In order to make inter-office communications easier, please adhere to the following guidelines for writing
effective memos:
Clearly state the purpose of the memo in the subject line and in the first paragraph.
Keep language professional, simple and polite.
Use short sentences.
Use bullets if a lot of information is conveyed.
Proofread before sending.
Address the memo to the person(s) who will take action on the subject, and CC those who need
to know about the action.
Attach additional information: don’t place it in the body of the memo if possible.
Please put this format into practice immediately. We appreciate your assistance in developing clear
communications. If you have any questions, please don’t hesitate to call me. Thank you.

In 1971, Oprah Gail Winfrey was chosen to attend the White House Conference on Youth in Colorado and
represent Tennessee with one other student. After returning to Nashville, she was interviewed by the radio station

Oprah would go on to win the competition and was the first African-American to ever win the contest.

I had a chance to see the man face to face when he was running away to the street. The man, at
about forties, has an oval face. His dark brown hair is curly and thick, covering some area of the
forehead, and the hair is not well-shaped. His ears are small and almost hidden inside the thick
hair. Under his heavy eyeglass frames are almond-shaped dark eyes, and the two curved
eyebrows are thin and narrow. He has a large nose and a full-lipped mouth. Bushy sideburns, an
arched moustache and an unshaven face make him look messy. A mole on the right side of his
cheek above, the moustache can be a unique feature for identifying him. His nervous facial
expression, I think, proves that he is the exact one police want.
