HeirList – Understanding Managing Other Users & Invitations

SCENARIOS
Below is a list of some of the scenarios related to invitations to other Users to collaborate on a Deceased
account. Given the complexity of the workflow, and the database complexities, we felt that describing
what needs to be done and what will happen was justified to reduce confusion. Also, to avoid confusion
we will only detail out what happens when an existing User is currently logged into the application in
accepting the link in an invitation email, so as to help facilitate the ease of these processes. Also ensure
that any users that are being invited know to become Premium subscription users as they will not be
connected if they do not choose this or run the risk of the application severing their connection.
Below are some terms we will use and explanations of what they are.
Deceased account – this is a Deceased person whose affairs are being resolved.
Master User – this is the owner of a Deceased account, and also the only person who can invite others to
collaborate as a team. All Deceased accounts must have a Master, and if you are the sole User, even if
you are a Basic (non-Premium User) you will be the Master for that Deceased.
Non-Master User – these are the other Users on a Deceased account.
Non-User or New User – someone who does not already have an account of the HeirList application
Inviter – Master User of a Deceased account
Invitee – the User (new or existing) being invited by the Master to collaborate on a Deceased account
Users – Austin, Boston, Chicago, Dallas
Deceased – London, Paris
SCENARIOS
Scenario A
A Master User invites a new HeirList User to be a Non-Master on their Deceased account.
A Master, Austin invites Dallas, who is not an existing User, to work on the account of London.
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘Permission’, then clicks on ‘Invite User’ button.
3. Dallas receives a ‘You Are Invited’ email to her email inbox, and clicks on the link for the
invitation.
4. The HeirList mobile application is loaded from her mobile store (if she does this from her phone.)
5. Dallas is taken to the Store to select a service option. Dallas selects one of the Premium Options.
6. Dallas arrives as the ‘Registration’ page, and provides her email, name and a password (twice).
7. Dallas reviews ‘Terms & Conditions’, checks radio button then clicks the ‘Sign Up’ button.
8. A message on the app confirms that it was a success, directs Dallas to her email again.
2. HeirList Mobile Application
(Available in Apple & Google Play Stores)
9. An email titled ‘Registration was a success. Please Verify Your Email’ arrives in her inbox.
10. Dallas clicks on the button ‘Verify Account’ and is taken to a webpage to confirm this, with a button
‘Get Started’ which takes Dallas back to the application
11. Dallas arrives at the Welcome screen to now login. Enters her email and password.
12. Dallas is then taken the Deceased screen and asked to confirm the Deceased she was invited to.
13. Dallas clicks on the ‘Enter’ button and is then taken to the Home Screen for that Deceased.
14. Dallas is now an active Non-Master for the Deceased account of London with either Write or Read
Only permission and Austin as its Master User.
15. Dallas also receives a ‘Thank You For Joining HeirList’
Scenario B
A Master User invites an existing HeirList User to be a Non-Master on their Deceased account.
The existing User is already a Non-Master User on another Deceased account.
B1) A Master, Austin invites Dallas, who is an existing Non-Master User on Paris’s Deceased account,
to work on the account of London.
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘Permission’, then clicks on ‘Invite User’ button.
3. Dallas receives a ‘You Are Invited’ email to her email inbox, and clicks on the link for the
invitation.
4. The HeirList mobile application is on her mobile store and she is currently already logged in.
5. Dallas (logged into the app already) receives a message if she accepts current Deceased is deleted
and she will be logged into the new one OR (not logged in) they log into the application, they are
taken to their current Deceased, hit ‘Enter’ and then are taken to the Home of the current Deceased.
A message appears warning about ‘detaching’ and losing the connection.
6. Dallas presses Yes.
7. Dallas is now an active Non-Master for the Deceased account of London with either Write or Read
Only permission and Austin as its Master User.
8. Dallas also receives a ‘Thank You For Joining HeirList’
Scenario C
A Master User invites an existing User to be a Non-Master on their Deceased account. The
existing User has already selected ‘Clear Data’ on their other Deceased account to exit from it.
A Master, Austin invites Dallas, who was a Non-Master User on Paris’s Deceased account, to work on
the account of London. Dallas has already exited Paris’s account by selecting ‘Clear Data’ from the
Menu.
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘Permission’, then clicks on ‘Invite User’ button.
3. Dallas receives a ‘You Are Invited’ email to her email inbox.
3. HeirList Mobile Application

4. Dallas has already selected ‘Clear Data’ while working on Paris’s account, or now chooses to log
into the application, and select ‘Clear Data’ from the Menu. This severs her connection to Paris.

