  1. 0:00 - 1:40 (1:40) -Hello! My name is Brett, I am the director of Sales here in San Francisco. Welcome to this talk, “Managing Custom Manufacturing and Job Shops in V14.” -So for anyone unfamiliar, manufacturing is not always as simple as saying here is the recipe for building something, these are the ingredients, these are the instructions, and we’ll do it like this every single time. Some companies work like that, many products are made that way. -But there’s a lot of manufacturing done out there that is a lot more complex and variable. For example- Configurable, modular equipment where depending on the customer’s choices it results in a vastly different production process. -Or custom jobs where you design or engineer something and build it just once to satisfy a single order. -Or machine shops that don’t necessarily build anything at all, but rather use their equipment to perform some work on a part or material either as a one-off or as a limited run. -There are softwares that tackle these industries, but there’s a wide range of challenges… classic problems we hear about: like old clunky user interfaces that are hard to work with, or softwares that handle one type of manufacturing perfectly but missing other types, or just generally a big lack of flexibility in how to actually use the software. -But it’s a goldmine of an industry. People really need good solutions. There’s always been a need for engineer to order parts and goods. But especially in the last 5 years or so, it’s an industry growing really fast. Part of this is because of the evolution of consumer demand… these days, more and more customers don’t want to settle for mass produced off the shelf goods. Tons of niche markets have emerged to accommodate this kind of personalization.
  2. 1:40 - 2:50 (1:10) -So, even though Odoo wasn’t originally created to target custom engineer-to-order type industries, it happens to be perhaps one of the strongest solutions for this. It solves a lot of the standard problems these companies face. It’s mostly through the 3 biggest strengths of Odoo- the integration between the apps, the ease of usability for both managers and shop floor workers, and perhaps most importantly the flexibility of the platform. -Note: as a disclaimer, in order to trim this down to a 20-minute talk, What I’m not going to cover as much is labor and time tracking, or costing in general. Those are certainly very important aspects of custom MRP industries and Odoo has a number of ways to help out with those needs but I would say if you want to explore that more you should reach out to talk one on one, or in the Q&A. -I’m mostly going to be focused around production from the perspective of materials tracking and consumption, the ease of use of these different functions, and the way that the different apps are flowing together to fit the need- especially that crucial relationship between presales, and manufacturing.
  3. 2:50 - 3:40 (0:50) -So before we get into true engineer-to-order type custom jobs, I’m going to walk through a workflow that makes use of a cool feature in Odoo, which is the way our product variants interact with manufacturing. Variants in Odoo allow you to have an overall parent product with a bunch of different configurable options to choose. -In some cases, “custom manufacturing” can actually be handled pretty well with this sort of setup. It works when you know in advance what kinds of different ways something might be built, even if there are hundreds and hundreds of possible combinations. -But I’m also starting with this workflow, because it also is a good way to observe a bunch of the different core functionalities that can help us with custom manufacturing, such as how to set things up as Make-to-order, and how purchasing components relates to production.
  4. 3:40 - 9:10 (5:30) -[start] First off I want to touch on manufacturing basics. There might be some watching that are unfamiliar. I’m going to start off with products. In Odoo- finished goods, components, subassemblies, they’re all just products. And you can organize it however you need. -In this column I have a lamp product I manufacture listed next to its three components. I’m going to go into the lamp, and you’ll see a bunch of general info about the product I’m not going to spend any time on.. Here you’ll see this is something we manufacture. And the other setting that’s really critical is the Bill of Materials we use to create this, it uses these three components down here every time we manufacture this. Pretty basic. -(0:40) But let’s go to something with custom configurations. I have this Build Your Own Computer with 96 possible variant versions, organized in a column with all the possible components that could go into it. Let’s take a look….. So here, this tab lists the setup of variants… the rows are different attributes and the values are different options for each. Some are a simple list of a few choices,some are binary yes/no, and we also have a type that allows you to input special text. -A big part of the value of working with this is the speed to set it up. I can add a new attribute like color, and add a few options on the fly, and when I hit save, it generates all the possible options. 288 combinations. And each one is technically it’s own product under this master product umbrella. And if I go take a look, you’ll see all these combinations, and the prices can be different because each value can have a different price add-on that adds up to the total price. -(2:00) So even though we have all these combinations, the most powerful part of this is you can have just one single BOM for everything. Odoo let’s us treat this as like a Master BOM… it’s a reference guide that tells us what components to use depending on which values are chosen. Sp you can see we use the processor B component, if we choose processor B. And it works for the Yes/No binary choices as well. So it’s amazingly effective and clean compared to having 288 individual bill of materials we can just have this master BOM. -So let’s see how it works in action. You’ll note that it’s MTO, meaning that if we sell one of these variants it will automatically create the job for us. So, I’m going to go into the sales app. This also works for Ecommerce but I’m going to use the sales app. Let’s create a new order for some customer. I will add the generic master product “Build Your Own Computer.” And it pops up the configurator. We can choose specific options, it lets us know if there’s a price increase for the option, I’ll choose this, keep that, and below, here’s the custom text we can enter. Great. So there’s the total price, and I will add. -(3:25) Now when I confirm the sale we start to see the real power of Odoo’s integration. Because immediately it has generated a manufacturing order and a delivery order. Something to build, and then to ship it out. And I could go into the records through those buttons but just to show where it was generated I’ll go into manufacturing, the list of MOs, and here it is, here’s the order with the specific variant that was ordered, and here’s that custom text. And most importantly, the correct parts are selected to consume. -(4:00) Now over here we have a new feature which is the availability indicator that tells us what we have and what we don’t. So before we can actually complete the assembly, we need all the parts. I can click to view the new forecasted report for the component. And you’ll that a draft PO has actually been automatically generated. So our MO actually triggered the creation of a PO, I’m gonna go into purchase, and, there it is. Here’s the component we need to procure to complete our manufacturing order. I’ll confirm with the vendor, and just to go fast let’s say a week goes by, and we receive it in stock. Normally it would be our warehouse team handling this receipt. -(4:45) So we should now have everything we need to build this computer. So go back to the MO, and that new component has been automatically allocated to the MO. I’ll go ahead and put it together real fast, and it’s done. We consumed the components and produced a computer. Cool. So the integration allows us to link directly back to the sale, and from here, wee can go into the delivery, and ship it out. Really easy smooth connections between the apps. It’s really critical for make to order flows where the sales information is directly impacting your production.
