1. User Story for the AVTprocess
An AVT is completed by trainees when they are starting a new position. They need to let us know the
following:
What training is it? Intensive care, anaesthetics, medicine or elective
Where is? Each hospital has a rating and for some we restrict the amount of
time someone can spend there
Who will be supervising ? The name and email address of the SOT. We have a list of approved
intensive care SOTs however there will be other SOT looking after
our trainees that are NOT our SOTs.
How long it will go for? This is calculated in months
We then decide if the above information fits into their training and make sure that no Regulations
are broken if we approve this training.
Please let me know if you would like a tour through the process next time you are in the office.
Trainees must forward the application within three months of commencing in the post, but
preferably prior to their commencement date.
Currently the AVT form is submitted via the member’s portal (electronically) however we need them
to also send in a signed physical copy of the letter.
Below I have done a flow chart that illustrates the process:

3. User Story for the ITA process
An ITA is completed by the trainee and SOT after a particular post has been completed. It is linked to
the AVT because the same SOT who signed the AVT should complete the ITA. It is possible that the
SOT can change while a term is being completed ORa group of SOTs consult when completing an ITA
however ideally the names should match.
The ITA confirms the following:
What training was it? Intensive care, anaesthetics, medicine or elective
Where was it done? Each hospital has a rating and for some we restrict the amount of
time someone can spend there.
Who supervised? The name of the SOT is recorded.
How long did it go for? This is calculated in months and takes into account any leave
periods.
Was it satisfactory? The major reason for the ITA is to see if the term was considered
“satisfactory” or “not satisfactory”.
We then decide if the above information fits with the AVT on the database.
Please let me know if you would like a tour through the ITA process next time you are in the office.
If and when an ITA is approved it will be recorded in the database and the trainee can view a “green
tick” on the member’s portal. Currently no trainee can see the actual ITA will scores and comments
on the member’s portal.
Below I have done a flow chart that illustrates the process:

6. Example of the training module in the database. This showing that this period of training has been
approved (AVT) however the ITA has not been submitted:
