2. Personal letters
• Personal letters are written to friends, relatives,
colleagues, classmates, and other near and dear ones.
• Structure of a personal letter
• Generally, a personal letter is divided into the following
parts:
• The writer’s address and date
• Salutation
• Body of the letter
• Closing or subscription
• Envelop
3. Structure
• Address
• The address of the sender is written on the top of the right hand
of the page. Further, the last line of the address is punctuated
with a full stop. The preceding lines with commas.
• Date
• The date of the letter is written right below the address of the
sender. Date can be written in the following formats:
• April 10,2021
• The 3rd April,2021
• The 3rd of April, 2021
• 10th April, 2008
• The most common format is MDY (Month, Day, Year).
4. • Salutation
• Salutation means to address the person to whom
the letter is written. It is written on the left side of
the page below the address and date.
• The following formats are commonly used:
• Dear+ name e.g Dear Ali,
• My dear+name e.g My dear Maria
• Dear+ relationship e.g My Uncle
• My dear+ relationship e.g My dear Uncle
5. Body
• Body of the letter contains the main details of the letter.
The body of the letter is paragraphed. The first line of the
paragraph is indented. There must be proper alignment.
• Subscription/complimentary close
• It means the ending or closing of letter. Following are some
common formats:
• Sincerely yours,
• Faithfully yours,
• I remain sincerely yours,
• Your affectionate,
• And then then the name of the sender is written.
• Subscription is written on the right hand side of the page.

Dear students,
we seek the pleasure of your presence at a mega and august ceremony of
degree awarding to the successful candidates of different departments. The
ceremony is scheduled to be held at NCS capital campus Islamabad at 9 AM on

7. Business letter
• Business letters are written from one business firm to another.
• The following topics are focused:
• Parts of the business letter
• Formats of the business letter
• Punctuation style
• 1) Standard parts
• A) Heading/ letter head: it is written on the top of the page. It is
centralized and capitalized. It shows the address of the of the person or
company that writes the letter. It includes the name, address, phone
number, and fax number etc. No punctuation is used here.
• Date ………… at the left side belw the heading
8. Inside address
• Inside address is the address of the person to whom the letter is
written. It is placed at left most margin of the page. It includes name,
address, group, or organization or company’s name. The punctuation is
optional.
Salutation
it is placed below the inside address. E.g Sir: , etc it ends with a colon or
it does not have punctuation.
Body
The body contains details.
Complementary close
It is placed on the right margin below the body. It is followed by comma,
some are without comma.
9. Signature area
• It is placed just below the complimentary close.
• Formats of the business letter
• there are four kinds of business latter regarding the formats:
• Full blocked style
• Semi or modified block style
• Indented style
• AMS(Administrative management society) style
10. Full blocked style
• In full blocked letter, the letter-head is centralized and capitalized. It is
written on the top most margin. The rest of the parts start from the left
most margin. The lines in the paragraph are single space. The
paragraphs are doubled space.
• Half blocked or Modified letter
• In “half blocked or modified” style, the date, the complimentary close
and the signature area begin slightly past the center to the right. The
rest of the parts are like full blocked style.
• Indented style
• In indented style, the date line, complimentary close and signature area
begin slightly past the center. The first line of each paragraph is
indented. It is often typed with closed punctuation.
11. AHS style
• It abbreviates for American Management society .
It is called AHS because it was first used by them.it
does not have salutation and complimentary close.
It has a subject line. The text of the subject is
written in capital. All parts except the letter-head ,
begin from the left most.
