Delivering superior marketing coordination services through action, collaboration, and a committment to quality 1
Coordinator History and
General Overview
A good marketing coordinator keep things on track,
prepares a potentially winning document and delivers
it on time. A great marketing coordinator does all of
those thing and becomes integral to the promotion of
the company’s brand and services by delivering work
that is driven by creativity, a passion and understanding
for the product and services they are showcasing and
a love of marketing. As a marketing professional with
over 7 years’ experience and a strong graphic design
background, I have used my wide array of skills and
qualifications and passion for marketing to become just
that−a great marketing coordinator who is valued for
her hard work and dedication, attention to detail and
creative flair.
RELEVANT EXPERIENCE
My most recent, relevant experience includes 3 years as
a marketing coordinator for the NorCal Water Resources
Group at HDR Engineering Inc., an international, multi-
disciplinary A/E/C firm with 8500 employees. During
my tenure, I participated in development training
courses including: “Successful Pursuit Strategies” “Client
Centered Presentations” and “Proposal Management”.
This training not only familiarized me with HDR’s
strategic processes and procedures but also provided
valuable insight into what it takes to successfully
and efficiently manage pursuits; namely message
development, client analysis, and most importantly
internal team collaboration.
DUTIES AND ASSIGNMENTS
My duties as a marketing coordinator were varied
and often required skillful time management and
organization. They included:
ƒƒ Working with client managers and proposal
champions to develop proposals, SOQs and
interview presentations
ƒƒ Providing support for pre-positioning and
go/no go decision making
ƒƒ Development of specialized graphics
ƒƒ Maintenance of the CRM database, coordination of
client lists and query generation and distribution
ƒƒ Updating marketing information, including project
sheets, resumes and project write ups
ƒƒ Contributing to storyboarding and message
development for strategic pursuits and interviews
ƒƒ Coordination of tradeshow participation
A typical day as an HDR marketing coordinator might
include proposal development, multiple meetings,
specialized graphic creation, and various administrative
tasks. With so many balls to juggle the ability to plan,
prioritize and keep the lines of communication open
was imperative. I often relied on my interpersonal
and organizational skills to keep things on track. I can
confidently say that I always did my best to not only
answer the mail but to ultimately provide the client
with comprehensive, compelling marketing materials.
WORKLOAD
The HDR NorCal Water Resources marketing team
responded to an average of 10 proposals per month.
I would provide lead coordination for 2-3 on average,
per month, depending on fee size and complexity. I
was also the key coordinator for all interview efforts in
the Walnut Creek office and worked closely with the
interview team on story boarding, development of the
presentation and rehearsals, often under tight time
constraints. The RFPs I coordinated resulted in face-to-
face interviews 90% of the time and the win rate was
approximately 50%.
SPECIALIZED SKILLS
I also possess advanced graphic design skills and have
been utilizing them to create visually impactful, well
regarded communication materials for over 15 years. I
am highly proficient in the use of the full Adobe suite
and MS PowerPoint. My interview presentations are
always top notch and my proposal layouts recently
earned the coveted HDR Pathfinder Award of
Excellence for Creativity.
Thank you so much for the tireless
effort, long hours, beautiful
layouts, and attention to detail. You
are truly great at what you do!

Outcome: Contract Awarded
OVERVIEW
The objective of this project was
to provide an improvement to the
tidal exchange between McNabney
Marsh, an environmentally protected
area suffering from poor tidal action,
and the Carquinez straits. The major
challenge was the Union Pacific
Railroad crossing and box culvert that
were hindering normal tidal flow.
To win this contract HDR had to pull
together a multi-discipline team of
hydraulic, environmental, pipeline
and rail experts to provide a cost
effective solution.
OVERCOMING CHALLENGES
This proposal presented a number
of challenges. The lead time was
minimized due to the RFP being
misdirected. I was also challenged
by the fact that the Project Manager
championing the proposal was
leaving for vacation 3 days before
the proposal was due. Finally, I
needed to bring together a team of
individuals who were all very busy,
hadn’t worked together before and
only had minimal time to contribute
to the proposal development.
ENSURING WIN ABILITY
The factors that most contributed
to the success of this proposal
were strict adherence to schedule,
constant communication with the
different team members, and not
letting the process stall when the
PM left for vacation.
Also, during development I kept
in mind the nature of the project
and used an organic, nature-based
design style throughout which the
client really appreciated.

