WSIS+10 High-Level Event and Pre-Event Meetings 
9-13 June 2014

Checklist for Workshop & Meeting Organizers 
1. WORKSHOP: Please make sure that you have sent the following: 
a. the Session Description of your Workshop 
b. your organization’s high resolution logo and 
c. the list of panelists 
to gitanjali.sah@itu.int, this information is required for the Programme Brochure and 
the WSIS+10 High-Level Event website 
In case you have already sent us the session description and panelists please reconfirm 
that the information reflected in the online agenda is correct:

2. REGISTRATION: Please ensure that you and all your speakers have registered for the 
WSIS+10 High-Level Event. Please note that the deadline for accreditation requests is 
Sunday 25 May 2014.

Badging will be done in the ITU Monbrillant Building. Please note that blue/diplomatic 
badges will not be accepted in the CICG Building. Badges must be picked-up personally as 
they are photo badges. 
Badges may be pick-up on: 
o Friday, 6 June: 1400-1700 hours 
o Monday, 9 June: 0830-1200 and 1330-1700 hours 
o Tuesday, 10 June: 0730-1200 and 1330-1700 hours
o Wednesday, 11 June to Friday, 13 June: 0830-1200 and 1330-1700 hours 
We encourage you to pick-up the badges on Friday 6 June in order to obtain your badges as soon and rapidly as possible. 
3. PRACTICAL INFORMATION: All practical information is provided on the WSIS+10 High- Level Event website at the link provided below:

We encourage you to book your accommodation as soon as possible as the week of the WSIS+10 High-Level Event is a busy time for Geneva. 
4. REMOTE PARTICIPATION at WSIS+10 High-Level Event: 
ITU will provide a virtual meeting room during your workshop/meeting. Remote participants will be able to follow the discussions happening live in Geneva. They will be able to watch the live video feed, see all the presented documents and they will even be able to interact with the panel (by commenting on the chat pod or by calling-in to make a remote intervention). 
We invite you to choose one of the following Information Sessions, which will take place online: 
i) Wednesday 4 June 2014, 15:30 (Geneva Time) Check your time zone here 
ii) Thursday 5 June 2014, 10:30 (Geneva time) Check your time zone here 
The information session will take place in the following virtual meeting room: http://connect.itu.int/itu-spm-conf1. This short training session will enable you to fully engage in the remote participation component during your workshop/meeting. We highly recommend you to join one of the information sessions as this will enable you to learn all about the remote participation facilities for your sessions. 
Please also remember to: 
 Brief your speakers/panelists about the remote component of this event and/or feel free to invite them to the information session.
 In case you have remote panelists, please inform us before the Friday 6 June 2014 at remote.participation@itu.int. Please specify clearly in the email 
o Date of your workshop 
o Time 
o Room Number 
o Name of Organization 
 Note that in order to have the optimal audio and video quality, we need to train and test the remote panelists beforehand. 
 Remind your physical panelists to come as early as possible (in order to upload their documents onto the virtual platform) 
 Remind your physical panelists to put their slides and documents on an external memory stick. A dedicated laptop will be used for slides and documents. 
 When planning your session, please reserve 15 minutes during which remote participants can ask questions to speakers and panelists. Please note that the Moderator/Chair of the session should announce at the beginning of each session that the meeting is being followed by remote participants from all over the world. 
5. WEBSITE: Make sure that the information about your session has been reflected on your website and your networks have been informed about the WSIS+10 High-Level Event. 
6. #WSIS WSIS in TWITTER: As the session organizer you are requested to join the iwrite4WSIS campaign and tweet updates on your session using #WSIS. In order to publicize and report on your session, as organizers of the session, you are invited to join the iwriteforWSIS campaign www.wsis.org/iwrite. 
7. imeetYouatWSIS: As organizers, you are kindly requested to complete your profile on imeetYouatWSIS. It has been developed especially for you to facilitate your communication and networking with all confirmed registered participants. Once you register you will receive a link to complete your profile (www.wsis.org/imeet) 
8. NAMEPLATES: We kindly request that you please bring and carry your own NAMEPLATES for your respective session speakers. The template of the nameplate is available in the attached document. 
9. As ITU has a paperless policy, printing possibilities are very limited. Please ensure that you carry all required printed material for your respective workshops, meetings, etc.
10. ROOMS: There may be changes in the room allocation for your session, please check and confirm with the latest agenda at www.wsis.org/forum/agenda, in case of any last minute updates/changes. 
11. Please ensure that you are respectful to others and end your session on time in order for the next session to start on time. 
12. Please ensure that you leave the podium tidy. 
13. OUTCOMES: WSIS Secretariat will issue the WSIS+10 High-Level Event Outcome Document on Friday 13 June 2014. Please ensure that you submit the main points summarizing your workshop to gitanjali.sah@itu.int as soon as your session is over and no later than Thursday 12 June 2014. The only exception will be for the sessions held on June 13. Please note that each summary should be sent using the attached template. 
Please note that in case you do not submit outcomes of the session, we will not be able to include it in the WSIS+10 High-Level 2014 Outcome Document, that will be released on Friday 13 June 2014.

  • 3.  In case you have remote panelists, please inform us before the Friday 6 June 2014 at remote.participation@itu.int. Please specify clearly in the email o Date of your workshop o Time o Room Number o Name of Organization  Note that in order to have the optimal audio and video quality, we need to train and test the remote panelists beforehand.  Remind your physical panelists to come as early as possible (in order to upload their documents onto the virtual platform)  Remind your physical panelists to put their slides and documents on an external memory stick. A dedicated laptop will be used for slides and documents.  When planning your session, please reserve 15 minutes during which remote participants can ask questions to speakers and panelists. Please note that the Moderator/Chair of the session should announce at the beginning of each session that the meeting is being followed by remote participants from all over the world. 5. WEBSITE: Make sure that the information about your session has been reflected on your website and your networks have been informed about the WSIS+10 High-Level Event. 6. #WSIS WSIS in TWITTER: As the session organizer you are requested to join the iwrite4WSIS campaign and tweet updates on your session using #WSIS. In order to publicize and report on your session, as organizers of the session, you are invited to join the iwriteforWSIS campaign www.wsis.org/iwrite. 7. imeetYouatWSIS: As organizers, you are kindly requested to complete your profile on imeetYouatWSIS. It has been developed especially for you to facilitate your communication and networking with all confirmed registered participants. Once you register you will receive a link to complete your profile (www.wsis.org/imeet) 8. NAMEPLATES: We kindly request that you please bring and carry your own NAMEPLATES for your respective session speakers. The template of the nameplate is available in the attached document. 9. As ITU has a paperless policy, printing possibilities are very limited. Please ensure that you carry all required printed material for your respective workshops, meetings, etc.

ROOMS: There may be changes in the room allocation for your session, please check and confirm with the latest agenda at www.wsis.org/forum/agenda, in case of any last minute updates/changes. 11. Please ensure that you are respectful to others and end your session on time in order for the next session to start on time. 12. Please ensure that you leave the podium tidy. 13. OUTCOMES: WSIS Secretariat will issue the WSIS+10 High-Level Event Outcome Document on Friday 13 June 2014. Please ensure that you submit the main points summarizing your workshop to gitanjali.sah@itu.int as soon as your session is over and no later than Thursday 12 June 2014. The only exception will be for the sessions held on June 13. Please note that each summary should be sent using the attached template. Please note that in case you do not submit outcomes of the session, we will not be able to include it in the WSIS+10 High-Level 2014 Outcome Document, that will be released on Friday 13 June 2014.
