Introduction:
Communication, by which one can exchange facts, ideas, opinions or emotions with others.
‘Communication’, a Latin word, in English it means ‘To Share’. Human communication was
revolutionized with the origin of speech approximately 500,000 years ago. And now, in 2000’s
there is a huge change in this term. It is not only a word now, rather it becomes a matter of
necessity of living.
It will be noted as a communication only when an information transfer from one to another.
Moreover, the sent message must have to understand by the receiver. Otherwise, it will not be

communication is to inform or bring round to a certain point of view or to elicit action.
Over time, the strategy of business has changed. Now business has become more informative.
To exchange information, Business Communication become a vital part which effect the success
or failure of an organization. Some research indicates a failure rate of one third to two-thirds of
major change initiatives, more pessimistic results suggest a higher rate of failure that may reach
up to 80 to 90 percent. Poorly managed change communication results in rumors and resistance
to change and enlarging the negative aspects of the change. Communication is considered to a
vital for the effective implementation of organizational change.
Recent studies about communication show that communication has positive correlation with
many organizational outputs like organizational commitment, performance, organizational
citizenship behaviors, and job satisfaction. In contrast communication failure may cause

which helps the managers to perform the basic functions of management- Planning, Organizing,
Motivating and Controlling. Communication skills whether written or oral form the basis of any
business activity.
Communication serves as the foundation of every facet of a business. Thus, it can be said that

communication skills are:
➢ Communication keeps the foundation of motivation. It helps the employer to know how
a job is being performed and to improve performance if it is not up to the mark.
➢ Communication acts as a source of information and helps in the decision-making process
and helps in identifying the alternative course of action
➢ Communication also helps in building people’s attitude. A well-informed person will
always have better attitude than a less informed person. Different forms of
communication like magazines, journals and meetings will help the employees to form
different attitudes.
➢ In the current business scenario, no business can survive in isolation. Socializing is very
important, and communication is the tool that helps in socializing. Functions of
management, it also helps in the controlling process of management. It allows the
managers to know about the grievances of the subordinates and helps the subordinates
to know about the policies of the organization.
Communication is one of the basic features of management. It is instrumental in raising the
morale of the employees. It is through communication, verbal or non-verbal, that people submit
different feedback and requirements to the management
The importance of effective communication in business :
Communication is the life blood of business. No business can develop in the absence of effective
internal and external communication. Besides communication skills of the employees are given
high weightage at the time of their appointment as well as promotion.
Internal communication:
Effective Internal communication is considered important for the following reasons.
1. Business has grown in size : Large business house have a number of branches within the
country and even abroad. Some of the multinational corporations are no smaller than huge
empires. The central organization of a large business house is Its nerve center. For its healthy and
even growth, it is extremely important that the central organization maintains a through and up
to date knowledge of the various activities at the branch office. Keeps the branch offices well
acquainted with the activities at the center and some kind of link is maintained among the
various branches. This calls for an effective and efficient network of communication.
2. Business activity has become extremely complex: This being an age of specialization,
planning, production, sales, stores, advertising, financing, accounts, welfare, etc. are handled by
different departments. If this departments do not communicate with one another as well as with
the management, there will be no coordination among them. This may give rise to some awkward
and embarrassing situation for the management. When production is fully geared up, the stores
department main report shortage or non- availability of raw materials. The planners, having
spent one full month to work out the details of a new project, may suddenly discover that there
are no finances available to execute the project.
3. Effective communication promotes a spirit of understanding and cooperation: If there exist
effective communication between the management and the employees, it helps to bring about
an atmosphere of mutual trust and confidence. The employees know exactly what is expected of
them the management is award of the potentialities and limitation of the employees and knows
how to exploit the first and make up for the letter. This mutual understanding is extremely
beneficial to both the parties. The management gets better returns the employees get jobs
satisfaction. They also develop a sense of belonging and loyalty to the Enterprise.
External communication:
External communication includes communication with the government Agencies and
developments on the one hand and distributor, retailers, individual customers and general public
on the others.
1. Government Agencies and departments: Business organization are required to deal with the
licensing authorities, foreign trade officers, customers authority, banks and other financial
institution, income tax and sales tax services, post offices, Transporters etc. Quite frequently they
find themselves in formidable and tricky situation that can be handled only through text full
negotiation and negotiation is nothing but communication.
