Basic tutorial how to use google calendar

This guide provides
details on the basic usage
of the

Google Calendar web
application both for those
completely unfamiliar with

it and for those looking
to learn new tricks on

how to get the most out
of their calendars.

Understand the Google
Calendar interface and
layout.

Learn about scheduling
meetings and managing
attendees.

Understand why you might
need and how to set up
sub‐calendars.

Time permitting, learn
how to export calendar
data or

embed it in a web page.

Note:
You must have Gmail
account to access Google
Calendar ! !

Go to www.gmail.com

Click Log-in

Enter your Gmail account

Enter your Password

Click Sign-in

Click “ ” icon

Click “Calendar”

A new page appear
and
that’s your calendar page

The Calendar Layout

Click any in the calendar view

Click “Day” button,

the layout is like this:

If you click “Week” button,

the layout is like this: From Sunday to Saturday

If you click “Month” button,

the layout is like this: The whole month

If you click “Agenda” button,

the layout is like this:

Option 1:
In the upper-left of your calendar,

Click Create to open the event details page,

Option 2: Click the “Time and Day”

Enter the “Event” in the box

Click “Create event”

Click the title of the event

Click “Edit Event”

Here you can edit the event

Click here to edit the starting and ending date

Click “Repeat” button, if you want to repeat the event

Click here

Then to choose how do you want to repeat

Click here how often you want to repeat

Click “Done” when if you finish

Enter the location of the event

Click here if you want to invite guest,

Enter the first few letters
of a guest's full name,

if that person is already in
your email contacts list,

the name will auto-fill.

If the person isn’t in your
emailcontacts list,

you will need to type in the
full UCSC email address, e.g.,
bslug@ucsc.edu.

Select the guest to add him or her to your Guests list.

You can see here the guest/s you added

Continue adding your
guests’ email addresses one
by one.

If you want to invite
Multiple People to a Meeting,

type each of their email
addresses in the guest field

or create a group in your
email contacts.

(Creating a group contacts in
not part of the lesson)

Once a group is created, you
just type in the

name of the group in the
guest field and all

the people in that group will be
invited to your meeting.

Enter the description of the event

Click here to change the event color

Click “Add Notifications” to set a reminder
for the meeting

Click here to choose the type of reminder
you want

Click here to choose when you want to
receive it

Click here to choose the visibility of your event

Click “Find a Time”

Click beside the time, then a blue box appear

Note:
“Find a time” only works if
your guest shared

their calendar with you or if
their calendar is public.

If done editing, Click “Save” button

Click “Send” button to send invitation

Note:
Always click “Save” button
after editing your event

First,
make sure the Event attachments
Calendar lab is enabled.

1. Select “Settings” icon

2. Choose Settings

3. Click “Labs”

4. Select Enable next to Event attachments

To add an attachment, open/click your meeting

Click “Add attachment”

You can add an attachment
that is already located in

your Google Drive
OR

you can upload a file from
your desktop.

If your file is already located
in Google Docs,

Click one or more Google Docs files,

and click Select

If your file is NOT in
Google Docs,

Click “Upload”

Drag files or Click here

Choose file to upload

Click “Open”

Click here to add more files

Then click “Upload”

You can review your attachment here

After you’ve entered all event details, click the
“Save” button

If you want to print a
single event,

Open / click your meeting

Click the “Printer” icon

Click “Print”

If you want to print a calendar
in a week or month,

Click from the “Calendar Views”

Click “More” button

Choose “Print”

Click here to select the font size

Click here to select orientation

Lastly, Click “Print”

In “My Calendar” section,

Click down arrow that appears when you hover
over your calendar

Then select “Share this Calendar”

Select sharing options you want to use
for your calendar.

Click the button if you want to share
in public

Enter the Email of the person,

whom you want to share
your calendar.

Click here if you want the person
whom you

shared your calendar make
changes in your calendar event/s.

When finish, click “Save” button

In “Other calendars” section,

Click the button

Click “Add a friend’s calendar” button

Enter friend’s email address

Click “Add” button

Click “Send request” button

Once you added your
friend’s calendar

and he/she accept you
request,

you can view or access
his/her calendar.

Click “Other calendars”

Click your friend’s name,

then his/her calendar events appear.

You can create any number of
secondary calendars.

Each calendar you create
appears under My Calendars list.

Click the down arrow next to My
calendars

Select “Create new calendar”

Enter your Calendar name

Enter the Description of the calendar

Enter the Location

Choose or select the country

Choose a time zone

Enter friend’s email if you want to invite

then click “Add person”

When you're finished setting up the
calendar, click Create Calendar.

You will see here the new calendar list

I cannot discuss
everything
inside the Google calendar.

As you go on, you
will discover many things

that will amaze you
to make your task easier.
