Victoria Office 365 Users Group - Microsoft Teams Breakout Rooms

Editor's Notes

  1. They are a virtual room that allows a meeting organizer to split meeting attendees into multiple online rooms for discussion and collaboration
  2. To create smaller groups of attendees to meet, discuss, brainstorm and share ideas. When you get more than 6-8 people trying to speak and share ideas it can be challenging. Splitting your team into smaller groups can be very beneficial You may want to get your organization to break into groups based on departments or roles You may want to have different attendees discuss different topics and then come back together to share their thoughts with the organization as a whole. As an organization you may want to create groups and ask them to brainstorm ways to cut costs as an example.
  3. Only the organizer has the ability to create rooms You can choose between 1 and 50 rooms
  4. On the toolbar at the top choose the square icon
  5. Here (CLICK) you choose the number of rooms you want, again it can be from 1-50 Then you choose (CLICK) if you want Teams to automatically assign members to a room – This will divide the number of participants currently in the meeting evenly between the number of rooms you have chosen Note at this point there is not a way to let participants choose the room they wish to join. Hopefully this option is in the works as I can see it being very useful if you are offering some training, People would want the option to join the session that is the most valuable to them. For now if a participant wanted to join a specific room they would have to request that from the organizer
  6. Once your rooms are created (CLICK) you can leave the default naming convention of Room 1 Room 2 etc or choose to make them more specific Click on the ellipses next to the room you want to change and you get a dropdown Choose “Rename” room and enter the name you want
  7. When you are ready for the participants to make their way to the virtual rooms,(CLICK) click the “Start Rooms” button. It could take a minute or so for the process to complete and then the rooms will be open and participants will now be in their selected rooms The attendees will see a message at the top of their screen indicating the room session has started and they will be automatically moved to the room they have been assigned
  8. Not a problem. (CLICK) As the organizer you will see the late participant appear above the rooms. (CLICK) Click on “Assign Participants”, click on the attendee and click “Assign” and select the room you wish them to join Click on the attendee you wish to assign to a room and then choose the room you want them to join
  9. The organizer can easily join a room and monitor the group, participate or offer some guidance. They can move in and out of all rooms. (CLICK) To do this they would click the ellipses (CLICK) beside the room they wish to join and click “Join Room” A new window for the selected room will open and the organizer is now in that breakout room. When you want to go back to the main room you can click “Return” on the top toolbar
  10. The organizer can easily join a room and monitor the group, participate or offer some guidance. They can move in and out of all rooms. To do this they would click the ellipses beside the room they wish to join and click “Join Room” A new window for the selected room will open and the organizer is now in that breakout room. When you want to go back to the main room you can click “Return” on the top toolbar
  11. Click the ellipses beside breakout room and click on “Make an announcement” Type your message in the pop up window that appears and click “Send” The attendees will see the meeting announcement in the room chat on the right and it will always be flagged as important I would suggest you give the rooms at least a couple of minutes warning to wrap up
  12. When the previously announced time is up, the organizer simply clicks on the “Close Rooms” button All attendees will then see a notification that the room will close in 10 seconds and they will be returned to the main meeting. At that point you may wish to have a delegate from each room present their findings or ideas to all.
  13. Participants can use options like Together Mode & spotlight someone The chats from the breakout rooms can be viewed later by going to Chats on the left. Each room will have it’s own session