2. Distributor retailer individual customers etc. : Modern business is a highly competitive
phenomenon. Each product of common consumption is available in myriads of brands, not all of
which sell equally well. Marketing research has revealed that the organizations that can
communicate better can also sell better. Sales are promoted so persuasion and Persuasion is
another aspect of communication.
Briefly describe the 7 C's of Effective Business Communication:
Effective communication is an important part of business success. To establish good business
communication, it helps to have a blueprint of the 7 C's of effective communication. There is a
list of communication "C" words to create efficient communication at all levels of your company,
and help to make interactions with customers more effective as well:
1. Concise: In business it pays to get to the point quickly. Effective business communication uses
concise and straightforward language that gets the point across completely and in a manner that
encourages efficient action.
2. Complete: Plan your business communication carefully so you get all of the information to
your recipient the first time .If you leave out important information in your initial correspondence
that will cause a series of problems that will take time to repair.
3. Conversational: According to communication coach Ric Phillips, writing on the Evan
Carmichael website, it is important to present your information in a conversational tone that
invites interaction, rather than a confrontational tone that can cause an argument. Effective
communication presents the information in a manner that is not emotional but instead
professional
4. Clear: With a business communication, you sometimes get only one chance to make your
point. If your information is misunderstood, you may not have the opportunity to correct it
before it escalates into a problem. When you present your information, be sure to do so in a clear
voice that allows every word to be understood.
5. Considerate: When speaking to business associates or customers, always open the
conversation to questions and clarifications. When you finish a statement ,allow a moment for
the other person to ask a question before you go on to your next part. When you answer a
question, be sure the answer is understood before moving on in the conversation.
6. Confidence: An air of confidence in your conversation helps add credibility to your information.
Present your data with a clear and commanding tone that indicates that you Know the subject
you are speaking about and that the information being presented is valuable.
7. Check: Always check your data and facts before giving a business presentation of any kind. You
may have useful ideas, but if they are accompanied by incorrect information, the power of your
ideas is lost.
Effective communication in organizational change:
Communication is a key component of such processes because organizational change relies on changing
employee’s behavior, organization development focuses on planned change and the systematic
application of behavior science to increase organizational effectiveness.
1.Resistance: Employees meet any change with some level of resistance; therefore, plan for resistance.
Several ways to counteract and reduce employee resistance include education, communication,
participation, support and negotiation.
2.Attitudes and Behavior: To obtain the fullest potential benefits from change, employees, attitude and
behaviors are a consideration. Design a communications process that allows employees to participate in
making decisions and solving potential problems. Identify and address employee stress related to the
change process.
3. Change Agents and Communication: To ensure minimal resistance and acceptance of change, identify
one or more people within the organization who fully support and are committed to the change. The
committed employees should become Change agents and act to introduce the new system or operating
methods. Identify change agents with enough power to effectively deal with resistance.
5 Tips for Effective Communication in the Workplace:
1. Develop a Communication Strategy: The first steps is to get a group of employee in a room and develop
a strategy for how the organization will communicate with employees. This team should think through
and define a process and purpose for better business communication management. This will require
considering who needs to know what information, when they need to know it, and how it will be delivered
to them. This strategy will help to create a standard for organizational communication. For example,
should new company endeavors be communicated when the idea is in the planning phase, when it is
funded or when it is ready to launch? Any of the three stages can be appropriate, there just needs to be
consistency so employees know when to expect different levels of information.
2. Create a Communication Process: “Only 9 percent of employees surveyed said they know what is going
on most of the time and the majority, 55% of the 289 respondents, said employees feel informed some
of the time.” As with most things in business having a defined process – that is owned by someone – is
the best way to ensure consistent communication. This can be as simple as the secretary who takes
meeting notes, sending a copy of the notes to a central communication person and that person is
responsible for sharing it with all employees. I know that is overly simplified, but it can be an effective and
practical step in the process.
3. Multiply the Message: Over-communicate the message and use every available forum – email,
newsletter, bulletin boards, business website, intranet, social media, staff meetings, town hall meetings,
text messaging, or video delivery. The more often the message is communicated the better chance that
employees will absorb it and remember it.
4. Explain the Why: Often leaders come up with a great idea, plan it, implement it, and may even
communicate it, but they may not think to explain why a particular initiative makes sense for any given
time. This requires communicating from the 50,000-foot level and making sure employees understand
why something is done and how it supports business goals and organizational strategy.
