ADMISSIONS WU-CREW JOB DESCRIPTION
POSITION TITLE: Admissions WU-Crew DATE: 2014-2015 School Year
DEPARTMENT: Admissions Office REPORTS TO: Assistant Coordinator of Campus Visits
BASIC FUNCTION:
The Admissions WU-Crew is responsible for representing Indiana Wesleyan University to prospective students
and their families during their time on campus, many times being the first impression of the University. They
create a welcoming, accommodating, inclusive, and positive experience by sharing their personal stories about
IWU and helping prospective students picture themselves at IWU. The Admissions WU-Crew is comprised of
three unique areas of responsibilities—Daytime Hosts, Nighttime Hosts, and Office Workers. WU-Crew
members may hold two or, on a case-by-case basis, possibly all three roles. Specific responsibilities for each
role are detailed below.
RESPONSIBILITIES:
Daytime Hosts:
1. Work approximately 3—4 hours per week between the hours of 8:00 a.m. and 5:00 p.m. Hours will be
either pre-assigned by Visit Coordinators based on agreed-upon available work hours or through a sign-up
system based on student availability.
2. Conduct tours (from 1 to 15 people per tour) for visiting students, families, and special groups; when
feasible, customizing and specifically targeting the unique interests of guests on the tour. This requires a
time of discovery to learn the guests’ interests and the ability to adapt tours accordingly.
3. Host prospective students and their families at meals or chapel during their visit.
4. Assist the Admissions Office with campus visit events (Visit Days and Groups), including registration,
speaking in the welcome session, participating on a student panel, doing campus tours, set-up and tear-
down.
5. Volunteer to assist with special events such as Fusion (March) and Junior High Weekend (1st
weekend in
May) as available. These events may include some evening and weekend hours.
6. Carry out all other responsibilities and duties assigned by the Assistant Coordinator of Campus Visits.
7. Participate in entirety of training, approximately 12—18 hours, to occur during the first two weeks of the
semester, which will be paid at minimum wage ($7.25/hour).
Nighttime Hosts:
1. Work approximately 6—7 hours per week between the hours of 5:00 p.m. and 8:30 a.m. Hours will be
either pre-assigned by Visit Coordinators based on agreed-upon available work hours or through a sign-up
system based on student availability. Students will be paid only during “Active” time with the prospective
student. Active time is defined as hours spent interacting with the guests. Hours spent sleeping are
considered “Inactive” time and students will not be paid during these hours unless there is an emergency
(e.g., fire or weather alarm) occurring during those hours that requires the student to assume responsibility
for and interact with the prospective student. Should this occur, that time will be recorded as Active and
paid accordingly.
2. Host prospective students during the evening and help them experience what it might be like outside the
classroom as a student at IWU. This includes dinner, attending programmed campus events (e.g., athletic
events, music or theatre productions, SAC sponsored events, FNL, worship opportunities, CREMA,
movies, etc.), including prospective students in activities on-campus with friends, and possibly breakfast
the next morning. Please note: Prospective students should not be taken off campus during their
scheduled visit for any purpose.
2. 3. Live on campus in a residence hall—not upper-classmen housing—and host prospective students
overnight in your room. If prospective students stay overnight before their campus visit, assist them in
getting to their first scheduled appointment the next morning.
4. Volunteer to assist with special events such as Fusion (March) and Junior High Weekend (1st

Office Worker:
1. Work approximately 5—6 hours per week between the hours of 8:00 a.m. and 9:00 p.m. Hours will be
either pre-assigned by Visit Coordinators based on agreed-upon available work hours or through a sign-up
system based on student availability.
2. Greet and check-in guests as they arrive in Admissions, assist them as they come and go from Admissions
during their campus visit, and engage in conversation about your IWU experience as time allows and as
appropriate.
3. Perform clerical duties such as data entry, filing, answering phones, and copying.
4. Cover the Maxwell receptionist desk during pre-assigned hours based on agreed-upon available work
hours or through a sign-up system based on student availability between the hours of 5:00—9:00 p.m.
Greet and check-in guests as they arrive for an overnight stay and help make connections with their
overnight host. If guests are late arriving, call to check on the estimated time of arrival and communicate
updates to their overnight host.
5. Pick up or drop off guests at the Hoosier Shuttle stop at Exit 259 of I-69. A valid driver’s license and
successful completion of an application to become an IWU Approved Driver are required. An IWU fleet
vehicle will be provided for all work-related travel.
6. Volunteer to assist the Admissions Office with off-campus recruitment events such as college fairs or high
school visits. These events could be daytime or evening hours.
All Admissions WU-Crew students will be asked to sign a contract for the year ending April 22, 2015, reflecting
their specific role(s).
JOB QUALIFICATIONS:
The following qualifications and skills for the Admissions WU-Crew are consistent across all roles; those
unique to a specific role are noted below.
1. A desire to represent Indiana Wesleyan University and to minister to prospective students and their families
through hospitality and sharing their IWU experience.
2. A strong academic student.
3. A strong command of the English language; articulate in communications.
4. A positive and outgoing personality, who genuinely enjoys engaging new people in conversation, learning
about their specific interests, and tailoring responses to individual needs.
5. A natural tendency to be able to relate to people of all ages and personality types and quickly put them at
ease.
6. Flexible and not easily flustered when things don’t go as planned, as there are many instances of
unexpected changes. Must be able to graciously adapt on the fly.
7. Dependable and punctual; a strong sense of personal responsibility to fulfill commitments and go the extra
mile, when necessary, to ensure that the needs and expectations of prospective students are met, when
possible and feasible.
3. The following qualifications are unique to the specific role:
Day Time Host
1. Comfortable speaking with people you’ve just met, both one-on-one and in group settings.
2. Ability to stay on schedule; if necessary, adjusting campus tour stops to ensure that guests see the areas
most important to them, while ensuring that guests make it to their next scheduled appointment on time.
Night Time Host
1. Hospitable; creating a friendly, welcoming, and sociable experience for overnight guests.
2. Self-disciplined; organizing school work to make sure it’s done prior to hosting so the focus can be on
providing the guest with the best experience possible.
3. A tendency toward tidiness to ensure a neat room and comfortable experience for guests.
Office Worker
1. Friendly and welcoming, with a great smile and a strong desire to reach out to guests as soon as they walk
through the door.
2. Accurate in their work with an eye for detail.
3. Able to juggle many tasks at one time while remaining calm and friendly to visiting guests and co-workers.
4. Ability to prioritize tasks quickly and find a workable solution to problems that arise.
