About Us
5. The first step in your Lean journey is to get everyone on the same
platform. What we mean here is that all your people, CEO to
workers, should be aligned towards your Goal-Continuous
Improvement. The Morning Meeting will be your tool for setting
expectations and training your people towards this Goal.
The morning meeting should be more of a teach & train session
rather than a class of what happened and missed yesterday and
who was responsible.
Meetings and discussions happening in conference or meeting
rooms with only the top guys involved is the most unproductive
start to the day anywhere (factory or office). Your morning meeting
should take place where work is actually being done with
everyone’s involvement.
We intend the meeting to be short and productive and ‘standing’
helps. Ideally, your morning meeting should not exceed more than
20 minutes initially.
6. You have now set up the foundation for training and growing your
people towards continuous improvement through the morning
meeting.
Now, to produce high quality products or services with lower costs,
your people need to make improvements on daily basis.
The problem here is you will put yourself and your people in
trouble if you simply ask them to make improvements daily.
Your strategy should be to make this process
of making daily improvements easy
and fun for your people.
Ask for one ‘micro’ improvement daily. Define this micro
improvement as any improvement which is worth saving 3 seconds
of your time.
Sounds achievable right? The moment you make things simple for
people, you are assured of maximum buy-in.
To make this task fun and acceptable, ask for photos or videos of
the improvement. With technology being so accessible, make a
Whatsapp group of your people and name it “Micro
Improvements”.
All improvements of the day have to be uploaded into this group by
everyone, (either photo or video). This process will be the top most
motivational factor for involvement from all team members.
7. Formally defined, 5S is a method of creating a clean and orderly
workplace that exposes waste and makes abnormalities visible.
Now to make things simpler and easier to implement, you can
reduce 5S to 3S, that is Sort, Shine and Standardize and do it daily.
3S-ing their work area should be the first thing of the work day of
all employees.
By doing a 3S daily, everyone has cleaned and sorted their work
area and its standardized.
You do not want to clutter your mind and waste your time
searching for tools, supplies, documents, etc. All you want is an
open and active mind for continuous improvement ideas and this is
how you start by teaching people to be organized first.
8. LEAN is all about continuous improvement and elimination of
“Waste”.
Waste defined in simple terms would be anything which does not
add value for the customer.
All of your business processes include value-added and non value-
added activities. Many organizations attempt to reduce lead-time
from their value-added processes. While this isn’t a bad idea, there
is far more opportunity in attacking Waste coming through non
value-added activities.
All employees must be trained and empowered to take action on
Wastes found in their processes or tasks. Identification will be done
through training and elimination through the ‘micro’
improvements.
9. A Gemba (Japanese term for ‘the real place’) walk is the term used
to describe personal observation of work – where the work is
happening or where value is being created
Gemba walks should always be done by top management (best
person-the business owner) daily before or after the morning
meeting.
1. Physically check and appreciate the micro improvements
2. Assist someone who is stuck and needs help in their micro
improvement
3. Inspect 3S of individual areas, counsel and advice for
improvement (remember that your walk is not supposed to be
a ‘firing’ session for your employees)
4. Intruding workers to solve problems by asking why (you need
to know the 5 why’s technique)
The secret to Gemba walks is the fine line between engagement
and snooping. Make it apparent to your people that your intention
is to engage and not check on their work. When they see this, they
will be waiting for your walk everyday.