5. Create Feedback Process: One-way communication rarely works well, so it’s important that employees
have a forum to offer feedback and ask questions. This helps to ensure that the message was received as
it was intended. These feedback sessions can be done in staff meetings or an online employee forum.
Regardless of the structure or process, employees need to feel like their thoughts and opinions are heard.
This process also helps the organization identify areas that can be improved upon. Employees spend a
great deal of their lives on the job and helping them stay connected to the mission and vision of the
organization is one of the ways to foster employee engagement. The more we can do to keep employees
in the loop, the better we can manage the rumor mill and the hurt feelings that come when employees
feel like they’re not in the loop.
The Obstacles In effective communication:
The normal speed of communication is called the interference of the obstacles in the how of
communication use of complex structures, ambiguous works, direct perceptions of communicating
practice, vary degrees of status etc. as a barrier to communication. Communication barriers can be divided
into 4 categories, monthly for discussion purpose. It is given below:
➢ Organizational barriers
➢ Individual barriers
➢ Language barriers
The main obstacles shown above are discussed d below:
1.Organizational barriers: All obstacles that arise from the organization and organizational structure in
examination are called organizational barrier you do not observe the consensus of the organizational
ideology or if a worker there is more than one workers commander. Than due to problems in
communication.
2. Individual barriers: The interactions arising from the sender and the recipient for commun8ication are
called individual barriers. The persons personality difference in the person often interrupts the follow of
fluent news flow. One can take the other person forward and talk it but it can be seen that a dispute
cannot be accepted others and communication will be hampered.
3.Language barriers: The difference in language is a normal feature of human society. The barriers that
communicates with the difference of language is called language barriers. International unwanted
linguistic distortion in effective communication serves as barriers obstacles when people of different
culture are generally involved in communication than linguistic obstruction have become manifest.
4.Other barriers: The information burden also affects the communication barrier. Due to dignity and
power of different terms. There is a difference in person to person.
Conclusion :
Effective communication is the important for the development of an organization. Communication is one
of the basic features of management. The important of effective communication during intended change
has been empirically demonstrated and commonly agreed among practitioners. Communication is
considered as a vital for the effective implementation of organization change. The literature has identified
that the role played by communication during change in the Business organization is essential for
successful change management. The employees are the key sources to bring about change in organization.
Job insecurity should be decreased, and a sense of community should be created so that employees may
feel their responsibilities. The need for change and its advantages will motivate that staff to participate in
change plan and execute it.

Concise: In business it pays to get to the point quickly. Effective business communication uses concise and straightforward language that gets the point across completely and in a manner that encourages efficient action. 2. Complete: Plan your business communication carefully so you get all of the information to your recipient the first time .If you leave out important information in your initial correspondence that will cause a series of problems that will take time to repair. 3. Conversational: According to communication coach Ric Phillips, writing on the Evan Carmichael website, it is important to present your information in a conversational tone that invites interaction, rather than a confrontational tone that can cause an argument. Effective communication presents the information in a manner that is not emotional but instead professional 4. Clear: With a business communication, you sometimes get only one chance to make your point. If your information is misunderstood, you may not have the opportunity to correct it before it escalates into a problem. When you present your information, be sure to do so in a clear voice that allows every word to be understood. 5. Considerate: When speaking to business associates or customers, always open the conversation to questions and clarifications. When you finish a statement ,allow a moment for the other person to ask a question before you go on to your next part. When you answer a question, be sure the answer is understood before moving on in the conversation.
  • 15. 6. Confidence: An air of confidence in your conversation helps add credibility to your information. Present your data with a clear and commanding tone that indicates that you Know the subject you are speaking about and that the information being presented is valuable. 7. Check: Always check your data and facts before giving a business presentation of any kind. You may have useful ideas, but if they are accompanied by incorrect information, the power of your ideas is lost. Effective communication in organizational change: Communication is a key component of such processes because organizational change relies on changing employee’s behavior, organization development focuses on planned change and the systematic application of behavior science to increase organizational effectiveness. 1.Resistance: Employees meet any change with some level of resistance; therefore, plan for resistance. Several ways to counteract and reduce employee resistance include education, communication, participation, support and negotiation. 2.Attitudes and Behavior: To obtain the fullest potential benefits from change, employees, attitude and behaviors are a consideration. Design a communications process that allows employees to participate in making decisions and solving potential problems. Identify and address employee stress related to the change process. 3. The committed employees should become Change agents and act to introduce the new system or operating methods. Identify change agents with enough power to effectively deal with resistance.