  5. 9:10 - 9:50 (0:40) -So next, I’d like to run through an example of the integration between Odoo’s apps allowing for a nice engineer to order workflow. -(click) I’m going to show how you can have a custom contact form on the website for customers to submit a job request. -(click) Then in the CRM app you’ll see where that inquiry comes in as an opportunity -(click) Then before we can quote, we’re going to integrate our PLM app into the process, to use an ECO that will help us create a Bill of Materials for the job. -(click) After we have made the BOM and product setup we can then quote it and sell with the sales app. -(click) And finally, that will trigger it to let us build the product in manufacturing, so we can send it to our customer.
  6. 9:50 - 15:05 (5:10) -[start] So generally when we talk about presales stuff in Odoo, we’re tracking that in our glorious CRM app. This has potential business in the form of opportunities. So, I’m going to go into one to show you that I have added a custom field called “Job Spec Sheet” that is just an easy designated place for job-specific documents to be stored. I’ve also added an ECO link smart button to engineer new BOMs from the opp. -Alright so let’s allow our prospects to use the Odoo website tools, to submit potential job requests through an online form, to become those opps. And here’s our standard contact form. It’s really easy to hit edit,, and totally change our forms the way we want. Rename things, remove, whatever. But I can easily add a field to the form, and I’ll choose that custom field on the opportunity called *Job Spec Sheet. And as you can see, it will allow prospects to submit any file type. And I’ll save that form. (1:10) So let’s go through this, starting as if we’re a prospect submitting a job. I’ll choose my company name. Email, phone, all that stuff. Now I’m filling this in as a brand new prospect but if I’m already logged in as an existing client it can prepopulate. Here’s a good place to specify the overall job name or number. Some designation like new solenoid valve job. And I’ll dump in all the specifics, and attach my document which in this case is a PDF, and submit. Cool. Ok so that’s enough of being the prospect… let’s stop being the prospect, and go back to the backend. (2:15) Let’s go back into our CRM, and there’s a new job. Our form generated this new opportunity. As a greedy user I’ll assign this opp to myself. And yeah as you can see all of these fields have been filled in from the form, specs are down here, and our file is accessible in this spot. Great. Wonderful. Okay- so now we need to start working with this potential job. And before we can quote them, we need to build out a whole new product and bill of materials for quoting purposes. So, we’ll create an ECO, which means we’re now actually using our PLM app, that we have connected to the CRM opportunity. (3:05) So here’s our ECO… I’m going to give it a name that helps our engineering dept. It makes sense if we take the name from the opp written right above. RFP 456. You can have many types of ECO, this is a potential job, mostly for quoting, and in this case I’m going to be engineering not just a new finished good, solenoid, but also a new BOM to create it. So here’s a new BOM record,that we can start to design. Let’s confirm to start this ECO officially. It has its own customizable stages and along the way, you can make updates to the BOM. (3:52) So as we’re setting up this BOM, you have to imagine that we’re sourcing the materials and deciding which components to use. Some components might already be in the system, maybe not. So you’re deciding who to buy these components from, and most importantly what their costs are which will impact the total cost. I’m skipping the process of researching your components details, just to fast forward, but just know that you would want to make sure that information is set up on all these things. Cool, so I’m saving the BOM, and back at our ECO form, it keeps track of all the changes we’ve made over time, a manager can approve this ECO and make the BOM active so it can be used for sales and production. (4:40) So now I’ll click back to our opp because we’re ready to quote it. Make a quote for the product, it has the total price generated from our BOM, send the quote, confirm the sale, and it automatically makes the manufacturing order, which as you can see has all the components we engineered to have listed out as we begin our production. So you can build it out, link back to the sale for reference, and that’s a pretty straightforward engineer-to-order workflow.
