Cisco IP Phone and Voice Mail Training for Joliet Township High School Teachers

  1. Hi I am Frances Schoepke and I want to welcome you back along with Sentinel and Cisco Systems to a new phone system all ready installed and ready for you to use.
  2. This is what your phone will look like. These are placed in every classroom and surrounding areas.
  3. The Cisco IP is just a phone and it is very easy to use. Over the next several minutes I will be giving you a glimpse of your new phone system and present some of the unique difrferences and some important information that you need to know before using your new Cisco IP.
  4. Dial 9: You still press 9 before dialing outside numbers. 4 Digits: Use four digit extension numbers when dialing between Central and West campus’s Emergency: For Emergency you can dial either 911 or 9911 CLID: Internal Caller ID you will see name and number in your display CLID: External Caller ID you will see number only
  5. During the day your phones will be forwarded from 8:30 to 4:30, AUTOMATICALLY. There isn’t anything you need to do to invoke the forwarding or to cancel it. Emergency Override that can be invoked if necessary to get through to you by phone.
  6. This is one of the most important things you need to be aware of. Before you can make calls from your phone, you will need to LOG ON to it.
  7. The way you LOG ON is to use EXTENSION MOBILITY which is under the SERVICES button.
  8. DISPLAY: Then you will see a LOG ON ID: looking for information for you to enter. Which will be the number ‘4’ + your teacher ID. Then enter the password 12345. COMMON AREAS: Use the EXTENSION MOBILITY whenever you are in any of the common areas where there is a Cisco IP phone. Such as the computer lab room. You simply choose EXTENSION MOBILITY and log on with your ID and PW. LOG OUT: You will want to Log Out when you are finished using the phone for security purposes and because you will not be able to log on to another phone until you do. TIME OUT: There is a 10 hour timeout factor to automatically log out anyone who is logged in after 10 hours.
  9. Others can leave you a voice mail message anytime, day or night. They should call 815-774-7400 and enter the extension number or use the directory they are prompted to use if they do not know the extension.
  10. BUILT IN: The Cisco IP has a directory built into it. DIRECTORY BUTTON: By pressing the Directories button, you will be able to find and use it to find out when people have called you and auto call them back.
  11. The handset of your phone will turn bright red, when you have at least one new message in your mailbox.
  12. Words appear within the display corresponding to soft keys below them. You can use these keys when wanting to HOLD or TRANSFER, and many other features that are explained in your black instructional manual.
  13. Use the NAVIGATION BAR to scroll through text and menu items on your LCD screen.
  14. TRANSFER EXAMPLE: Here is an example of using one of the features, such as TRANSFER. We call this the ‘sandwhich’ method. Where you begin and end with Transfer. The same method is used for CONFERENCE, by using the Conference soft key. MORE: Other features such as for CONFERENCE you may have to press the MORE soft key to find the appropriate CONFERENCE soft key. HELP: For more features and the exact steps you will want to refer to your black instructional manual or the help button on your phone.
  15. HELP button then press any other button and it will explain the purpose of the button and the steps for using it. If you double press the HELP button it will bring up the whole phone menu selection of information.
  16. The ‘Message’ button autodials into voicemail. Then enter your PW. When you are setting up your voicemail for the first time you need to use the default password of 1379. The dialpad square around the dialpad.
  17. You have a new mailbox. You are required to set it up. That means there are four things you are going to do. Record your name, Record a greeting, create a new password, and accept to be listed in the Corporate Directory. Be sure you wait till you hear ‘You have finished enrollment.’ Then you are finished, otherwise the next time you go to listen to your messages, you may have to go through the tutorial again.
  18. Collin Farrell This is your Voice mail BACKDOOR number. Call this number when you want to listen to you messages when you are away from school. Press the * key when you hear the auto attendant recording come on. You will be prompted to enter your ID which is your extension number and then to enter your password.
  19. We may have some commands that are new to you – so be sure to check out the vertical list of commands in the instructional manual. Such as speed up or slow down the persons voice you are listening to. * Key + extension: go directly to VM and leave message # Key: to skip someone’s greeting and go right to the beep. Combine menu commands: to move quickly through VM
  20. Be sure to use the button on the side of your phone when making an adjustment to raise or lower the set. The stand can break somewhat easily if you try to force it.
  21. The only homework assignment is to setup your voice mail. And I expect that should be done by