  • 16. 5 Tips for Effective Communication in the Workplace: 1. Develop a Communication Strategy: The first steps is to get a group of employee in a room and develop a strategy for how the organization will communicate with employees. This team should think through and define a process and purpose for better business communication management. This will require considering who needs to know what information, when they need to know it, and how it will be delivered to them. This strategy will help to create a standard for organizational communication. For example, should new company endeavors be communicated when the idea is in the planning phase, when it is funded or when it is ready to launch? Any of the three stages can be appropriate, there just needs to be consistency so employees know when to expect different levels of information. 2. Create a Communication Process: “Only 9 percent of employees surveyed said they know what is going on most of the time and the majority, 55% of the 289 respondents, said employees feel informed some of the time.” As with most things in business having a defined process – that is owned by someone – is the best way to ensure consistent communication. This can be as simple as the secretary who takes meeting notes, sending a copy of the notes to a central communication person and that person is responsible for sharing it with all employees. I know that is overly simplified, but it can be an effective and practical step in the process. 3. Multiply the Message: Over-communicate the message and use every available forum – email, newsletter, bulletin boards, business website, intranet, social media, staff meetings, town hall meetings, text messaging, or video delivery. The more often the message is communicated the better chance that employees will absorb it and remember it. 4. Explain the Why: Often leaders come up with a great idea, plan it, implement it, and may even communicate it, but they may not think to explain why a particular initiative makes sense for any given time. This requires communicating from the 50,000-foot level and making sure employees understand why something is done and how it supports business goals and organizational strategy.
  • 17. 5. Create Feedback Process: One-way communication rarely works well, so it’s important that employees have a forum to offer feedback and ask questions. This helps to ensure that the message was received as it was intended. These feedback sessions can be done in staff meetings or an online employee forum. Regardless of the structure or process, employees need to feel like their thoughts and opinions are heard. This process also helps the organization identify areas that can be improved upon. Employees spend a great deal of their lives on the job and helping them stay connected to the mission and vision of the organization is one of the ways to foster employee engagement. The more we can do to keep employees in the loop, the better we can manage the rumor mill and the hurt feelings that come when employees feel like they’re not in the loop. The Obstacles In effective communication: The normal speed of communication is called the interference of the obstacles in the how of communication use of complex structures, ambiguous works, direct perceptions of communicating practice, vary degrees of status etc. as a barrier to communication. Communication barriers can be divided into 4 categories, monthly for discussion purpose. It is given below: ➢ Organizational barriers ➢ Individual barriers ➢ Language barriers The main obstacles shown above are discussed d below: 1.Organizational barriers: All obstacles that arise from the organization and organizational structure in examination are called organizational barrier you do not observe the consensus of the organizational ideology or if a worker there is more than one workers commander. Than due to problems in communication. 2. Individual barriers: The interactions arising from the sender and the recipient for commun8ication are called individual barriers. The persons personality difference in the person often interrupts the follow of fluent news flow. One can take the other person forward and talk it but it can be seen that a dispute cannot be accepted others and communication will be hampered.
  • 18. 3.Language barriers: The difference in language is a normal feature of human society. The barriers that communicates with the difference of language is called language barriers. International unwanted linguistic distortion in effective communication serves as barriers obstacles when people of different culture are generally involved in communication than linguistic obstruction have become manifest. 4.Other barriers: The information burden also affects the communication barrier. Due to dignity and power of different terms. There is a difference in person to person. Conclusion : Effective communication is the important for the development of an organization. Communication is one of the basic features of management. The important of effective communication during intended change has been empirically demonstrated and commonly agreed among practitioners. Communication is considered as a vital for the effective implementation of organization change. The literature has identified that the role played by communication during change in the Business organization is essential for successful change management. The employees are the key sources to bring about change in organization. Job insecurity should be decreased, and a sense of community should be created so that employees may feel their responsibilities. The need for change and its advantages will motivate that staff to participate in change plan and execute it. Reference: Essential of Business Communications by Rajendra Pal.
