Office Christmas Party
Dr. Gray and his staff at Doss Dental are at an impasse. The office closes a couple of days before Christmas and reopens the first business day after New Year’s Day; which is considered our Christmas vacation. On the closing day, we usually order a couple of party trays, have a small office party, and exchange gifts.
The justification report presents the need to determine a suitable venue for the Christmas party. It presents the scope of the problem, presents two potential venue choices, and evaluates them utilizing five criteria to best decide which venue meets the needs of both the staff and the dentist. The report considers cuisines and entertainment offerings and focuses on the two venue alternatives that have been recommended by the staff. The report did not consider parking , music, or location because they were pretty evenly matched. Internet searches were conducted as well as consultations with sales representative from each venue and a final recommendation is provided.

After five years of “on-location” parties, we the staff would like to have a off-site Christmas party. As we were discussing our usual plans, we pondered what it would be like to have a different kind of party.

Get the party started right: describes a party that’s lively and fun from the start.
Report Overview
This report was created to help Dr. Gray choose the best venue for our next Office Christmas Party. He gave us, his staff, the task of researching and presenting a feasible plan that would encourage him to accept our plan. We researched two restaurants that we thought would meet the following criteria that he suggested: cost, menu, music, parking, and location. The two venues that I researched are BB King’s Restaurant and The Rosen Plaza Hotel, both located on International Drive.
Overview of Alternatives
The two alternatives considered in this report meet Dr. Gray’s criteria.
Alternative A- BB King’s Restaurant: located at Pointe Orlando on International Drive.
Alternative B- Rosen Plaza Hotel Ballroom is located on International Drive.
Criteria
Dr. Gray stressed that the following five criteria’s be used to judge the feasibility of each alternative.
1. Cost- What is the cost per person and which has the greatest vale for the money? The actual cost is not as important as the food and the service.
2. Menu- Menu selections are very important. Prefer buffet style dining.
3. Music- Music makes the party atmosphere come to life. Must be lively!
4. Parking- Convenience is key. Will valet be available? Will there be a fee?
5. Location- Will the venue be located in an area that enhances the experience?

Methods
Research methods included calls to each alternative as well as
browsing Internet, web sites to view menus, photos of venues,
and to get contact information. I met with sales representatives
at each venue to get answers for Dr. Gray’s criteria, to address
the issue of availability and costs, and to tour the venue. I also
met with the other staff members to get their input on the
information I had attained before we met with Dr. Gray, as a
group.
Evaluation of Alternatives
As coordinator and host of my family reunion here in Orlando,
on three separate occasions, I was faced with some of the same
decisions that we are considering for this report. I spoke to a
couple of friends who worked at different hotels at that time and
they connected me with a representative in their sales offices.
After meeting with them and discussing my tentative plans, I
compared the information I received. I also checked their
websites for feedback from individuals and groups regarding
their experiences with both alternatives. I presented my
findings to my committee and we collectively make our
decision.
Cost
1. Alternative A- charged $30 and under for meals with limited
4. selections. Parking was $5 per car. Cocktails cost $10 1nd $11.

2. Alternative B – Charged $49 - $62 per person with an
extensive menu of selections. Plated Dinner and Buffet style
Dinner were the options available. (rosenplaza.com) A cash bar
was offered for cocktails that cost between $5 and $10. Lots of
parking in a huge parking lot.
Menu
1. Alternative A – Only one cuisine was offered, American
/Southern. I sampled the food and found it to be quite tasty.
Food portions were ample but limited to just four entrée
options.
2. Alternative B – An extensive offering of delicious menu
options for every appetite. A Buffet with service to enhance the
dining experience.
Music
1. Alternative A – A live Band plays top 40 music with a DJ
playing recorded music during the intermissions. The Band
performs well but the music is very loud. The dance floor is
always extremely crowded which makes it more like a
nightclub.
2. Alternative B – We have the task of hiring a DJ because no
live band is available and would most likely be very costly to
hire. Because I have connections with people in the music
industry, a DJ will only cost us about $150. The upside to that
option is that we can get whatever music we want all night
long!
Parking
1. Alternative A – There is limited parking in a nearby parking
garage that is used by other venues.. The cost to park is $5 but
the garage fills up quickly. There can be a lot of driving around
to find a space.
2. Alternative B – Parking is free for self-parkers in the hotel
parking lot. There are several entrances so it will be convenient
regardless where you park. Valet parking is also available for a
5. fee of $10 for the night. There is ample parking.
Location
1. Alternative A – Located on a side street, In the Point Orlando
on Universal Boulevard, in the tourist and entertainment district
of International Drive. A good location that is conducive to a
lot of fun with a lot of strangers.
2. Alternative B – Located on International in an area that
enhances the atmosphere of a Christmas Party. It’s also located
a very short distance from Alternative A. The main difference
is that for Alternative B, the ballroom we would use is located
inside the hotel and would only be attended by our group. It
makes for a more intimate environment. We will control all
aspects of the party for our own personal endeavors. Alternative
A is a nightclub with more of a “hip hop” feel.
The major discoveries that emerged from the Evaluation of
Alternatives section showed just how different the two
Alternatives are. The only similarity is that they are both
located within close proximity of each other. There was a great
difference on all of the other criteria being considered. It all
came down to what our expectations were for the party, which
made for an easy decision.
Findings and Analysis
We have to determine which option offers the greatest value and
the most dynamic experience for our guests and us. We have
given a great deal of consideration to three of the criterion.
Menu options are important to everyone for an enhanced dining
experience. The music should “get the party started right!”
Parking should be convenient and complimentary, at best. At
this point, it is a close call but we are prepared to make our
final decision.

Recommendation
Alternative B is our recommendation because the atmosphere
and dining experience is more appealing to the entire group and
it would be an awesome change from the “office party” that we
had become accustomed to. Alternative B meets all of our
expectations and offers us the opportunity for an “Amazing
Christmas Party”.

Due Week 8 and worth 150 points
Now that you have completed your report, it is time to design
and present your findings. Your task is to
organize and develop the three (3) parts (introduction, body,
and closing) of an effective presentation, based
on your Justification Report (Assignment 2.3). Chapter 12 in
our text provides overall information on
presentation format, content, and delivery. Please do not simply
cut and paste your justification report content
to the slides. Instead develop clear, concise content that
enhances your presentation narration or notes.
Remember that your slides are meant to be highlights and your
audience should not spend a great deal of time
reading from the slides but instead listening to you present the
concepts.
Create an eight to ten (8-10) slide presentation in which you:
1. Ensure that your PowerPoint presentation fulfills the
appropriate length requirements and professional
style requirements.
2. Open with an engaging introduction of the topic of your
report. Include one (1) title slide and one (1)
introductory slide.
8. 3. For the body of your presentation, cover the main points of
your report. Create slides that reinforce and
illustrate your main ideas. Follow basic design principles for
effective slide content.
4. For your single closing slide, finish with a memorable wrap-
up statement that refocuses on the purpose
of your report.
5. Use PowerPoint voice-over and / or the notes section to
present your slides.
Your assignment must follow these formatting requirements:
