Scrubbing Bad Debt
When picking a 3rd party collection agency it is important to create a checklist for managing the relationship.
Below are some important points to consider:
♦♦ Request a Master Service Agreement from your agency outlining scope, commission schedules, terms/
conditions and indemnification & liability clauses.
♦♦ Review your collection agency website. Verify they have UP TO DATE license and bonding information
clearly posted. If policies have lapsed or have been omitted that is a major red flag.
♦♦ Inquire about the agency’s file share software. The data being transferred and housed by your third party
potentially holds financial data you need to keep in a secure environment. Encryption in the software is key
and should be required.
♦♦ Evaluate the collection software the collection agency is using. How do they back up their data? Is it
housed in a secure cloud based software? Can it marry to other software packages?
♦♦ Is your agency compliant with a state regulated commission? In Massachusetts third parties can voluntarily
apply for a Banking Commission license that monitors client trust funds thru non-scheduled audits.
It is important you put all vendors thru a vetting process to eliminate any risk with your current arrangements.
These agencies are representing your company’s best interests and need to be held to the same business
practices.

Below are some important points to consider: ♦♦ Request a Master Service Agreement from your agency outlining scope, commission schedules, terms/ conditions and indemnification & liability clauses. ♦♦ Review your collection agency website. Verify they have UP TO DATE license and bonding information clearly posted. If policies have lapsed or have been omitted that is a major red flag. ♦♦ Inquire about the agency’s file share software. The data being transferred and housed by your third party potentially holds financial data you need to keep in a secure environment. Encryption in the software is key and should be required. ♦♦ Evaluate the collection software the collection agency is using. How do they back up their data? Is it housed in a secure cloud based software? Can it marry to other software packages? ♦♦ Is your agency compliant with a state regulated commission? In Massachusetts third parties can voluntarily apply for a Banking Commission license that monitors client trust funds thru non-scheduled audits. It is important you put all vendors thru a vetting process to eliminate any risk with your current arrangements.
