While many of us have perfected the art of
procrastination, the art of managing our
time doesn’t come as naturally.


Having poor time management is stressful.
Causes anxiety and many negative feelings.
It can cause fatigue and lack of
concentration because we have so many
things going on we don’t know where to
start.


Do you have poor time management skills?


Do you lose sight of your priorities?
Are you unsure of your focus?
Are you consistently late to meet deadlines?


Do you feel disorganized?
Is it straining your business relationships?
Do you lose credibility?


If you answered more than one of those
questions a yes, you may have bad time
management skills.
The positive thing is YOU CAN CHANGE IT!


Time management is the ability to plan and
control how you spend the hours in your
day to effectively accomplish your goals.
Poor time management can be related to
procrastination, as well as problems with
self-control. Skills involved in managing your
time include planning for the future, setting
goals, prioritizing tasks, and monitoring
where your time actually goes.

The key to time management is
organization. You must have a system to
keep yourself organized whether it’s your
smart phone or old fashioned pen and
paper.


Make sure every task is accounted for and
has an allotted time to be dealt with.
Try block scheduling.

Are you taking on too much?


Planning is key.
You want a monthly, weekly, and daily plan.


Prioritize. Nothing everything can be
URGENT/IMMEDIATE.

1. Urgent/Important
2. Not urgent/yet important
3. Urgent/ yet not important
4. Not urgent/not important


It’s not easy. It truly takes time to learn how
to classify tasks and hold yourself
accountable.


When scheduling your time don’t
underestimate how long a task will take.


Learn to say no to things. Especially if they
take you off your focus.


Good time management technique:
The Pareto Principle


More generally, the Pareto Principle is the
observation (not law) that most things in life
are not distributed evenly. It can mean all
of the following things:


 20%

of the input creates 80% of the result
 20% of the workers produce 80% of the
result
 20% of the customers create 80% of the
revenue
 20% of the bugs cause 80% of the crashes
 20% of the features cause 80% of the
usage







Make decisions on allocating time, resources and
effort based on this:
Instead of 1 hour on a rough draft for an article
you may write, spend 10 minutes on 6 outlines for a
paper / blog article and pick the best topic.
Instead of investing 3 hours on a website, spend 30
minutes and create 6 different template layouts.
Rather than spending 3 hours to read 3 articles in
detail (which may not be relevant to you), spend 5
minutes glancing through 12 articles (1 hour) and
then spend an hour each on the two best ones (2
hours).

These techniques may or may not make
sense – the point is to realize you have the
option to focus on the important 20%.


Don’t think the Pareto Principle means only
do 80% of the work needed. It may be true
that 80% of a bridge is built in the first 20% of
the time, but you still need the rest of the
bridge in order for it to work. It may be true
that 80% of the Mona Lisa was painted in
the first 20% of the time, but it wouldn’t be
the masterpiece it is without all the details.

When you are seeking top quality, you need
all 100%. When you are trying to optimize
your bang for the buck, focusing on the
critical 20% is a time-saver. See what
activities generate the most results and give
them your appropriate attention.


You may still be wondering how to focus on
that 20%.
Get rid of distractions!


A recent study showed that employees
spend an average of 24% of their week on
social media.


To reclaim that 24% you need to disconnect
as part of your weekly schedule.


Hold yourself accountable to your plan.
When things happen, and they will, take the
time to reprioritize and re-plan your
day/week.


At the end of the day/week take time to
reflect on what you did/didn’t do well.


Do the task you least want to do first.
Get it over with.


Email hell!
Most of us would say our email it out of
control!


DELETE! DELETE! DELETE!
Make the delete key your friend!
Delete anything that is old and outdated that you
know for sure you won’t need to refer to again.
You don’t need outdated offers from your favorite
online retailers, and you don’t need corny jokes from
your Mom.
You don’t need to keep old articles—if you haven’t
had time to read them by now, there’s little chance
you’ll have time to read them in the future.

Since this task undoubtedly feels daunting
put in your schedule to spend 15-20 minutes
a day cleaning out old email before
attending to new ones.


Unsubscribe to mailing lists for content you
no longer read.


Create folders and filters where necessary.


If you’re obsessive about checking email the
break that habit.
Plan into your schedule to check and
respond to emails once or twice a day.
Respond to ALL of them at that time.


If that’s not possible than flag or organize
email into a folder to take action on at next
sitting.


Changing bad time management habits
won’t be easy but you’ll thank yourself for
the effort!
