Cataloguing Process
1. Check Voyager to see if the record is already in Voyager. If the record is in Voyager, make sure that everything is the same.
(Edition, format, etc.) If the item is in Voyager and listed as a U of W item, attach the item to the U of W record. You also
attach an OWtU item to a WLU or University of Guelph item if the call number is identical.
2. If the record is not in Voyager, do a remote search to find a record to download into the catalogue. (It might be faster to first
do a search at WorldCat.org to find a record in a library, search the libraries catalogue on the web to see if the record is there
and if it is there, search Voyager using the remote search.)
3. Determine if the record is for the exact item. If there is more than one record, choose the record that is most complete and is
in RDA if such a record is available. Often records from Library of Congress (DLC) are the most complete.
4. Determine if a record is RDA or not. If a record is not in RDA, upgrade the record to RDA (TUG policy)
5. Edit as follows in charts on the following pages.
6. Double check your record for errors in punctuation.
7. Once the record has been updated, the subject fields and creator fields should be validated.
 Select each heading to by validated and look at authority record to make sure that the heading belongs to the record. For
example, for authors make sure that the author is generally writing in a similarfield to your item. In the example, Carol
K.K. Chan is described in the authority record as the author of “Revisiting the Chinese learner” or the book in the
example.
8. If any of the authority records attached to the bibliographic record do not belong to the bibliographic record, search for and
attach the correct authority record. When this is all done click the Save to DB (database) button

10. Add holdings records by choosing BIB.tem and editing to read as follows:

13. For hardcover books, remove dust jacket.
14. Place one barcode on the front of the book and one inside on the first page on the right hand side. Do not cover any
important information.
15. Write the call number in pencil on the first page as it appears on the spine.
16. Make sure location is correct
17. Enter barcode by scanning or by entering item in by hand in barcode field. Double check the barcode, especially if you do it
by hand. When all the information is correct click save to database. Try scanning the book in the circulation module to make
sure the barcode is linked to the correct book
18. Put a pocket inside the front cover.
19. Stamp with property stamp: On pocket, beside inside barcode, on the title page unless already stamped beside the barcode,
on the last page of text, on the top edge with the cover facing towards you. On the bottom edge with the cover facing away
from you.
20. Type a call number label for the book.
21. Place the label on the spine (if possible) or on the front left bottom corner. Avoid covering important information.
22. Cover the spine label with a label protector.

Title and statement of responsibility (245)
In RDA the title is transcribed as found. If there is an error in the title on the title page, do not add [sic] or[i.e. …] simply transcribe as
found and add a 246 for the corrected title.

In AACR2 we used sentence case, i.e. only the first word of the title and proper nouns were capitalized. With RDA you can accept the
capitalization as found in the record if it matches the resources and is readable.

In RDA, the statement of responsibility is also transcribed as found. If there is more than one statement of responsibility, use the
usual ISBD punctuation of separating each statement with a semi-colon. Do not omit titles (e.g. Sir) or initials of societies etc., or
affiliated institutions; simply transcribe as found.

As long as the statement of responsibility is found on the resource itself it does not need to be in square brackets. Brackets are only
needed if taking from somewhere outside of the resource, e.g. a related reference source.
Edition statement (250)
In RDA the edition statement is transcribed as found, do no convert numerals or abbreviate. If the edition is abbreviated on the
resource, then abbreviate it in the record (e.g. 2nd ed.). If it is not abbreviated on the resource then do not abbreviate it in the
record (e.g. Second edition)
Older RDA records may use a 260 for statement of publication. You can accept the use of the 260 and update as normal. Just make
sure that if the only date in the item is a copyright date that you use a probable date of publication because publication date is
required in RDA. For example if your book says ©2011 then your 260 $c should be 260 $c [2011]. You can add in a copyright date if it
is different from the date of publication, e.g. 260 $c 2012, ©2011.
Statement of Publication (264, indicators #1)
There is a new MARC field for publication which uses the second indicator to identify whether it is a publication statement,
production statement distribution statement, manufacturing statement or statement about the copyright. 2nd indicator “1” means
publication statement and is what you will use most of the time.
Transcribe places of publication and publishers' names in the form in which they appear on the source of information. For places of
publication, include both the local place name (city, town, etc.) and the name of the larger jurisdiction or jurisdictions (state,
province, etc., and/or country) if present on the source of information. If the name of the larger jurisdiction is not present, you may
supply it in square brackets if considered important.
If the only date in your resource is a copyright date then you need to provide a probable date of publication in the 264 #1, for
example [2012].
Physical description (300)
The extent of the resource no longer allows abbreviations, therefore use pages instead of p., volume instead of v., approximately
instead of ca., and that is instead of i.e. If you have unnumbered pages or plates use the term unnumbered instead of square
brackets. Here are
some examples:

Illustrative Content:
The illustrative content no longer allow abbreviations, therefore use illustrations instead of ill., portraits instead of port., etc. Terms

Dimensions remain the same, use cm for centimetres because cm is considered a symbol not an abbreviation.
The 300 field only ends in a period if there is series statement in the record.

Common Media Types in RDA (Used in Marc #337)
audio Media used to store recorded sound, designed for use with a playback device such as a turntable, audiocassette
player, CD player, or MP3 player. Includes media used to store digitally encoded as well as analog sound.
computer Media used to store electronic files, designed foruse with a computer. Includes media that are accessed remotely
through file servers as well as direct-access media such as computer tapes and discs.
microform Media used to store reduced-size images not readable to the human eye, designed for use with a device such as a
microfilm or microfiche reader. Includes both transparent and opaque micrographic media.
microscopic Media used to store minute objects, designed for use with a device such as a microscope to reveal details invisible to

  • 1. Cataloguing Process 1. Check Voyager to see if the record is already in Voyager. If the record is in Voyager, make sure that everything is the same. (Edition, format, etc.) If the item is in Voyager and listed as a U of W item, attach the item to the U of W record. You also attach an OWtU item to a WLU or University of Guelph item if the call number is identical. 2. If the record is not in Voyager, do a remote search to find a record to download into the catalogue. (It might be faster to first do a search at WorldCat.org to find a record in a library, search the libraries catalogue on the web to see if the record is there and if it is there, search Voyager using the remote search.) 3. Determine if the record is for the exact item. If there is more than one record, choose the record that is most complete and is in RDA if such a record is available. Often records from Library of Congress (DLC) are the most complete. 4. Determine if a record is RDA or not. If a record is not in RDA, upgrade the record to RDA (TUG policy) 5. Edit as follows in charts on the following pages. 6. Double check your record for errors in punctuation. 7. Once the record has been updated, the subject fields and creator fields should be validated.  Select each heading to by validated and look at authority record to make sure that the heading belongs to the record. For example, for authors make sure that the author is generally writing in a similarfield to your item. In the example, Carol K.K. Chan is described in the authority record as the author of “Revisiting the Chinese learner” or the book in the example. 8. If any of the authority records attached to the bibliographic record do not belong to the bibliographic record, search for and attach the correct authority record. When this is all done click the Save to DB (database) button 9. Click on new holdings 10. Add holdings records by choosing BIB.tem and editing to read as follows:  852 00 ‡b REN ‡h LA1134.H6 ‡i R49 2009  After ‡b put REN  After ‡h put call number.  After ‡I put item part. (Cutter number and date)  Save to database.

Add item as follows: 12. Click on New item. 13. For hardcover books, remove dust jacket. 14. Place one barcode on the front of the book and one inside on the first page on the right hand side. Do not cover any important information. 15. Write the call number in pencil on the first page as it appears on the spine. 16. Make sure location is correct
  • 3. 17. Enter barcode by scanning or by entering item in by hand in barcode field. Double check the barcode, especially if you do it by hand. When all the information is correct click save to database. Try scanning the book in the circulation module to make sure the barcode is linked to the correct book 18. Put a pocket inside the front cover. 19. Stamp with property stamp: On pocket, beside inside barcode, on the title page unless already stamped beside the barcode, on the last page of text, on the top edge with the cover facing towards you. On the bottom edge with the cover facing away from you. 20. Type a call number label for the book. 21. Place the label on the spine (if possible) or on the front left bottom corner. Avoid covering important information. 22. Cover the spine label with a label protector.

If there is an error in the title on the title page, do not add [sic] or[i.e. …] simply transcribe as found and add a 246 for the corrected title. 245 00 $a Teusday's tasks 246 1# $i Corrected title: $a Tuesday’s tasks In AACR2 we used sentence case, i.e. only the first word of the title and proper nouns were capitalized. In RDA, the statement of responsibility is also transcribed as found. If there is more than one statement of responsibility, use the usual ISBD punctuation of separating each statement with a semi-colon. You can accept the use of the 260 and update as normal. Just make sure that if the only date in the item is a copyright date that you use a probable date of publication because publication date is required in RDA. For example if your book says ©2011 then your 260 $c should be 260 $c [2011]. You can add in a copyright date if it is different from the date of publication, e.g. 260 $c 2012, ©2011. Statement of Publication (264, indicators #1) There is a new MARC field for publication which uses the second indicator to identify whether it is a publication statement, production statement distribution statement, manufacturing statement or statement about the copyright. 2nd indicator “1” means publication statement and is what you will use most of the time. Transcribe places of publication and publishers' names in the form in which they appear on the source of information. For places of publication, include both the local place name (city, town, etc.) and the name of the larger jurisdiction or jurisdictions (state, province, etc., and/or country) if present on the source of information. If the name of the larger jurisdiction is not present, you may supply it in square brackets if considered important. If the only date in your resource is a copyright date then you need to provide a probable date of publication in the 264 #1, for example [2012]. Physical description (300) The extent of the resource no longer allows abbreviations, therefore use pages instead of p., volume instead of v., approximately instead of ca., and that is instead of i.e. If you have unnumbered pages or plates use the term unnumbered instead of square brackets.
