Best Practices for Participating in
Video Conference Meetings
Be Prepared:
Check that your web camera is turned on, your background is clean, and
the lighting is not intrusive
For better audio connections use a headset, and test clarity before joining
meetings
Have all items needed for the meeting on hand (i.e. coffee, glasses,
materials, etc.)
Write a list of questions and concerns; send items to the host prior to the
meeting if possible
Joining a Meeting:
Begin the process of joining the meeting at least 5 minutes before the
meeting time (for first time meetings, join 15 minutes ahead of time and
download the app if required)
Be ready with good news to share!
Be Present:
Remember–if this is worth your time, it’s worth your focus!
When you’re on your computer, it is tempting to do other work. Please
don’t!
Mute your audio when not speaking, but remember to turn off mute when
you want to be heard!
Be sure to speak up, ask questions, and give feedback during the call to
make sure you’re getting what you need from the experience
Document action items from the meeting and confirm with meeting host
before ending the call
Experiencing a Delay or Trouble Hearing?
Try turning off your video and just use audio–it will free up bandwidth
If the problem persists, hang-up and rejoin via phone only
