Coordinating enrollments and consistently communicating benefits is a difficult proposition for many businesses. Yet, it’s a necessary part of every company’s benefits program, BUT the hassle doesn’t have to be. So let’s talk about how Colonial Life’s state of the art enrollment system can make enrollment time easier and quicker for your clients.
One of the most important requirements for enrollments is flexibility. With that in mind, Colonial Life developed the Harmony enrollment system to allow employees to enroll in their benefits, anytime, anywhere. Harmony is able to "flex" with the requirements of any open enrollment which is valued by plan administrators. We make sure your clients are getting the best return on their benefits investment. While nothing can replace the value of these individual meetings, we understand one-on-one consultations may not always be possible. For those employees who cannot meet with our certified representatives, the Harmony enrollment system allows the employees to co-browse over the telephone with a benefits representative (calls can be routed to local sales offices, if requested, otherwise calls are handled at the Colonial Life home office. Also available is the capability to enroll via the call center and self-enroll on their own- however the self enroll option is used more for clean up purposes.We can accommodate each employer’s enrollment needs, even with remote employees or limited Internet access.
We are able to enroll both Core (Major Medical, Vision, Dental, 401 K etc) and Voluntary products via our enrollment system. In fact, we are on track to enroll about $25 Billion in core products for our customers. In many cases our counselors increase participation levels on core products, which translates to increased commissions for you. Additionally, we have a number of natural by products available such as Salary Illustrations and benefit statements which we’ll review in a little more detail in a moment.Our document center allows us to house enrollment related material provided by the employer such as benefit booklets, affidavits, etc.
Just as important as flexibility, is a system that allows employers and brokers to manage their enrollments as well. What I mean by that is no matter how complex or how spread out the enrollment is, Harmony provides an electronic net over the enrollment process. Robust reporting allows us to monitor every aspect of the enrollment such as information by product, location and employee levels. This allows us to proactively address any issues that are identified enabling us to make changes instantly and share this key information with plan administrators quickly and painlessly. Example: While we may see a lot of activity in the Administration Office, is the activity what we would expect in other locations like Shipping and Receiving? If not, we can make adjustments as needed.

The enrollment system itself is fully secure. Harmony utilizes procedural, technical and administrative safeguards as outlined by HIPAA, including password protection and 128-bit SSL encryption, so data on your employees and their elections are kept secure.Only authorized employees and benefits counselors can access the system. Employees are given an individual login (based on the schema/naming convention requested by the employer) so they can make elections securely.
Employees will only see the benefits/plans/rates that they are eligible to receive.
Our benefits counselors can help your clients avoid unnecessary costs from covering ineligible dependents. Our teams clearly explain eligibility criteria, add newly eligible dependents, update dependent records, have the employee verify all eligible dependents. The employee’s electronic signature, on their dependent acknowledgement statement, is then returned to the HR department post enrollment.It’s important to note the verification we perform is not a ‘witch hunt’ but rather a soft landing for the employer.