11. An email titled ‘Registration was a success. Please Verify Your Email’ arrives in her inbox.
12. Dallas clicks on the button ‘Verify Account’ and is taken to a webpage to confirm this, with a button
‘Get Started’ which takes Dallas back to the application
13. Dallas arrives at the Welcome screen to now login. Enters her email and password.
14. Dallas is then taken the Deceased screen and asked to confirm the Deceased she was invited to.
15. Dallas clicks on the Enter and is then taken to the Home Screen for that Deceased.
16. Message appears on accepting the new Deceased.
17. Dallas is now an active Non-Master for the Deceased account of London with either Write or Read
Only permission and Austin as its Master User.
18. Dallas also receives a ‘Thank You For Joining HeirList’
Scenario D
A Master User invites a new HeirList User to be the new Master on their Deceased account.
A Master, Austin, invites Dallas, who is not an HeirList, to become the Master for the Deceased account
of London. Austin is the current Master User for London.
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘Master’, then clicks on ‘Invite User’ button.
3. Dallas receives a ‘You Are Invited’ email to her email inbox, and clicks on the link for the
invitation.
4. Dallas is already logged into the HeirList application.
5. Dallas is taken to the Store to select a service option. Selects Premium Options. (start of app)

Scenario E
A Master User invites an existing HeirList User, who is already a Master on another Deceased
account, to be the new Master on their Deceased account. The other Deceased account does not
have any additional Users (i.e. Non-Masters).
A Master, Austin invites Dallas, who is not an existing User, to work on the account of London.
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘New Master’, then clicks on ‘Invite User’ button.
3. Dallas receives a ‘You Are Invited’ email to her email inbox.
4. Dallas logs into the HeirList application (or was already logged in)
5. Dallas clicks on the link for the invitation.
6. A message appears that warns Dallas that by accepting the invitation she will exit the other Deceased
account and the data may be lost. Dallas selects Yes to proceed.
7. Dallas is now the new Master for the Deceased account of London. Austin is a Non-Master User
with Write permission.
Scenario F
A Master User invites an existing HeirList User, who is already a Master on another Deceased
account, to be the new Master on their Deceased account. The other Deceased account also has
additional Users (i.e. Non-Masters).
A Master, Austin invites Dallas, who is the Master already for Paris, to work on the account of London.
Chicago is also a Non-Master for Paris (this is complicated, has multiple parts)
1. Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
2. Austin fills in Dallas’s email and name, selects a ‘New Master’, then clicks on ‘Invite User’ button.
3. Dallas is already logged in to the HeirList application as the Master for Paris.
4. Dallas receives a ‘You Are Invited’ email to her email inbox, and clicks on the link for the
invitation.
5. A message suggests that Dallas invite another User to be Master of their existing account (e.g.
Boston to become the new Master so the account isn’t deleted).
6. Dallas clicks on the ‘Yes’ and is then taken to the Home Screen for Paris.
7. Dallas goes to Manager Other Users from the Menu. Selects Chicago, and then New Master and
selects Update button at the bottom.
8. Dallas is logged out of the application, and returned to the Welcome (Login screen).
9. Logs back into the application. Is taken to the Paris Deceased screen. Accepts.
10. Dallas needs to return to the same invitation email and click on it again.
11. Presented with a message about losing the data. Clicks on Yes to confirm.
12. Dallas is now an active Master for the Deceased account of London with Austin with Write
permission. Chicago is now the Master for Paris.
13. Dallas also receives a ‘Thank You For Joining HeirList’

Scenario G
A Master User has Non-Master Users on their Deceased account, and selects ‘Delete Deceased’.
A Master, Austin invites Dallas, who is not an existing User, to work on the account of London.
Austin navigates to the ‘Manage Other Users’ screen from the Menu, then selects the circle in the
bottom right with the person and plus sign. This takes Austin to a ‘Invite Other Users’ screen
1. Austin does to Edit Deceased and selects ‘Delete Deceased’
2. Austin is taken back to Sign in page. His account is deleted.
3. Dallas receives an email telling her that Austin has deleted the Deceased she was a part of.
4. Dallas can login, and is taken to the Deceased screen to create a new Deceased.
5. Austin’s account is deleted.