Coordinator Experience | Interview Presentation and Preparation
OVERVIEW
This very important, complex
project involved oversight of major
construction projects for the
Santa Clara Water District’s water
treatement plant facility. The project
will span 5 years and involve multiple
on-site facilities.
OVERCOMING CHALLENGES
One of the biggest challenges was
working with a large presentation
team that consisted of a very
busy project manager who was
tied up daily with other project
committments and cm field staff
unfamiliar with the interview
process and public speaking. On
top of that it was very difficult for
them to attend numerous coaching
and storyboarding sessions so we
never had the whole team in one
room until a few days before the
presentation.
ENSURING WIN ABILITY
The factors that led to a successful
interview presentation included
daily updates with the entire team
to keep everyone on the same
page, plenty of initiative to create
slides with little to no direction and
excellent time management.
Since this was a must win, key
project I made sure that it was
visually dynamic and engaging. I
worked with an animator to create
a staggered sequence of fly ins
and added animated call outs and
labeling.
I also created several 24”x36”
boards with full color graphics as
presentation aids and a 6-page, full
color leave behind that explained
HDR’s approach at a high level.

Team Description from a Proposal:
Although HDR’s overall credentials and commitment are important the key to a successful project are the
individuals who will actually perform the work. HDR has assembled a team of outstanding personnel to
support Goleta Water District’s Bypass Valve Design project.
The HDR team shown in the organizational chart below has the right combination of water treatment plant
experience, local knowledge, and an extensive history of success designing, constructing, and rehabilitating
water treatment facilities and infrastructure using alternative delivery methods.
Larry Johnson and Greg Denlinger were key team members on the plant upgrade projects in 2001 and 2005.
As a result they are intimately familiar with plant operations and have a proven track record of successful
collaboration and team work with plant staff.
This team of professionals will work together under the management of Dan Ellison, PE, one of HDR’s top
project managers. Mr. Ellison is also familiar with Goleta Water and the Corona del Mar WTP having assisted
with the emergency response plan project that is currently underway.
Call Out:
The Right Mix of Talent and Experience for this Project:
• A locally-managed project team that is readily accessible and responsive
• Continuous communication to gauge the progress of your project
• Project management and quality control programs to make sure appropriate resources are allocated,
project costs are contained and schedules are met
• Team member who have first-hand experience with Corona del Mar WTP
Staff Bio:
Ron Perkins - Constructability
Mr. Perkins has more than 27 years of experience in construction management and civil engineering, serving as
a construction manager, resident engineer, design engineer, constructability reviewer, and project coordinator.
He has overseen construction management staff from both the owner’s side and as a consultant, and has
led the successful design and construction of projects ranging from several thousand dollars to $250 million.
His wide range of project experience includes master planning, design, bidding, and construction of bridges,
rail and roadways, storm drainage and sewer pipelines, water and wastewater treatment plants, and water
transmission mains. He was project director during construction management and inspection of Incline Village
General Improvement District’s Export Pipeline, Segment 1, and Mill Creek Diversion project.
WORK SAMPLE PACKAGE

Introduction from an SOQ:
As industry leaders, HDR is at the forefront of treatment technology, including high-rate filtration, conventional
and enhanced conventional treatment, softening, advanced membrane filtration, and ozone and ultraviolet
(UV) disinfection systems.
Our proven approach starts with forming a partnership with the owner/operator – understanding current
operations, compliance issues, and future supply needs before any facility planning decisions are made.
Integrating new technology is driven by a system’s unique water quality characteristics first, and second by
what offers the most operational efficiency and long-term system value. In today’s era of shrinking budgets
and aging infrastructure, our team’s ability to assist clients in fully optimizing and leveraging existing assets and
treatment processes is vital.
Finally, our plant operations experts will also assist your staff with facility startup, providing a seamless
transition and making sure the performance meets your expectations.
Cover Letter
Dear Mr. Evans:
Thank you for this opportunity to present you with a responsive proposal for the development of the Corona
del Mar Water Treatment Plant Bypass Valve Design Project (Project). You will find that our firm, our proposed
personnel qualifications and experience and technical approach match perfectly align with the District’s needs
for this Project.
Goleta Water District will benefit from our:
• Team of qualified and experienced professionals with specific design experience pertaining to valve and
flow meter vault and water treatment plant improvements.
• Technical approach that values a high level of collaboration and coordination between plant operations

approach (used for the Corona del Mar WTP Phase 2 Upgrades Project in 2005).
The enclosed proposal demonstrates our scope, methodology, personnel, experience and approach to deliver
a successful project for Goleta Water District. The full legal name and address of our firm is indicated below.
Please note that Dave Ludwin is an officer of the firm and is authorized to legally bind HDR in a legal contract.
