each module with a 1 hour wrap-up

Course Description
Aspen school districts continue to invest human, financial and infrastructure resources in their SIS/IMS. System
administrators are busy working within their school districts to try and roll-out each of the modules available in
the SIS/IMS. There is little structured time available for system admins to explore the out of the box
functionality of the system as well as the vast customization options available in the system. This series of
Webex modules will provide system administrators the opportunity to explore the out of the box functionality,
and gain a sophisticated understanding of the database. Participants will apply their knowledge to create
customizations in their database to meet specific needs of the district. This series of Webex meetings will
provide system administrators the opportunity to work with their peers to review many of the components
associated with Aspen SIS/IMS.
Learning Outcomes
Participants will:
● Use their own production database to build and/or expand useful solutions in their database.
● Gain a deep understanding of the data dictionary and the underlying tables in the database.
● Gain a deep understanding of the global tables and how to use them to query data.
● Review the various field types, and create User Defined Fields (UDFs) to meet their district’s needs.
● Build & edit reference tables connected to the appropriate UDFs or database fields.
● Review state export data, and the export formats associated in state reporting.
● Review each of the views in Aspen - How can you maximize the out of the box functionality?
● Review each of the views in Aspen - What can you customize to meet your district’s individual needs?
● Understand the basic overview of the templates in their instance.
● Customize the templates creating a district defined look and field for various end-user pages in the
database.
● Understand how to edit the XML in a template, and customize to meet the specific needs of the district.
● Understand how to create Generic Form Data extended dictionaries and design a form.
● Learn how to edit the XML in a form.
● Review the basic construction of a workflow (details, design, phases, compliance rules and instances)
● Review best practices concerning existing workflows - What can I touch, and what do I need to stay
away from?
● Create a district needed workflow using generic form data, and posting to fields in the database or
UDFs.
● Review the basic structure of a report and use XML to edit and refine existing reports.
● Review iReport functionality, and generate simple reports based on district created forms.
● Deconstruct existing import/exports in the database, and create simple imports/exports based on
individual district needs.
