-Process is systematic and fast, especially in comparison with public universities
-a letter that contains all required information is sent to newcomers’ homes
-sometimes, letters cannot arrive them, but it is because of ÖSYM
-people do not read the letters. that is why they may have problems
-students and parents call to ask questions whose answers are already given in the letters.
-call center may become larger with more working students
-process is good but parents cause problems
-parents should not be able to enter sport center. previously they could not, there was no problem
-security and students help
-there is a mobile Yapı Kredi bank

-only for the students who suspend registration, there can be problems, but we already
communicate with them.
-registration process is different for exchange students, and it is also unproblematic
-it is YÖK’s necessity to make registration in the university

-even in USA, registration is made by going to universities, not online
-they think to create podcasts and sent them to newcomers with the letters
16. What I learned from these interviews
-newcomers have to come to the university for registration
-we should create a tool that begin from home to postregistration
-the tool should contain whole university settlement,
because some people can not find even the school

- Kayit sureci hakkinda genel bir verirmisiniz?
The registration process starts with the guide that the student received. They need to get an online
print out and the print out should be signed by the student. The diploma from high school and the
record need to be delivered to the school.
- Ogrenciler kayit surecinde nasil bir prosedur izlemesi gerektigi konusunda bilgililer mi ?
They are informed about the process from the guide they received. So they must know.
- Buna ragmen yonlendirilmeye ihtiyac duyuluyor mu?
Yes most of the time because students and parents are very exited about the process. They want to
make sure. So they need guidance.
Learning: from 2 & 3, the information is not so effective as it is thought to be, even though the was
given through mail.
19. - Kayit surecinde gozlemlediginiz kadariyla yasanan diger problemler nedir?
They used to be cues but now we moved the registration process from food hall to sports hall.
-Degistirilmesi gerektigini dusundugunuz bir nokta var mi yoksa sorunsuz mu ?
First of all, the process should take place in one and only place in order to keep everyone together
at the same time. As I said before , it was in food hall but now it is held in sports hall. It is more
vast and accommodate newcomers with ease. I think this is the optimum condition, we gathered
all the departments at the same place.
-Siz universiteye kayit olurken kayit sureci nasildi, karsilastirirsak?
It may even took two days. I am from Bogazici. Sometimes I needed to go other campuses to get
the a paperwork done. So I think taking it down to max.30 min is good. It could be better ofcourse
but its good.

Not yet, we assign people to help them. I think we are insufficient at that point.
Learning: Inadequate in terms of disabled service.

No, unfortunately students need to be here physically during the registration process.
Learning: Make the registration process more enjoyable and exciting for the student
-Kayit sureci okul bunyesindekileri nasil etkiliyor ozellikle kayit kabul departmanini?
Before the registration this office becomes chaotic. There is a lots of paperwork. Everywhere is ful of
paper. It is very exhausting for us.
Learning: Department is unhappy with the oversized paperwork looking for ease both in terms of
time and paper.
21. -Kayit surecini alternatif bir sekilde gerceklestirebilir miyiz?
No, I don’t thinks so because we have orientation process, otherwise it would not make any sense.
-Sizce ogrencilerin kayit surecindeki beklentisi nedir ?
Actually, they are not aware of the process they are so excited about the being an university
student. Both parents and students want to get it over with it successfully.

-The guide is not much informative or effective
-There still might be cues during registration
-All departments at the same place, speeds the process
-The process is seem to be in an optimum situation as far as the university offer

23. Ozge Genc (Newcomer and Graduate Program)
-Kayit surecinde yasadigin problemler neydi?
From a newcomer perspective the application form is quite complicated. It was a eight page long
application and I was not aware of the length. I should be aware of the length.
There was a save button and next button. If I save will I go to next page or the whole document will
be saved. I clicked on back button all information is deleted and I have to retype my TC kimlik no all
over again. Which is time consuming.
-Fakulten hakkinda yeterli bilgiye sahip miydin? Ya da sence indergraduate lar bunun bilincinde mi?
I knew about my faculty and what my major is about but I could be informed better. Especially
undergraduates needs to informed better.
24. -Arayuz tasarimcisi kimliginle baktiginda neler goz onunde bulundurulmali ve nelere dikkat edilmeli?
As an Interface ID you need to know who the actors are: Students, professionals, staff and
especially newcomers because they have the freshest memory, you need to ask cognitive
questions in order to understand the problem. Sometimes the current process does not give the
sufficient information try another relevant process such as library or dorm registrations. The most
important thing is to design an interface that is understandable and simple. The stages must be
clear. The button or whatever is applied should be easily used. So it should be user-friendly. If the
tool is designed for disabled people it should also be used by other people. This is a important
point. This where accessibility comes in.
25. -Tasarim surecini nasil incelemeliyim?
The design process should be examined in three stages in this case:
Pre-registration : pre-registration stage you should consider the guide which has sent home before
the student comes to school,
Registration
Post-registration.
If you think PHASE BY PHASE you can achieve a WHOLISTIC service. For instance, if we consider
the pre-registration process. The newcomer can be informed before he arrives to school or in
order to avoid paperwork chaos what can we do? If you do this approach phase by phase you can
have an integrated service.

-Understand the actors; students, profs, staff and newcomers
-The application form is quiet complicated and bad designed.
-Be Simple and convenient
-Be visually appealing
-Use striking colors to catch attention
-Design to be fast and enjoyable
-Finding an answer is not always possible try to ask questions about other registrations like the
Library and Dorm
-Not enough information about the Faculty that the newcomer is applying
-The design process should be done in phases: The Guide received from mail, pre-registration,
registration and post-registration
-Always consider you are making a human centered design
-Accessibility

-An informative guide about the pre-registration, registration and post-registration. With a good
visual material ( informative images or video or a Barco vision of the university)
-Information about the major and faculty the student applying
-Creating an integrated tool
-A tool that is relevant to other registration processes (Library,Dorm)
-If possible the tool that is not only used in registration process but have other functions, replacing
Kuais and becomes like an ID of the student from the registration to graduation
-Navigation and Tracing implementation
-Tool that gives notifications.
-An access to the pool of all necessary paperwork.
-A siri like interactive device for blind newcomers and students.
