: no automated
extension request, add email address
Email is sent to the recipient referencing the
asset and the expiration date, as well as the
user’s email address for responding to.
3. for Sports Marketing)
2) Enter /edit standard text (Default
text: “The following image is set to
expire on <expiration date>. Would
you please look into extending it?
Thanks for the help.”)
We need to add a status to the status section of the Social Asset in the Add Asset window:
This status could potentially be rules-engine driven based on the automated expiration flow
above. Otherwise it can be manually selected.
Finally, we would like the visibility to be defaulted to global. This could be done in one of two
ways:
1. Just set as default for the Nike Partner
4. 2. Make this a field that is selected in the “Asset Settings” functionality detailed above. Field
would be something like: “Visibility default” and the selection would be “Global” or “Client”
Considerations:
1. How does this affect permissions? Can all roles extend assets?
2. Left rail needs to reflect added status, expiration etc (so that changes/edits can be made
there too)
