This document discusses implementing a self-managing document retention system to make document retention and disposal more efficient. The system involves breaking retention times into time periods, providing storage homes for each period, and moving documents between the active storage and homes as the retention periods expire, forcing disposal of outdated documents. This allows easy access to needed documents and ensures timely disposal when retention periods end without burdening the organization with excess document storage.

Communication is the heart of an organization. In most organizations, important communication is maintained over distributed and individually controlled email mailboxes. While these mailboxes come as the default storage mechanism with the use of email, they are not ideally suited for the need. It is possible to increase efficiency by 20% and prevent opportunity loss through the use of our powerful yet very easy-to-use and highly flexible tool - Communication Tracker.
This is a presentation I developed in 2007 after attending a workshop discussing the Managing the Digital Desktop project at UNC Chapel Hill. My audience for the presentation was faculty and staff, but since then I have incorporated information from this presentation into presentations given to students and external audiences.

Self-Managing Document Retention
System
Document retenƟon can be an increasing burden as boxes
of files are collected and stored in the recesses of your
factory. This makes finding the documents or disposing
of them in the Ɵmely manner a problem and a management nightmare. By creaƟng a self-managing document
system, it provides easy access to the documents you may
need and force disposal of the files on the retenƟon documents when the retenƟon period is terminated.
How does this work:
1. A the retenƟon Ɵme is broken up in to manageable
segments such as months, quarters , ect.
2. A Home is then provide with enough space to hold the
documents for designated Ɵme frame.
3. The documents are collected in the acƟve cell, when the
Ɵme frame is over it is returned to it’s home and the
next Ɵme period is pulled and disposed of before collecƟng the new periods forms.