  7. 15:05 -17:40 (2:35) Moving on, another way to quickly create new BOMs to work with is to use a template. So I’ll show you what I mean about that. -[start] So… in Manufacturing, you can set it up so that you go to the menu, in addition to having products, and having Bill of Materials, you could also create a new menu item called BOM templates. And if I go in, what it really is, is a list of templates to follow that you can make copies of that will be used as actual BOMs. And it’s simple, it’s really just a slightly modified BOM with this TEMPLATE designation here, and it has some preconfigured base components. It’s a reference or a starting point… you’re not intending to actually build this but it saves a ton of time when engineering to order. -There’s different ways to use templates… you might have a workflow, like we did previously, where it’s time to engineer a new BOM, and you could just take this template and make a copy. And then this new copy, you’d specify the actual name of the finished good, in this case let’s say sand filter custom, and then you’d make deviations from the template like changing quantities or adding or removing components listed. And I’ll save and you now have a new BOM. It’s not a template, because I set it so that the template field doesn't get copied when you duplicate. And now we can use this new BOM for actual production. -(1:18) Another pathway to use BOM templates is a little more direct and on the fly. Now in Version 14, because of how flexible it is, we can just start a new MO, and choose a template. That’s our starting point. But you actually have the flexibility to go in and totally change it per each manufacturing order, so we can add more components as needed order by order. In this case, we can add some activated charcoal to make this a charcoal filter instead. So the template started it off, but then we took it from there on the fly. No elaborate process, just simple easy control over what we needed to build in the moment. And if we go back to the template in our records, the template hasn’t changed, those modifications were just specific to that order. -I wish I had time to show more here, but I want to point out that this same concept can apply to work order operations. So you can have a template that just is a series of work order operations without any components at all. This works great for job shops where it’s not really about the components, it’s about the process and the allocation of work centers.
  8. 17:40 - 19:05 (1:25) -Ok… Shop Travelers! A ton of manufacturers out there still do a lot of work with pen and paper, often sending it through the whole facility from station to station, giving instructions but also allowing easy input of the progress along the way just writing it down. It’s not very modern, obviously but it can be the best way to go depending on what kind of process it is… like if you’re working in an environment where you don’t really want to have computers or tablets or phones. Also, some facilities just like to keep it simple or keep it oldschool. So it’s pretty easy to set up shop travelers to use in Odoo if that’s preferred. (0:38) -[start] Here’s a relatively rough proof of concept… I created a shop traveler info tab here on the BOM, and it has a ton of custom fields I made really fast with Odoo studio. And in this case some fields were brought in from presales, actually coming from the opportunity sort of like we saw earlier, some fields might be on all BOMs. -So that’s the BOM. Let’s go ahead and build it… choose the airplane… and you’ll see I also have a tab that pulls in all the info from the BOM onto the MO. So each producty ou build might have its own special shop traveler fields. Most importantly, you can print it out, in this case I added the info to the production order document we already have in Odoo but you can make your own doc. And as you can see, it has all the fields listed. -Now I didn’t spend any time formatting it to look a particular way but the fact is you can have custom shop travelers for each BOM that you can print out.
  9. 19:05 - 20:50 (1:45) -So this is a massive topic… and every customer manufacturer we’ve ever worked with is unique and needs different things. There’s obviously way too much to cram into a 20-minute talk. -But just know that there’s quite a lot of other useful ways that Odoo can specifically help with these industries. You can incorporate subcontracting for part or all of your process. We support multiple types of subcontracting but one common example is to send out some components to a subcontractor company that does some heat treating on it, or some CNC machine work on it, and then they ship it back to you so you can complete your production. We have very effective routes in place for handling that logistic flow as part of the manufacturing. -Proofing is something that many of our largest clients use a lot… By proofing I mean having a presales stage where your design department is communicating back and forth with the client through a web portal or email submitting design proofs that they create. And then once a design is approved, you might have it flow into manufacturing so that your shop floor workers can reference that design that is tied to the job. Odoo handles that pretty well, usually using our Projects app for the design part. -And Equipment should also be mentioned… especially if it’s a job shop or machine shop, where the whole business model is about offering the services your different fancy machinery can provide. Our equipment maintenance app helps you to keep track of your machinery, associate it with work centers to assign to jobs, and potentially if you develop it, you can have data fed into Odoo from your equipment using our open API if that’s something you can benefit from.
  10. 20:50 - 21:20 (0:30) -So, that’s just a peek at some of the ways you can use Odoo’s tools to work with more complex custom manufacturing companies. -The main takeways I’d like you to leave here with are that the biggest strengths of our platform are the integration of data between apps, the overall user-friendliness, and the flexibility. And those strengths happen to be exactly why Odoo can work so well for these different use cases. I hope this gave you some helpful ideas on what can be accomplished with the platform, and just know that you have a lot of options.
