project plan is developed in line with the project parameters and the organization goals and

1. Project Scope Document
Project Planning starts with defining the scope of the project, which is one of the most
important steps in managing the project. It talks clearly about the final delivery to clients and its
limitations, so that project can become a success. This document is an agreement between the
project manager (me) and the project sponsor for meeting the requirements of the project. The
scope of this project is very clearly defined in order to control the project.
a. Project Purpose Statement
One of the important reasons for starting this project, “World’s greatest shave” of
Leukemia Foundation is to collect the money for patients suffering from blood cancer. Some of
them are relocating themselves so that they can get effective treatment for saving their lives.
At least thirty Australians are suffering from lymphoma, myeloma, or other kinds of
blood disorders. Since this foundation is receiving no funds from the government, it is organizing
one of the biggest fundraisers during 12th-15th March 2015, to sponsor almost 150,000 people to
color or shave their hair for the people, suffering from blood cancer. This project is even good
for the business as the main idea as it motivates all the employees to work so that bosses can
double the salary and they can donate to the shave purpose. The corporate credit cards are also
used by the company to donate for the same.
b. Background
Leukemia Foundation, the non-profit making organization was born on 9th October 1975,
mainly for four distinct purposes like providing medical care, supporting the patients, research of
funds and educating the families, staff and the patients. This foundation has been providing
some personalized and practical support for the people, who are suffering from Myeloma,
Myelproliferative Disorders, Aplastic anemia, and amyloidosis. The World’s greatest shave is

the novel fundraiser for this foundation. Each year, people are sponsored to wax, shave, or wax
the hair to raise the funds to help those people, arising from blood cancer.
After this fundraiser is organized, people in large numbers are coming up to donate
towards this noble cause and even school children are getting themselves registered for it. Their
separate team is being formed and they would love to have funky hair in school. Moreover, the
circumstances, which are driving this change is that people also realize the fact that their
donations would help to improve the quality of life for all the people, who are suffering from
blood cancers.
c. Objectives
The main objective of this project is to enable all the blood cancer patients, to lead a
quality life like any other individual. The mission is to care and the vision is to cure the blood
cancer patients. Online donations are also available for the people. Some big corporate hunks
even donate through credit card.
d. Key Stakeholders
The main stakeholders of this project would be the event coordinators, social workers,
nurses, administrators, marketers, people actually making donations and the business relationship
managers.
e. Organizational Requirements
One of the most important requirements of this project is to attract a large number of
people, who are ready to help in this noble cause. They can shave, wax, or color their hair. The
next step is to get their sponsorship done. The users or the customers can participate in this event
during the weekends or any date, which is convenient to them.

f. Timeframe and milestones
The timeframe and milestone of this project would not be fixed since there are large
numbers of blood disorder patients. This event ought to be organized each year since the
numbers of patients are too large.
g. Inclusions and deliverables
Every year, the event receives considerable support from several outlets of media and
provides ample scope for all the positive stories, which would demonstrate the involvement and
the commitment. Overall support of people would make the world of difference.
h. Exclusions and constraints
As such, there are no restrictions or constraints to organize this event and anybody can be
a donor, not only from Australia, but also from overseas. But in case the kids under eighteen
years want to participate in this event, they need to seek permission from their parents or
guardians or even from their school. The sponsors can sponsor the people online now, due to
some technical errors.
i. Risks
There are various kinds of risks, like technical, internal, external, environmental which
may be detrimental to the project. The technical risks may be like the name of the donor is not
being shown in the database, especially made for this purpose. Internal risks of the company can
be particular employees fail to turn up on the designated day, thus the number of contributors
would become less.

This is the stage in which both the project sponsor and project manager have to agree to
the requirements of the project. In this particular project, I am also sponsoring this project for my
company, so I will have to sign in both these columns of the scope document, along with the
date.

Resources can fall under four categories like human resources, physical resources,
technical and financial resources. A template for the project resources plan is made to determine
the estimates of the resources and the budget for implementing the budget.

3. Work Breakdown Structure
This whole event needs to be organized through Work Breakdown Schedule (listing
method). It would also illustrate the line of authority for the project and the relationships of such

tasks and activities to each other. Since the project manager is directly involved in developing
and administering this event, he would have to play a substantial role in making it, very
successful.
a) Informing the team members about the event (done by Project Manager)
i) Giving an online presentation about this cause and the Leukemia Foundation
ii) Giving the URL and guiding them to read and understand the cause. They can
download the iPhone app for the same, to understand the whole process.
b) Motivating the team to shave off their heads and stand up for this Nobel cause.
i) Making them read the views of people, who have actually done it.
ii) Encouraging the staff and their children to act as donors and help the blood cancer
patients in Australia.
c) The next step is to get sponsorship. The team can ask from anyone like parents,
grandparents, cousins, aunts and uncles to get them sponsored. The teammates can send
emails, smses and ask people in social networking site to sponser them.
d) The team members need to get themselves registered, to the event so that they can
participate in the cause.
e) I would also run a dollar matching scheme for this special event and talk to the foundation
in this regard. Under this, I would ask my senior to double the money, which is
contributing towards this purpose.
f) In 2015, the team members can participate in the event by arriving at any of these
locations, Martin Place, (Sydney), Federation Square, Melbourne, Perth, Brisbane, or
Canberra. The schedule for this event is from 12th March-15th March 2015.

g) The people, who are unable to go there due to obvious reasons can, participate in it, without
any worries. I would contact the World Greatest Shave team as a Project Manager to
finalize the event in such a case.
h) Further, the team members after participating in the event can celebrate their success that
they have reached their goal and have done something very worthful.
4. Project Management Tool
The tools of project management are used by the managers for planning and controlling
the projects. Project Management Software like the World’s Greatest Shave is most effectively
used in this business as a project management tool. This software can plan, organize, and manage
the sharing of the resources for developing the estimates of resources. It can also plan, schedule,
allocate the resources, and communicate as well as makes the decisions. Scheduling is an
important aspect of this software, which can sequence the activities of project and also assign the
resources and the dates to them.
The tools for scheduling of this software would also deliver support for the critical path,
estimation of activity duration and simulation based on probability.

The risk management plan enables to foresee the risks, estimate the impacts, and define

b) Now, that the project is closing, staff roles are changing. Based on the roles and the

Yes, the roles of the staff members would change once the project is closed. The

discussed again with the senior officials, stakeholders and the Project Manager of the
company. A meeting would be called for the same purpose in order to explain everything
and to gain the acceptance of the stakeholders too. During this meeting every point of the

process is covered between the sponsor and the manager. Stakeholders are also explained
