RECORD AND DATA OFFICER
DUTIES, RESPONSIBILITIES.
Record officers work under the supervision of the director and they sort, classify, maintain and
archive different documents, files, records in a central filing system.
• Assisting in managing official medical records.
• Supervising and helping administration in maintaining records like gathering,
processing and ensuring records are well indexed and well-kept. All these records have
to be safe and secure and the record assistant's job is to do this.
• Organizing the patient reports. All reports are brought to the Records and data officer
and he manages them.
• Ensuring access to the employees and patient required documents after receiving
permission from authorized personnel. In order to keep the records clear, the record
assistant, if necessary, cooperates with other departments.
• As the record and data officer in health sector I create a database where I register all
records and documents and periodically update the information.
• In this job, for accomplishing the exposed duties, as a record officer take possession of
an excellent understanding of records management concepts and more than that its my
role , thus developing the ability of practical approach.
• As record and data officer I ensure that all the documents are kept in order and in safety,
by doing this paper, medical records and documents become very important at certain
moment.
• I take care of the transfer of the records (sometimes, it is necessary to move records
boxes one office to storage areas). Each document type and record has a certain period of
keeping in the storage area. After this time is over, am tasked to destroy the records.
• Maintaining and updating of the patient record database system hence also involving
in other related I.C.T services.

dedicated to me by the inspector general of police through the i.c.t department uganda police
